To view the Reservation Overview, click Reservation overview on the Dashboard or go to Main menu > Reservations > Reservation overview.

The Reservation Overview report is a quick snapshot of all bookings that are relevant that day. This report always shows the most up-to-date status of the remaining arrivals and departures to ensure that the front office is able to check which guests and reservations require action before the end of the day.

Below you'll find a complete overview of all features and filter options available for this report. The report is divided into five tabs. For the Arrivals, Departures, Stay overs, and Staying tabs, reservation cards are used to provide a summary of all booking details for easy reference.

Note: If a reservation is made for more than one person, but there is no companion assigned to the booking, the registration card for that companion will print empty. Please ensure you have a guest assigned to the booking to avoid the additional transfer of data from the card back into the system.

Arrivals

Arrivals the mode is a quick and easy way to view all remaining arrivals for the selected day. You can also check-in customers directly from this overview.

Above all of the reservation cards, you will see the following summary data:

  • Reservations - Number of reservations arriving or that have already arrived.
  • Customers - Number of guests arriving today or that have already arrived, including all companions.
  • Print registration cards - Print all registration cards for all reservations in that section, for the selected date range.

You will see the following data filters:

  • Date - Results are displayed by date, representing data starting at 00:00 until 00:00 the next day.
  • Status - Reservation status.
    - Definite - Reservations that have been confirmed by guests and are not refundable.
    - Optional - Reservations that have not yet been confirmed by guests.
  • Ordering - Select how you would like reservations to be displayed.
    - Arrival - Displayed in order from the first arrival time to last.
    - Customer - Displayed in alphabetical order of the customer's surname.
    - Departure - Displayed in order from first departure time to last.
    - Room - Lowest room number to highest.
    - Status - Grouped according to reservation status.

Set your filters and click the View report button. You will see two sections of Reservation cards to represent all arriving reservations.

The upper section of Reservation cards represents the reservations that are still due to arrive:

  • Cards marked with a blue Check in button means that online check-in has not been completed.
  • Cards marked with a green Check in button means that the guest has completed online check-in and provided all legally required information.

The lower section of Reservation cards represents all reservations that have already arrived that day and been checked in—they'll be marked with a grey Manage button.

Departures

Departures mode is a quick and easy way to view all reservations that will be departing for the selected day. You can also check out customers directly from this overview.

Above all of the reservation cards, you will see the following summary data:

  • Reservations - Number of reservations departing or that have already departed.
  • Customers - Number of guests departing today or that have already departed, including all companions.
  • Print registration cards - Print all registration cards for all reservations in that section, for the selected date range.

You will see the following data filters:

  • Date - Results are displayed by date, representing data starting at 00:00 until 00:00 the next day.
  • Status - Reservation status.
    - Definite - Reservations that have been confirmed by guests and are not refundable.
    - Optional - Reservations that have not yet been confirmed by guests.
  • Ordering - Select how you would like reservations to be displayed.

Set your filters and click the View report button. You'll see two sections of Reservation cards to represent all departing reservations.

The upper section of Reservation cards represents reservations that are departing today but have not checked out yet:

  • Cards marked with a blue Check out button means that the guest has not checked out.
  • Cards marked with a green Check out button means that the guest has completed online check-out.
  • Cards marked with an orange Check out button represents reservations that have missed their check-out and urgent action is required.

The lower section of Reservation cards represents all checked out reservations that require no further action—they'll be marked with a grey Manage button.

Stay overs

The Stay overs mode is a quick and easy way to view all stay over reservations. These are all guests that are in the hotel and that are not checking in or checking out within the selected date range. Note that this section will also show guests who are staying for a minimum of two nights total (or a period of 24 hours), where at least one of those nights is within the selected interval.

Above all of the reservation cards, you will see the following summary data:

  • Reservations - Number of reservations staying over.
  • Customers - Number of guests staying over.
  • Print registration cards - Print all registration cards for all reservations in that section, for the selected date range.

You will see the following data filters:

  • Start date - Select the start date of report data, beginning at 00:00 on the selected day.
  • End date - Select the end date of report data, ending at 00:00 on the next day.
  • Status - Reservation status.
    - Definite - Reservations that have been confirmed by guests and are not refundable.
    - Optional - Reservations that have not yet been confirmed by guests.
  • Ordering - Select how you would like reservations to be displayed.
    - Arrival - Displayed in order of first arrival time to last.
    - Customer - Displayed in alphabetical order of the customer's surname.

The upper section of cards represents reservations in the middle of their stay, who will be at the property overnight—they'll be marked with a grey Manage button.

Staying

The Staying mode allows you to view all reservations staying over, arriving, and departing within the selected date range. You can also check out guests directly from this overview.

Above all of the reservation cards, you will see the following summary data:

  • Reservations - Number of reservations arriving or that have already arrived.
  • Customers - Number of guests arriving today or that have already arrived, including all companions.
  • Print registration cards - Print all registration cards for all reservations in that section, for the selected date range.

You will see the following data filters:

  • Start date - Select the start date of report data, beginning at 00:00 on selected day.
  • End date - Select the end date of report data, ending at 23:59 on selected day.
  • Status - Reservation status.
    - Definite - Reservations that have been confirmed by guests and are not refundable.
    - Optional - Reservations that have not yet been confirmed by guests.
  • Ordering - Select how you would like reservations to be displayed.
    - Arrival - Displayed in order of first arrival time to last.
    - Customer - Displayed in alphabetical order of the customer's surname.

    - Status - Grouped according to reservation status.

Set your filters and click the View report button.

The cards represent all reservations that are currently in house. This includes reservations that have arrived and checked in that day, as well as stay over reservations, which are in the middle of their stay and will be at the property overnight.

Statistics

The Statistics mode allows you to see a complete overview of your numbers, without any specific reservation data. Use this mode to record or compare reservation numbers according to date. Please note that all totals listed in the statistics results should match the numbers that are visible in each tab.

You will see the following data filters:

  • Start date - Select the start date of report data, beginning at 00:00 on the selected day.
  • End date - Select the end date of report data, ending at 23:59 on the selected day.
  • Status - Reservation status.
    - Definite - Reservations that have been confirmed by guests and are not refundable.
    - Optional - Reservations that have not yet been confirmed by guests.
  • Type - Select the mode in which you would like to view the data.
    - Customers - View according to the total number of customers, including all companions.
    - Reservations - View according to the total number of reservations.

Set your filters and click the OK button to display your data following columns:

  • Date - If multiple dates are selected, each date will be displayed with its own line of results.
  • Arrivals (Online) - Number of arrivals that day (Number of completed online check-ins).
  • Departures (Online) - Number of departures (Number of completed online check-outs).
  • Stay overs - Number of stay overs.
  • Staying - Number of staying reservations.
