Generate and manage contracting documents for the DocuSign integration in Mews Operations

You generate and manage contracting documents in Mews Operations when guests book long stays, make company bookings, establish memberships, or other actions that require signed agreements. You can create contracts using linked DocuSign templates or manually upload documents. You do this to ensure all reservation contracts are tracked, signed, and stored directly in Mews. You perform this action from the Contracting documents tab in a reservation’s Manage view.

Accessing contracting documents for a reservation 

  1. In Mews Operations, navigate to the reservation for which you want to create a contract. 
  2. Go to the reservation detail. 
  3. Click Manage
  4. Go to the Contracting tab. 

If you have a group reservation, select individual reservations to view their related documents. 

 

You can now upload files or generate a new contract. 

 

Uploading manual documents 

You upload documents manually when you need to attach existing files such as ID scans, consent forms, or signed agreements. 

To upload a manual document: 

  1. Click Upload file. 
  2. Select a file from your device. 
  3. Enter a name and choose a signature status: 
    • Pending: The document is awaiting signature. 
    • Signed: The document is signed. 
    • Null: No signature is required. 
  4. If applicable, set a signature deadline or expiration date. 
  5. Add a note if needed. 
  6. Click Save

Note: Mews visually indicates documents that are expired or near signature deadlines with status icons and warnings. 

 

You can now track manual documents directly in the reservation’s contracting section. 

 

Generating a contract using DocuSign templates 

You generate a contract when you need to send a long-stay or service agreement through DocuSign. 

To generate a contract: 

  1. In Mews Operations, go to the main menu main menu > Property settings > Sales > Contracting. 
  2. Click Generate contract. 
  3. From the dropdown list, select a template from your linked Template library.
  4. Optionally,
  •  Add any attachments from the Attachment library, 
  • Add any Additional files, which are files you upload to the contract, or
  • Set expiration dates for the contract or attachments.
  1. Click Next to review recipients. 

 

You can now define who signs the contract. 

 

Adding recipients and sending for signature 

Note: The system determines recipients by the roles configured in the DocuSign template. If you want to add more recipients, update the template in DocuSign. 

 

  1. Enter each recipient’s name and email address. 
  2. Review and edit the email subject and message. 
  3. Set a signature deadline, for example, one week from today. 
  4. Click Generate contract. 

 

The system creates a DocuSign envelope containing the selected documents and opens the DocuSign interface. 

 

In DocuSign, you can: 

  • Review how Mews data, for example, guest address, is merged into the template. 
  • Make last-minute adjustments. 
  • Click Send to deliver the envelope to recipients. 

 

After sending, Mews redirects you back to the reservation, where the documents appear in the Contracting screen, in the documents list. 

You can now see their status as Pending until all recipients sign them. 

 

Managing documents and statuses 

In Mews Operations, you can: 

  • Preview pending or signed contracts. 
  • Delete contracts if no longer needed. Note: Deleting contracts removes the entire envelope. 
  • Monitor signature and expiration statuses. 

 

Note: Once all recipients have signed in DocuSign, the status in Mews updates automatically to Signed

 

You can now track all contract activity directly from each reservation. 

 

Using the Contracting dashboard

Note: The Contracting dashboard is available to properties using the Pro and Core Mews BI platform.

 

The Contracting dashboard gives you a centralised view of all contract documents — both DocuSign-generated and manually uploaded — so you can monitor their status and act on pending or expiring agreements without leaving Mews.

 

To access the dashboard:

  1. In Mews Operations, go to the main menu main menu > Property > Settings > Sales > Contracting.
  2.  Select the Dashboard tab.

 

Summary statistics

At the top of the dashboard, you can find a set of at-a-glance metrics covering your document portfolio for the selected date range:

  • Total documents: The total number of contract documents on record.
  • To be signed: Documents awaiting signature.
  • Completed: Fully signed and completed documents.
  • Overdue: Documents that have passed their signature deadline without being signed.
  • Expire soon: Documents whose contract expiration date falls within the next 7 days.
  • Already expired: Documents whose contract expiration date has already passed.

 

Document list

Below the summary, a full document list shows each contract with its reservation number, expiration date, signature status, signature deadline, creation date, and document type.

 

Filters

Use the filter bar to narrow the list by date range, document name, contract expiration date, signature status, signature deadline, contract creation date, or document type. You can combine filters to find the contracts that need attention.
