Step 1: Set up your T&Cs

Before you start using the Mews booking engine, you need to complete your property's terms and conditions in order to be compliant with requirements from your payment gateway provider (Adyen or Stripe).

You can provide your T&Cs in the form of a URL (which links to the terms and conditions page on your website), or you can write them yourself and format them with HTML.

  1. Go to Main menu > Settings > Services.
  2. Click on a Bookable service.
  3. Under Options, enter either a T&C URL or T&C HTML.
    - You only need to complete one of these fields—if you complete both, the T&C URL will be used by default.

  4. Click Save.

Format your T&Cs with HTML

  1. Go to Main menu > Settings > Services.
  2. Click on a Bookable service.
  3. Click Documents.
  4. Click the + button.
  5. Under Type, select Terms and conditions.
  6. Click Create.
  7. Enter the terms and conditions in HTML.
  8. Click Save.

Step 2: Configure your booking engine

You can create multiple configurations of the booking engine.

  1. Go to Main menu > Settings > Services.
  2. Click on a Bookable service.
  3. Click Booking engines.
  4. Click the + button.
  5. Enter the name of this configuration and click Create.
  6. Complete all relevant fields.
  7. Click Save.

Field

Description

Add translation

Choose a language to add a translation for. A new box will automatically appear under the Competitor rate description field, so you can add your translation.

Name

If you want to change the name entered in the previous screen, enter the new name here (this name is only for internal use).

Payment card input

Choose how payment cards will be handled in the booking engine.

Select Not requested if you don't want to request payment card info (there will be no field for customers to add their card details).

Select Requested if you want to include a field for customers to enter their card details but don't need the card validated before a reservation is created.

Select Required if you want to include a field for customers to enter their card details and require the card to be validated before a reservation is created.

Language

Choose the default language that the booking engine will be in.

Currency

Choose the currency that customers will be charged in (if no currency is selected, your default currency will be used).

Start offset

Choose a number of days after the day that the customer is booking that will be selected as the default start date (for example, if you enter "3," and a customer uses the booking engine on the 1st, the default start date will be the 4th). If you leave this blank, the default will be 0.

End offset

Choose a number of days after the day that the customer is booking that will be selected as the default start date (for example, if you enter "3," and a customer uses the booking engine on the 1st, the default start date will be the 3rd). If you leave this blank, the default will be 2.

Adult count

Choose the number of adults that should be selected by default.

Child count

Choose the number of children then should be selected by default.

Voucher code

Enter one of your voucher codes to be entered in the Promotions field by default.

Display voucher code

Choose whether your voucher codes should be listed in your Mews booking engine (voucher codes are listed by default).

Display special requests

Choose whether to include a field for guests to add special requests to their reservation—when filled in, this information will be listed in the reservation notes (the special request field is included by default).

Display rate comparison

Choose whether to show a rate comparison banner beneath your space categories. The banner will show your rate, the URL of any travel agencies you enter in the Online travel agencies field, and the rate from that travel agency (which you'll be able to adjust in the Competitor price relative adjustment field). The rate comparison banner will not be included by default.

Display availability

Choose whether to show your property's availability next to maximum occupancy in each space category (availability will be shown by default).

Child selection enabled

Choose whether to include the option to add children to reservations (children are accepted in reservations by default).

Online travel agencies

If you selected Yes in the Display rate comparison field, enter the URL of the travel agencies you want to show in the rate comparison banner (enter only one URL per line, and format each URL like "booking.com").

Competitor rate description

Enter features that differentiate your online booking from your competitors (for example, "20% online booking discount" or "Breakfast included"). Make sure you create a new line for each feature.

Competitor price relative adjustment

Enter the percentage that your competitor's prices (listed in the rate comparison banner if you selected Yes in the Display rate comparison field) will be shown as, compared to your BAR. For example, if your BAR costs 50, and you enter "100" here, their rate will be shown as 50. If you enter "110", their rate will be shown as 55 (as you have added a 10% markup).

Intro video URL

Enter the URL of a video that should be shown when a customer opens the booking engine (this must link to a video in MP4 format on a cloud-based webpage, and cannot link to videos from YouTube, Vimeo, or other video sharing platforms).

Google tag manager ID

Enter the GTM container ID that you would like all Mews booking engine events sent to (formatted as "GTM-XXXXXX"). GTM allows you to connect your Mews booking engine to a tracking system, such as Google analytics. Once it is set up, you can use the preview mode to help you visualize the data collected on user activity during the booking process.

Theme

Choose which color scheme you want.

Guest email (when booker is not a guest)

Decide whether a guest's email address should be required when the reservation was created by a booker.

Required fields

Choose if the Telephone field is mandatory or optional.

Primary color

Choose the main color that will be shown (this must be formatted in a hex code—learn more about hex codes).

Step 3: Map your space categories

All of your space categories are listed by default, so you only need to map your space categories if there are some that you don’t want to be listed.

Note: When you create new space categories, don’t forget to map them (or else they won’t be listed in the booking engine).

  1. In your booking engine configuration, click Category mappings.
  2. Click the + button.
  3. Under Category, select the space category you want to map.
  4. In the Ordering field, choose the order you want your space categories to be listed.
  5. Click Create.

Get the most of your Mews booking engine

All of the info listed in the booking engine is pulled from Commander, so it’s important that every aspect of your stay service is fully configured with customer-facing details, especially:

Space categories

Make sure the following fields are completed for every space category listed in the booking engine:

  • Normal bed count
  • Extra capacity
  • Description
  • Image
  • Order email template

Rates

Make sure the following fields are completed for every public rate:

  • Name
  • Description
  • External name

Note: Only the cheapest rates from each rate group are listed in the booking engine.

Products

Only products attached to your stay service with the Offer to customers option enabled are listed in the booking engine. Make sure the following fields are completed for every product attached to your stay service:

  • Name
  • Description
  • External name
