By default, your registration cards are set up to request all of the information required by law in your country. If you want to request more information from guests, you can update your registration card configuration at any time.

You can access the "Registration card configuration" section of your bookable service directly from the Mews search bar.

How to update the registration card configuration

  1. In Mews Operations, go to the main menu Menu arrow right  > Settings > Services.
  2. Click on your bookable service.
  3. Click Registration card configuration.
  4. Select the format your registration cards should be printed in.
  5. Under Options, choose which information you want to request from guests. Mews recommends that you ask for only the information that is legally required, so as to keep the check-in short and pleasant for the guest. You can refer to the detailed explanation of the fields below.
  6. Under Text, enter the text you want to print on the card, such as information about fines. It is possible to use plain text or HTML. However, using HTML comes with some limitations a the system supports the following HTML tags only:

Bold

This <b>text</b> is bold.

This text is bold.

Break

The first line of text. <br>

The first line of text.

 

The second line of text.

The second line of text.

Italics

This <i>text</i> is italicized.

This text is italicized.

Explanation of the fields on the configuration screen:

Field

Description

Add translationYou can translate the text on the registration card into another language. In the "Add translation" field, select the language from the drop-down menu. This opens a box where you can add the translation. 

Note: Setting the language in a customer's profile also automatically adds translations in the registration card. To keep the registration card only in English, set the language as English or leave it blank.
FormatSelect the paper size for printing the registration cards:
  • A4: This format is 210 x 297 mm. 
  • A5: This format is 148.5 x 210 mm. 
  • Half letter: This format is 140 × 216 mm. 
  • Letter: This format is 215.9 by 279.4 mm. 

Note: The half letter format is also known as ‘landscape’. You can also use A5 size paper for landscape printing.

Options

Choose the fields you want to include on the registration card to request the following information from your guests during registration: 

  • Display address to request a guest's address. 
  • Display birthdate to request their date of birth. 
  • Display birthplace to request their place of birth. 
Choose the following:
  • Display confirmation number to allow guests to view the unique confirmation number associated with their reservation.
  • Display date of signature to include the date. 
  • Display marketing email to ask guests whether they want to opt-in for marketing updates. The registration card displays: "I'd like to occasionally receive marketing updates from [your property name]", with a check box which when the guests check indicates the guests consentNote: The registration card displays this only if the guest chooses to opt-in for the marketing email during online check-in and not otherwise. 
  • Display rate to display the rate price of a reservation. 
  • Display sex to request information about a guest's sex during registration.
  • Display telephone to request a guest's phone number during registration. 
  • Display visit reason to request a reason for the guest’s visit. For example, Business, Leisure, etc.  
  • Print based on person count to print a blank registration card for all companions within a reservation.  

Note: If you set up your registration card with the "Display rate" option remember, if you have configured billing automations for a company or travel agency, the registration card doesn't show the rate. You can learn about how to set up billing automation here

Text

Enter any additional information you want to include in your registration cards. For example, information about fines. You need to format the text in HTML. Note: Mews recommends that you do not use this field for detailed T&Cs. You can use the documents section for this purpose.

 

Language selection 

Registration card language selection works as follows in Mews: 

  1. When the language in the customer profile and the property's "Default language" are the same, Mews displays the registration card in the common language. 
  2. When the customer language and the property's "Default language" do not match, the system gives priority to the customer language over the property's default language.
  3. If the customer did not specify a preferred language, or if you do not enter it in the customer's profile, or was not specified by the channel manager, Mews automatically sets the registration card date format to the “Default culture” setting in your property’s General settings. For example, when the default culture setting is English (United States), the date format on the registration card is “mm/dd/yyyy” while the date format for English (United Kingdom) is “dd/mm/yyyy”.

Note: If you prefer your current date format in Mews, retain your "Default culture" setting  to English (United Kingdom).


Printing registration cards

Mews prints each registration card based on the guests nationality as set up in Mews. For example, if the guests nationality is French, Mews prints registration cards for the guests in French. The same process applies for guests of different nationalities. Mews adds consecutive numbers to printable registration cards.
You can print a guest's registration card from their customer profile. In the Profile tab, click on the image.pngicon to print the card.

You can also print multiple registration cards at the same time from the reservation overview report. To do this,

  1. In the Mews dashboard, click on Reservation overview. Select a date you would like to print the registration cards for. It can be the current date or a future date.
  2. Click on "Registration cards" at the top right.
  3. A new tab opens with all the registration cards for the date you select.
  4. Print out the registration cards.

When printing a registration card from a reservation, the system always uses the service linked to that reservation. When printing from a guest profile, the system cannot determine which service you intend, so it uses the default service, defined as the one with the lowest Ordering value. If you want a specific service’s text to appear in this case, set that service to the lowest Ordering value
