After you set up a travel agency with a profile and contract, Commander will be able to automatically detect new reservations from that travel agency and handle them exactly how you want.

Note: Some channel managers can send reservations with both the company (the guest's place of work) and the travel agency attached. Reach out to your channel manager to see if they support this.

Step 1: Create a travel agency profile

  1. Go to Main menu > Profiles > Companies.
  2. Click the + button.
  3. Enter the name of the travel agency.
  4. Fill in any other relevant fields.
  5. Click Create.

Step 2: Map the travel agency profile

If you're using a channel manager, it's important to map the travel agency profile. Commander will automatically detect reservations made with the travel agency and apply the conditions of your contract.

Method 1: Use the Channel dropdown (recommended)

We recommend that you try this method before moving on to another method.

  1. Open the travel agency profile you just created.
  2. Under Channel, look for the OTA, GDS, or travel agency that the profile is for.If you can't find it, you'll have to request mapping information from your channel manager.
  3. Click Save.

If you can't map the travel agency with the Channel dropdown, request mapping information from your channel manager and try one of the methods below.

Method 2: Use the channel manager ID

  1. In the Marketplace, go to My subscriptions.
  2. Find your channel manager integration and click Settings.
  3. Click Channel manager companies.
  4. Click the + button.
  5. Under Channel manager ID, enter the code your channel manager gave you.
  6. Under Company, search for the travel agency profile you want to map.
  7. Click Create.

Method 3: Use the IATA number

  1. Open the travel agency profile you just created.
  2. Under IATA, enter the IATA number your channel manager gave you.
  3. Click Save.

Method 4: Use the travel agency name

  1. Open the travel agency profile you just created.
  2. Under Name, enter the name of the travel agency you're trying to map. This needs to be formatted exactly how it will be sent from the channel manager or it won't work, so double-check with your channel manager first.
  3. Click Save.

Step 3: Create a travel agency contract

Create the travel agency contract, so Commander knows how to handle reservations made with that travel agency (such as commission and settlement rules).

  1. Go to Main menu > Settings > Services.
  2. Click on your stay service.
  3. Click Travel agency contracts.
  4. Click the + button.
  5. In the Company field, search for the travel agency profile you just created.
  6. Choose how you want reservations made through this travel agency to be settled. Reservations can be settled either with the guest or the travel agency.
  7. Enter all other relevant details.
  8. Click Create.

Automatically create travel agency profiles

Enable Commander to automatically create profiles for companies and travel agencies when they are provided by the channel manager but cannot be found in Commander.

  1. In the Marketplace, go to My subscriptions.
  2. Find your channel manager integration and click Settings.
  3. Under Options, enable Create company and travel agency profiles.
  4. Click Save.
