In Mews Multi-Property, to complete the Entity mapping part of your Mews Multi-property onboarding, you must configure entity mapping keys so that the system can identify and you can manage items like rates, rate groups, companies, and vouchers across your portfolio. An entity mapping key is a unique identifier that connects your local configurations, for example, rates, space types, products, in individual properties with your centralized portfolio setup. To configure entity mapping keys, you first need to create a central product. You can learn how to do so in the article How to create central products in Mews Multi-Property.
You need to configure the entity mapping keys to:
- Track and manage entities across all properties,
- Complete bulk operations such as uploading rates or vouchers,
- Ensure consistent configuration between properties and services.
You can configure the following keys. Each key must be unique per chain, service, product, or property.
- Accounting category: Identifies each accounting category
- Segment: Identifies each business segment
- Company: Identifies each company, unique per chain
- Property: Identifies each property, unique per property
- Rate: Identifies each rate, unique per property
- Rate group: Identifies each rate group, unique per property
- Service: Identifies each service, unique per property
- Space category: Identifies each space category, unique across the system
- Voucher: Identifies each voucher, unique per property Note: Vouchers must already exist in the property for the system to map them across your portfolio.
In this article you can learn the following about Entity mapping:
How to configure your entity mapping keys
You can configure these keys manually during onboarding to Mews Multi-Property, or at any time by following these steps.
To configure your entity mapping keys:
- In your portfolio, click on the main menu
> Settings > Entity mapping. This opens the following screen:
- Select from the Entity mapping type dropdown the type of entity key, for example, Product, you want to configure.
- Click Download template to download the Excel file for that entity type.
- Open the Excel file and enter your mapping keys in the relevant column. Each template contains ID and key columns. Ensure to fill in both correctly.
- Save the completed file. Drag and drop the completed template into the File area in the Entity mapping screen.
- Click Import.
A green confirmation message appears if the import is successful.
If the import is unsuccessful, you can troubleshoot import errors, as below.
How to resolve import entity mapping error messages
If your import fails, Mews shows a red error message. Use the table below to resolve the issue:
|
Error message | Scope | Reason |
| Invalid file | All entities mapping | The file is not an Excel file, or the headers do not match the selected entity type |
| Import failed | All entities mapping | The system cannot find the entity ID, you do not have permission, or the entity does not belong to your enterprise |
| Duplicate entity identifier | All entities mapping | The same ID is listed multiple times in the file |
| Invalid entity data | All entities mapping | The data format is incorrect for one or more values |
| Multiple external keys per service | Rates mapping |
The same rate key is used more than once for the same service |
| Entity limit exceedance | Companies mapping |
The number of companies exceeds the allowed limit of 10,000 |
Note: After fixing any errors, repeat the upload process from step 6.
You have now configured your entity mapping keys for your portfolio.
