Depending on which payment methods you accept, customers can make payments with:

  • Cash
  • Card (online or terminal)
  • External payment type (for example, a wire transfer)

Ways to take payment

Settle a bill with card

If a bill is ready to be settled, you can take payment specifically for that bill.

  1. Open the customer's profile.
  2. Go to the Billing tab.
  3. Under Open bills, select the bill you want to settle.

Via terminal

  1. Click + Payment and select Card payment.
  2. Go to the Terminal tab.
  3. Review the payment details and make any necessary changes. Payment details (such as the amount) are automatically pre-filled.
  4. Click Create.

Via payment gateway

  • To take the payment and simultaneously close the bill: Click Charge and close, and choose the payment card you want to charge (if there is more than one on file).
  • To close the bill after payment: Click + Payment, and select Card payment.On the Merchant / Online tab, review the payment details, and make any necessary changes. Click Create.When the payment has been taken, you can click Close to finalize the bill.

Settle a bill with cash or external payment

  1. Open the customer's profile.
  2. Go to the Billing tab.
  3. Under Open bills, select the bill you want to settle.
  4. Click + Payment and select Cash or External payment.
  5. Review the payment details and make any necessary changes. Payment details (such as the amount) are automatically pre-filled.
  6. Click Create.

Take payment without settling the bill

  1. Open the customer's profile.
  2. Go to the Payments tab.
  3. Take the payment: With a card already on file: Under Credit cards, find the card you want to take the payment with. Click the More actions icon, and select Card payment.To make an online payment, stay on the Merchant / Online tab; to make a terminal payment, go to the Terminal tab. With cash, external payment, or a card not on file: Under Payments, click + Payment. Select the payment method you want.
  4. Review the payment details, and make any necessary changes.
  5. Click Create.The payment will be listed under Unpaid items on the Billing tab; when you're ready to settle the bill, move the payment to the open bill.

Capture a preauthorized payment

If payment was preauthorized, you can "capture" the funds that have been on hold in the customer's bank account.

  1. Open the customer's profile.
  2. Go to the Payments tab.
  3. In the Preauthorizations section, find the preauthorized payment.
  4. Click the More actions icon and select Charge.
  5. If the payment details are correct, click Charge.You can change the payment amount before you charge.

Issue an invoice

If you don't want to take payment yet, you can finalize a bill by issuing an invoice to be paid at a later date.

  1. Open the customer's profile.
  2. Go to the Billing tab.
  3. Under Open bills, select the bill you want to settle.
  4. Click Issue invoice.

Need help?

The payment didn't go through

If the payment wasn't successfully processed, it will be listed as a payment attempt in Commander. To see the details of the failed payment:

  1. Open the customer's profile.
  2. Go to the Payments tab.
  3. Under Payment attempts, find the failed payment. If the payment failed because there was something wrong with the card it was made with, the card will be disabled. Scroll up to the Credit cards section to see if the customer's card has been marked Disabled.

The bill was wrong and the customer needs a refund

If you need to refund a customer, you have to correct the mistakes on their bill first.
