Mews sends emails to guests on your behalf to inform them about changes to their reservation, charge failures, and more. Many of these emails can be customized, but don't worry—if you don't customize an email, we'll send our default template instead.

Tip: When you customize an email, you can also translate the email into as many languages as you want.

  1. Go to Main menu > Settings > Services.

  2. Click on your bookable service.

  3. Click Mail templates.

  4. Click the + button.

  5. Select the type of template you want to customize.

  6. Click Create.

  7. To create multiple language versions of the email, find the Add translations field and select a language. If you select All, you can add translations for any supported language.

  8. Update the subject and/or body of the email.
    Use placeholders and HTML to personalize and format the email. Note: some emails can be customized more than others; find out more by searching for the template you need below.

  9. Click Save.

Fully customizable emails

Every part of these emails can be completely customized with HTML and placeholders.

  • If you're a beginner, you can learn more about the basics of HTML, or create your templates with an email marketing service (such as Mailchimp—it's free!) and export them to HTML.

  • Placeholders insert dynamic information into your emails, for example, your guest's first name—learn more about using placeholders to personalize your emails.

After end

This email is automatically sent when a reservation is checked out.

After start

This email is automatically sent when a reservation is checked in.

Booker confirmation

Sent to bookers when the reservation they booked is confirmed (this is only sent when a reservation is created by a booker, not a guest).

Note: This email can include an optional QR code attachment to speed up check-in. Learn how to enable or disable QR code attachments.

Cancellation

This email is sent to customers when their reservation is canceled.

Confirmation

Sent to guests when their reservation is confirmed.

Note: This email can include an optional QR code attachment to speed up check-in. Learn how to enable or disable QR code attachments.

Quotation

This email is sent when an optional reservation or inquiry is created. It contains a summary of the optional reservation(s).

Release reminder

This email is automatically sent 24 hours before an unconfirmed, optional reservation is scheduled to be released.

Note: If you can't find the type of template you want to customize, make sure it's enabled under Visit options in your stay settings.

Partially customizable emails

These emails can only be partially customized and may only support certain placeholders.

Before start

  1. Go to Main menu > Settings > Services.

  2. Click on your bookable service.

  3. Click Mail templates.

  4. Click the + button.

  5. Select the email template you want to customize:

  6. Click Create.

  7. Click on the email you want to customize.

  8. Use the Add translations field to add a translation of the email in any of our supported languages. To add multiple translations, select All.

  9. You can update the Subject, Headline, and Paragraph.


Note: The buttons and text below the customizable part of the email are hard-coded and can't be removed.

10. Update the subject line of the email in plain text.

  • The Subject field doesn't support HTML or placeholders.

11. Update the headline and/or paragraph in plain text.

  • The Headline and Paragraph fields don't support HTML.

  • You can use the placeholders:

12. Click Save.

Add a QR code attachment to the email

QR codes can be attached to this email, but you need to have an option enabled first.

  1. Go to Main menu > Settings > Services.

  2. Click on a bookable service.

  3. Scroll down to the Options section and open it.

  4. Under Visit options, select Enable QR code in emails from the dropdown list if it doesn't already appear in the field.

  5. Click Save.

Check-out invitation

If you've enabled online check-out, the Check-out invitation email is sent to reservation owners the day before their reservation is due to end. You can customize the body of the email to fit your property's voice or to include specific check-out instructions.

  • You can update the Subject, Headline, and Paragraph.

  • HTML isn't supported for this email—you can only use plain text.

Note: The buttons and text below the customizable part of the email are always added to the end of the email and can't be removed.

Only certain placeholders can be used in this email.
