Mews Payments is a payment gateway where it is possible to charge credit cards online without the use of terminals. It is also known as an e-commerce platform within Mews.

This improves the guest experience, and saves significant time for the reception and reservations department, and increases productivity at your property.

How does it work?

  1. The guest provides his credit card details at the moment of booking

  2. The card’s token is stored on the guest’s profile

  3. The hotel can charge the card or create a pre-authorisation on this card at any time between the time of booking and checkout.

Properties do not need to work directly with payment processors and merchant acquirers anymore. Properties will work with the Mews Payments instead and Mews will be their single point of contact acting as their intermediary and delivering support on questions, issues or chargebacks.

Properties are able to charge the credit card directly through Mews PMS and at the same time no-one will be able to access the credit card details.

Hoteliers can go mobile and take payments anywhere at anytime. Especially as Mews PMS is accessed from a mobile device and the transactions are carried out directly from Mews PMS.

Mews Payments brings automation in processing payment deposits and pre-authorizations, saving the reservations department, reception time and reducing human error.

For example non-refundable rates can now be setup to charge the credit card at the time of booking as it already knows the rate value and has the credit card details.

Mews Support department handles the chargebacks on the hotels behalf after submitting evidence.

The Credit card is not stored within Mews or in the hotel. All card details are stored with our merchant providers who have the responsibility of securing them. And you can store multiple credit cards for each guest. In addition the credit card details need only be requested once at the time of booking.

Fraud detection and disputes are carried out by the merchant acquirer.

PCI DSS certified or the payment card industry data security standard, is a set of safety regulations created by the major credit card associations to protect card data. The purpose is to reduce as much as possible the risk or fraud, data theft, identity theft and other threats.

Under PCI compliance and privacy laws not only should digitally stored credit card information be protected, but also the paper documents containing personal data must be safely secured and adequately restricted at all times.

By not complying with the law your property can end up with various consequences.

Big chains have already been impacted with malicious software designed to steal credit card data which caused a lot of data being stolen away costing hundreds of thousands of dollars.

How to use the Mews Payments ?

The first step is to setup the payment triggers for your rates.

Head to Settings> Property > Services > Bookable Services > Choose respective service (e.g. Stay) > Rate Groups

Under rate groups is where you find all your rates grouped by cancellation policy.

In the rate group, under settlement, is where the property decides if they want Mews Payments to take payments automatically or manual if the settlement should be processed by an employee.

Under settlement action is where you decide if to automatically charge the credit card or take a pre-authorisation.

The settlement trigger depends on the type of rates within this group.

  • Creation is equivalent to the moment of the booking. For non-refundable rates for example you would select creation as you would like to take a payment directly at the moment of booking.

  • The End and End date options relate to the day of departure when the guest departs or day of departure at midnight.

  • Start relates to the arrival date at check-in time

  • Start date relates to the day of arrival at midnight.

Once you decided when you would like the payments to be processed, the next step is to define the settlement triggers or offsets.

For example for non-refundable rates, a property may have a policy to charge 4 hours after creation to allow for any unexpected cancellations on those rates.

the settlement value only applies to automatic settlements. Please enter the % value of the reservation that should be charged by the system.

Once you configured the settlement section, save the page.

For example, rates that have a 24 hour cancellation period, the settlement offset would be setup with a -1 day

Once a client makes a booking and enters their payment information; you will be able to find the client profile and his tokenized credit card.

The ID field is very important as this how Mews communicates with the payment gateway and we can tell them we have a new card stored and will use it to make transactions.

Any pre-authorizations will appear in the relevant section.

Refresh the page to see your trigger kick-in, if your rules say creation of booking.

If a refund needs to be carried out against a specific transaction, all you need to do is click on the three dots on the right hand side of the relevant transaction and select refund and enter the amount as well as the reason.

The transaction for the refund will then appear with the value refunded and once it is approved it will appear against the payments section, making a correction to the original charge.

If the guest orders any extra items, the front office can proceed directly with the charge as they have the credit card on file.

The one-click payment option allows you to immediately charge the credit card and close the bill no matter how many items are requested.

Compared to using a traditional PDQ where you need to request a guest’s credit card, verify it and manually enter the details.

Regarding the pre-authorisations, you will see the details of the pre-authorisation that has been charged along with the payment gateway ID which is used for tracking purposes.

The state column indicates its status.

Next to the value column there is an icon where you can either charge the credit card or cancel the transaction.

You can add more credit cards to the guest's profile if necessary.

Using this feature your property will become PCI compliant as the credit cards are stored safely and securely, and all transactions can be dealt with directly from Mews PMS instead of using the terminals.

It is advisable to run the Payments report on the day of arrival to see if any credit card payments have been missed. You can also use the Reservations Overview report to see if there are any reservations arriving on the day and have virtual credit cards, and see if the cards need to be charged manually.
