If you want to ensure a customer has the funds in their bank account for a future payment, you can preauthorize their payment. The preauthorization places the customer’s balance on hold to ensure that you can capture their funds at a later date.

Create a preauthorization

  1. Open the customer's profile.
  2. Go to the Payments tab.

Card will be charged online via payment gateway

Card is already on file

  1. Find the card you want to preauthorize a payment for.
  2. Click the More actions icon and select Preauthorization.
  3. In the Merchant / Online tab, choose the payment amount and currency.
  4. Click Create.

Card is not on file

  1. In the Preauthorizations section, click + Preauthorization.
  2. Select Payment card.
  3. In the Merchant / Online tab, choose the payment amount and currency.
  4. Click Create.

Card will be charged physically via terminal

Card is already on file

  1. Find the card you want to preauthorize a payment for.
  2. Click the More actions icon and select Preauthorization.
  3. Go to the Terminal tab.
  4. Choose the payment currency and enter the amount.
  5. In the Code field, enter the CVV.
  6. In the Receipt identifier field, enter the receipt number listed on the payment receipt.
  7. Click Create.

Card is not on file

  1. In the Preauthorizations section, click + Preauthorization.
  2. Select Payment card.
  3. Go to the Terminal tab.
  4. Choose the payment currency and enter the amount.
  5. In the Code field, enter the CVV.
  6. In the Receipt identifier field, enter the receipt number listed on the payment receipt.
  7. Click Create.

Automate card payment preauthorization

You can set up rate groups to preauthorize card payments automatically.

Note: When you turn on preauthorization automation, the payment will be preauthorized automatically, but the card will not be charged until it is manually captured by an employee.

  1. Go to Main menu > Settings > Services.
  2. Select your stay service.
  3. Click Rate groups.
  4. Select one of your rate groups or create a new one.
  5. Under Settlement, select Automatic.
  6. Under Settlement action, select Create preauthorization.
  7. Click Save or Create.

Manually capture a card payment

When you're ready to capture the preauthorized payment:

  1. Open the customer's profile.
  2. Go to the Payments tab.
  3. In the Preauthorizations section, find the preauthorized payment.
  4. Click the More actions icon and select Charge.
  5. If the payment details are correct, click Charge.You can change the payment amount before you charge.

Release of the preauthorization

Preauthorization is released after 7 days, then it depends on customer's bank when the client will get the money back.
