How to send a reminder email with an attached invoice in Mews Operations

Sending a reminder email with a single invoice attached in Mews Operations helps employees communicate effectively with guests and clients regarding outstanding balances. Front desk staff, accountants, or managers typically send reminder emails when a payment is approaching the deadline, overdue, or an account needs reconciling. This article covers step-by-step instructions on how you can perform this action directly from the invoice in the customer profile to ensure clear and professional communication and proper financial tracking. You can also send single or bulk invoice reminder emails from the City Ledger in Mews Operations.

To send a reminder email with an invoice attached:

  1. Locate the customer with the invoice to which you want to send a reminder email. To do so, in Mews Operations:
    • Type the name of the customer or company in the Mews search bar.
    • Access the Bills and invoices report and locate the outstanding invoice.
  2. Click on the Dashboard tab, then click the relevant invoice.
  3. Click  email icon.png  , then Send reminder.
  4. In the Send reminder side-window, fill in the required information in the following fields:
    • Invoice format: Click to select the type of invoice format Mews attaches to the email.
    • Language: Click to select the language used in the email.
    • Recipients: Enter the email address of the customer you want to receive the email. Note: If the customer email address already exists in the customer profile, Mews automatically displays it. Check the box to deselect if required.
  5. To add additional recipients to the email, click Add recipient. Then, enter the email address.
  6. Click Send to complete the process and send the email.

This sends a reminder email with an invoice attached. Once you send it:

  • Mews displays the date you sent the reminder under a Reminder sent field on the following screens:
    • Invoice detail
    • Bills & invoices report
    • Dashboard tab of the customer management screen Note: If you send more than one reminder, Mews displays only the information of the most recent email reminder you sent.
  • Mews displays all reminder emails sent in the Mail queue items and Action log.
