The Deposit ledger in Mews Analytics

The Deposit ledger is a part of Mews Analytics. It gives you an overview of all your guests’ deposits and payments, received prior to the start of a guest’s reservation. You can learn more about deposits in Mews here. You can use the Deposit ledger to: 

  • Keep track of guests' deposits and manage their financial records during their stay. 
  • Reconcile guests’ deposits against any charges or potential damages.
  • Identify any discrepancies or errors in deposit amounts or dates.
  • Generate reports from up to 3 months of historical data, helping you analyze deposit trends and evaluate your enterprise’s cash flow. 

 

To access the Deposit ledger, you need:  

  • an Enterprise subscription to Mews OR   
  • to purchase Mews Analytics as an add-on OR
  • Mews Multi-Property subscription AND
  • to be either an Admin in your Mews account or have the Access sensitive reports permission. 

Note: Enterprise clients need to enable the Mews Analytics integration for each property in their chain before they can use it.  

  • To access the Deposit ledger, in Mews Operations, go to the main menu Screenshot_2.png > Analytics > Deposit ledger, OR 
  • in the top search bar type in the first few letters of the name of the report, for example “deposit...” and choose the report from the suggested searches. 


This article gives you a detailed description of all the features, filters, and data available on the Deposit ledger dashboard, and the best way to use them. 

 

In this article, you can learn the following about the Deposit ledger:   

Data sources and parameters

The dashboard data represents all open reservation deposits, open prepayments, and deferred revenue, relative to the date you select, within your property or enterprise. Note: You can select today's date, or up to 7 previous days. You can also check the final balance of each month, for the previous 3 months. The report bases the data on: 

  • Your guests’ initial deposit for their future reservations, 
  • Payments not attached to any reservation, i.e., open prepayments for guests that are not in-house. 
  • Closed bills for future reservations, i.e., deferred revenue.  

The dashboard displays data per registered property in Mews for multi-property enterprises. The system loads data into the dashboard every 12 hours, and the data is usually between 8 - 12 hours old. Updated data is available every day at 9:00 UTC and at 21:00 UTC.  

Note: The exact time might vary based on the amount of data contained in the update. 

 

Data parameters:  


  • Version: Displays the latest version of the report. 
  • Last Refresh: UTC timestamp of the last report refresh. 
  • Latest Records: UTC timestamp of the most recent data that the dashboard displays. The dashboard does not reflect any changes in Mews post this time. 
  • Currency: The local currency, as per the dashboard selection. Note: You can select different currencies. The system recalculates to your selected currency, based on actual exchange rates. 
  • Exchange rate: The date of the last valid Exchange rate the system uses to calculate the metrics and the currency conversion.
  • UserId: The identity code of the user. 

Note: The dashboard recalculates all figures in the selected currency based on actual exchange rates.  

 

Main data section 


In this main data section, you can view the following fields: 

  • Total: The sum of your reservation deposits, open prepayments, and deferred revenue amounts. 
  • Reservation deposits: Gross amount of all deposits for future reservations. 
  • Open prepayments: Gross amount of all open payments created before reservation start. 
  • Deferred revenue: Gross amount of revenue in closed bills from future reservations.  

For the following sections, you can search for and select specific enterprises, dates, or graph periods, to filter your data by clicking on individual drop-down menus:   

  • Enterprise: Select one or more property(s) of your choice. 
  • Date selected: Select today’s date, or up to 7 previous days to filter your data by. 
  • Graph period selected: Select the number of days to display in the graph Amount by enterprise and day. For example, you can choose between 30, 60, 90, 120 or 180 days as the total number of days.

Deposit ledger 

The Deposit ledger displays metrics regarding reservation deposits, open pre-payments and deferred revenue, that Mews Analytics calculates from data across your property(s). 


  • Amount by enterprise: This section displays your Reservation deposits, Open prepayments, Deferred revenue amount per enterprise. It gives you a quick overview of the spread of your deposit amounts, and the open amount per enterprise. 
  • Amount by enterprise and day: This section displays the Reservation deposits, Open prepayments, and Deferred revenue amount by type, calculated per day. It gives you an overview of trends of deposit amounts held by your guests or companies. It has a trendline that displays your previous year’s amounts per day, so you can compare your current values. You can select the date range you want to view in the Graph period selected filter.
  • Amount by account type: This section displays your deposit amounts, classified by type of amount, such as Reservation deposits, Open prepayments, or Deferred revenue, and by account type.
  • Amount by account: This section displays all your accounts with open amounts, classified by name and Account type. Each account includes a clickable URL link, that takes you to the Billing tab of the relevant account.

 

Using the Deposit ledger 

You can use the data in the Deposit ledger to get insights on all deposits, open pre-payments and deferred revenue in your property(s). You can learn more about refining data using Mews Analytics, and the additional ways of filtering your view here.

You can apply filters to refine your data in the Deposit ledger. This is useful to customize your reports to display specific data, to analyze trends, identify anomalies, and more.

Filters

  • Account state (today): Filter by the state of the guest’s account. You can choose:
    • Future reservationThe guest only has a future reservation coming up.
    • No show: The guest did not check-in for a reservation that already started, or is in the past.
    • To be resolved: The guest has a past reservation or no reservations but still has an open amount.
  • Currency: Your preferred currency. Changing the currency recalculates all metrics, based on current exchange rates.
  • Chain: Choose one or more chains.
  • Enterprise type: Filter by one or more properties.
  • Country: Filter by one or more countries. 

 

Data export 

You can export certain datasets from different sections of the Deposit ledger to Excel, according to your filter selection, to view your data. You can learn more about this here. You can also print your dashboard view of the data, per tab, in PDF format by clicking Print in the top right corner.
