What is automatic bill closure for unpaid items and deposits?

When you check out a guest with balanced unpaid items or deposits on their reservation, Mews converts those items to a bill and closes it automatically. This automation saves you from manually billing and closing these items for reservations without outstanding charges.

What are the criteria to automatically close bills with unpaid items and deposits?

When you check out a guest with the Close balanced bills option selected, the system automatically bills and closes unpaid items and deposits if they meet the following criteria:
•    The Unpaid Items and Deposits are balanced.
•    There is a maximum of one reservation associated with the unpaid items.
•    The reservation associated with the unpaid items and deposits is the one being checked out.


Does this automation apply to all types of reservations?

This automation applies to reservations checked out manually, through the Mews Kiosk, or via customer online check-out.


What happens if the criteria aren’t met?

If the unpaid items and deposits do not meet the criteria — for example, if there is more than one reservation associated with the items — the system does not automatically bill and close them, thus blocking check out. Instead, you need to manually move these items to a bill in the Billing screen, balance the bill, assign it to the correct reservation, and close it to complete the check out.


What does ‘balanced’ mean?

‘Balanced’ means that all unpaid items and deposits have corresponding charges or credits, and the remaining amount is zero.


Is there any setup required to enable this feature?

No setup is required to use this automation. The logic applies automatically during checkout when you select Close balanced bills, if the reservation meets the criteria described above.


Will this change how I use the Billing screen?

You can still manage unpaid items and deposits manually, when necessary, but the automation reduces the manual steps required during checkout.
