Generating and uploading the police customer profiles report for the Basque Country in Mews Operations

To comply with legal requirements in the Basque Country, Mews Operations offers an integration that helps you generate a daily police customer profiles report. The purpose of this report is to provide law enforcement agencies with up-to-date information on individuals staying in the country. Use this integration to automatically compile guest information into a single XML file each night. Note: This is not a direct integration, so you need to manually upload the file to the Ertzaintza platform.  

 

The Basque country police customer profiles integration (Registro hotelero) and Basque country police accommodation integration (Registro hotelero) replaced the previous Basque country police integration. You need to disconnect the deprecated integration.

How to connect and set up the integration from the Marketplace 

To connect and set up the Basque Country police customer profiles integration:  

  1. In Mews Operations, go to the main menu   > Marketplace

  1. Type Basque country police customer profiles integration (Registro hotelero) in the search bar as you can see below:

  1. Click Explore.  

  1. Click Connect integration.   

  1. Configure the Settings. Note: Fields marked with * are mandatory. 

    • Integration name: You can type in the default name, as needed. 
    • Service*: Select the correct accommodation or stay service for your property, for example, Stay.
    • Space categories: Select the space categories you want to include in the integration. 
    • Property code*: Unique identifier assigned by the authorities. For details, check the local tourism legislation
    • Recipient emails*: Add the relevant email address to receive the report each night. 
    • Daily report execution time*: Set the time to run the report at, or before, 11 PM
    • Notes: Add relevant information, as needed. For example, email of the responsible person.

    1.  Click Connect

    1. To enable the integration:  

      1. Under My subscriptions, locate your integration and click Edit
      2. Check the Enabled box.
      3. Click Save
     

    This enables the integration, and the system can now automatically generate the reports for you. 

     

    Note: If there is an error in a customer profile: 

    1. Update the customer profile.  
    2. Click Exports and select this integration.
    3. Re-export the file via the Customer profiles screen.

     

    Filling in the mandatory information  

    Complete the following fields for each guest profile to ensure the Basque Country police customer profiles report is accurate:  

    • Customer Information:

      • First name 
      • Last name  
      • Second last name (for Spanish nationals)  
      • Traveler type (auto-generated by the system) 
      • Email address or telephone number  
    • Identity document (for adults):  
      • Identity document type 
      • Identity document number  
      • Document support number (If the guest has a Spanish identity card, for example, NIF or NIE) 
    • For minors:  

      • Relationship of any of the guests with the minor  
    • Address Information:  

      • Address line 1 (Street) 
      • Postal Code  
      • Country Code 

     

    Information in the generated report  

    After you fill in all the mandatory fields, the integration can generate an XML file at the scheduled time. The integration automatically generates stay information, including the following:   

    • Reservation identifier  
    • Reservation creation date  
    • Reservation arrival date 
    • Reservation departure date 
    • Number of persons  
    • Payment type  

     

    Note: If any mandatory fields are missing, the integration creates a zip file containing an errors.txt document listing which profiles have incomplete data. 

     

    Uploading the report  

    Note: This is not a direct integration, so you need to manually upload the file to the Ertzaintza platform. 

    To upload the report:  

    1. Download the generated XML file from Mews. You can learn how to find the report exports here
    2. Log in to the Ertzaintza platform.   
    3. Follow the platform instructions and upload the XML file.
