The Availability & occupancy report in Mews Multi-Property includes data from across all properties in your portfolio. This means you can view your portfolio’s combined availability and occupancy data in one central location. This saves you, and your revenue managers, time spent accessing individual properties and manually combining the data. You can now export all your data at once, combined in a single Excel file.
This means on a multi-property level you can view:
- The daily occupancy levels for each space category per service, per property.
- The corresponding daily average and sales rates, across all your properties.
- The total spaces, occupied spaces, out of order and house-use rooms per property.
The Multi-Property Availability & occupancy report is a part of your Mews Multi-Property account. This report gives you a customized overview of key availability and occupancy metrics, and performance information for your entire portfolio. You can currently export up to 1 year of data from your portfolio, per service. You can learn more about the Availability & occupancy report on a property level here.
Note:
- Mews calculates the availability percentage based on the number of available spaces over the number of its total usable spaces. You can learn more about adjusting availability on a property level here.
- For properties sharing inventory between multiple services, the total capacity includes the number of shared spaces between services.
- A reservation for one space that is shared between two services decreases the availability for both services.
To view the Availability & occupancy report in Mews Multi-Property,
- Log in to Mews Operations. Click the profile menu at the top-right of the screen. This opens a drop-down containing the portfolios and/ or properties you have access to.
- Scroll or use the search bar to locate your portfolio and click on the name to open it.
- Go to the main menu
> Reports > Availability & occupancy report. This opens the report below.

Setting the filters in the report
You can configure the data in this report with the following filters:- Start: Select a start date to restrict results to a specific period.
- End: Select an end date to restrict results to a specific period.
- Rate mode: Display the report based on the rate you choose.
- Average rate: The average price for a space for a specific period.
- Sales rate: The average sales price per space in this service.
- Values: List your space categories per day classified by the type of value you choose.
- Gross value: View your space categories listed with the total amount charged for occupied spaces.
- Net value: View your space categories listed with the net amount, i.e., the gross amount minus the tax rate, charged for occupied spaces.
- Tax value: View your space categories listed with the amount of tax charged for occupied spaces.
- Status: Choose the type of reservations to show by their status. For example, Confirmed or Optional.
Exporting the data
You can export the data from the Multi-Property Availability & occupancy report, according to the filters you apply. To do so:
- In your portfolio account, go to the main menu
> Reports > Availability & occupancy report.
- Select the filters you want to apply to your data.
- Click Export.
- Click Export to Excel. You see the following confirmation message:

Click the
Notification icon to see when your data export is complete. You can now view and access the data as an Excel file saved to your device.
Understanding the fields in the Excel export file
You can view your portfolio’s availability and occupancy data displayed in the Excel file, as below:
The report displays your data within multiple tabs in the Excel file. You can click on each tab to view the following information for a given day:
- Parameters: Overview of the Excel file data, according to the filters you select.
- Occupancy: Percentage of a space category occupied.
- Spaces: Number of spaces in the selected category.
- Occupied: Number of occupied spaces.
- Occupied by other service: Number of spaces occupied by a service other than the stay service.
- House uses: Number of spaces used for house use.
- Out of order: Number of out of order spaces.
- Direct overbooking: Number of spaces directly overbooked. Direct overbookings occur when the number of reservations assigned to a space category exceeds the number of spaces.
- Indirect overbooking: The number of indirectly overbooked spaces. Indirect overbookings occur when there is an overbooked space category, and the system reallocates the excess reservations. Mews uses indirect overbookings only for reporting purposes and they do not affect the space category's availability.
- Availability: Number of spaces available.
- Arrivals: Number of spaces with guests arriving.
- Departures: Number of spaces with guests departing.
- Stay-overs: Number of spaces that have no guests arriving or departing.
- Customers: Total number of guests in-house.
- Extra beds: Number of extra beds reserved.
- Rate: Rate per day.
Within each tab, the report categorizes your data per Property, Service, Space category and Date. You can view the total, per service, per each property, in the final column. You can see the following fields:
- Property name: Name of property within your portfolio.
- Service: Type of bookable service.
- Space category: Type of space category.
- Date: The corresponding date to the data on display.
