General setup and permissions 

Who can use the DocuSign integration in Mews Operations? 
Only properties that have activated the DocuSign integration in the Mews Marketplace can use the contracting feature. After activation, you must log in to your DocuSign account and link it with Mews to enable synchronization. You need property admin rights to access Property settings and manage templates. 

 

Where do I access the contracting setup? 
Go to Property settings > Sales > Contracting. From here, you can manage your Template library and Attachment library. 

 

Do I need to log in to DocuSign separately? 
Yes. You need to log in to DocuSign once through the Mews Marketplace when activating the integration. This step connects your DocuSign account with Mews and allows templates and signature updates to sync automatically after setup.

Using templates and attachments 

How do I update a DocuSign template after linking it in Mews? 
Update the template directly in DocuSign. Mews detects the change and marks the template status as Needs review. Open the Template library, review the update, and confirm the template again. 

 

Can I use multiple templates for one reservation? 
Yes. You can combine several templates in one contract envelope, along with attachments from your Attachment library. 

 

What is the difference between a template and an attachment? 

• Templates contain dynamic data such as guest or reservation details. They often require signatures and are linked to DocuSign, but not all templates include signature fields. 
• Attachments are static supporting documents, such as house rules or codes of conduct, which you share with guests but do not require signatures. 

 

Managing signatures and statuses 

How do I track the status of a contract? 
Each document in the Contracting documents tab shows its signature and expiration status. 

• Pending – Waiting for signatures. 
• Signed – All recipients have signed. 
• Expired – The contract or attachment passed its expiration date. 
• Needs review – Template updated in DocuSign and requires confirmation. 

 

What happens when a document expires? 
Expired documents remain in the reservation for record-keeping. You can upload a new version or generate a new contract if needed. 

 

Can I delete a contract? 
Yes, but deleting removes the entire DocuSign envelope, not individual documents. Always confirm before deletion. 

 

Process and policy recommendations 

When should I use DocuSign versus manual uploads? 
Use DocuSign for official agreements that require digital signatures, such as long-stay contracts. Use manual uploads for supplementary documents or signed forms collected outside Mews. 

 

How often should I review my template and attachment libraries? 
Review libraries quarterly or whenever policies, services, or legal requirements change. Outdated templates may cause signature or compliance issues. 

 

Can I use DocuSign contracts for short stays? 
DocuSign integration is designed for long-stay agreements. Using it for short stays may not be necessary and could add unnecessary steps. 

 

What if a recipient does not sign by the deadline? 
The document remains Pending until signed or manually closed. You can resend from DocuSign or generate a new contract if needed. 

 

How does Mews ensure document security? 
All documents are stored securely in Mews and DocuSign, following data protection standards and your property’s access permissions.
