How to set up your portfolio using Mews Multi-Property

You can set up and manage your portfolio of multiple properties using Mews Multi-Property. A portfolio in Mews Multi-Property is a group of individual properties you can manage together. Set up your portfolio to manage your multiple properties within that portfolio from one place, to accelerate operations. 

You can use Mews Multi-Property to: 

  • Centrally manage rates and vouchers across your portfolio. 
  • Import, create and delete rates and vouchers in bulk, across your portfolio(s) of properties. You can learn more about this in Managing rates in Mews Multi-Property. 
  • Set up users and roles in your properties, from your Multi-Property account.  
  • Create property groups, or custom groups of properties to help personalize your rate strategies, and more.  

Currently, all users that you add to your Mews Multi-Property account obtain access to all properties that you set up under this account. Only users you set with Admin permissions have admin access to these properties.  

Before using Mews Multi-Property, it is necessary to configure entity mapping keys. An entity mapping key is a unique identification code that lets you map each entity, such as a company, rate, or rate group, across your portfolio and individual properties. You need to create unique codes, to accurately map and identify each entity. 


In this article you can learn about how to set up your portfolio in the following steps: 

 

 

To access your Mews Multi-Property account:   

  1. Log in to Mews Operations. Click the profile menu on the top-right of the screen, and type to search for your portfolio. 

   

Note: You can only view the portfolio or property you have access to. If you cannot view your portfolio in the menu, contact your onboarding manager. 

  1. Click on the name to open your portfolio. 
  2. You can now see all properties in your portfolio. You can view the following information:   

  

  • Name: Name of the property. You can click on each property name to go directly to the property. 
  • Country: Country of the property’s location. 
  • City: City of the property’s location.  
  • Type: Type of property. For example, Hotel, Hostel. 
  • Property key: External identifier for the property

  1. Click the  Filter by search icon on each column header to open a search bar. Type your search term to automatically filter your results, as below: 

 

  

  1. Click the  icon in the search bar to clear the filter and reset your view. 
  2. Click the  icon to reorder your list of properties, for example, alphabetically.  

Step 1: Set up Central users in your portfolio 

To set up your portfolio you first need to set up Central users. 

You can set up Central users in your Mews Multi-Property account. These are users who can access your Multi-Property account and have Admin permissions across all properties in your portfolio.

You can also add Property users after setting up your portfolio. Property users cannot access your Multi-Property account and are users within a specific property(s). You can learn more about users in Mews Multi-Property here.
 

Add a Central user 

To add a central user:

  1. In your portfolio account, click the main menu main menu  > User management > Users. Here you can view the users in your portfolio and properties:

  1. Click the Central users tab. This opens the screen below: 

 

  1. Click  to add a Central user to your multi-property account. This opens the following:  

 

  1. The fields marked with * are mandatory: 
  • Email*: Enter the user email address.  
  • Learning path*: Click the drop-down to select the correct Mews University learning path for the user role. 
  • Supervisor: Click the drop-down to select the relevant supervisor for your user. 
  • Roles and permissions*: Select the appropriate permissions for the user. Note: Currently, all Central users have Admin permissions across all properties in your portfolio.  
  1. Click Send invite.  

This sends an email inviting your new Central user to complete the remaining steps to access their user account. When they accept the invitation, the system adds them to your multi-property account.

Remove a Central user  

To remove a Central user:

  1. In your portfolio, click the main menu main menu  > User management > Users, then click on the Central users tab.
  2. Click on the  icon alongside the central user you want to remove. This opens the following: 

  1. Click Remove to confirm removal. 

This removes the Central user from your multi-property account.
 

Step 2: Configure entity mapping keys for your portfolio   

Note: To configure entity mapping keys, you first need to create a central product You can learn how to do so in the article How to create central products in Mews Multi-Property. 

Before using Mews Multi-Property, it is necessary to configure all entity mapping keys. An entity mapping key is a unique identification code that allows you to map each entity such as a company, rate, rate group, voucher across your portfolio and individual properties.

 

You require these to:  

  • Track, manage and update rates, rate groups and vouchers across your portfolio.
  • Complete bulk operations, such as uploading multiple rates or vouchers, to map and identify the entity(s) you want to change. 


You can choose to set up these keys in the Configuration file you receive during the onboarding phase or follow the steps below.  

Important: You need to choose and configure entity mapping keys that are unique, per chain, service, and per property.


You can configure the following keys: 

  • Accounting category: Identifies each accounting category 
  • Segment: Identifies each business segment 
  • Company: Identifies each company, unique per chain 
  • Property: Identifies each property, unique per property 
  • Rate: Identifies each rate, unique per property 
  • Rate group: Identifies each rate group, unique per property 
  • Service: Identifies each service, unique per property 
  • Space category: Identifies each space category, unique across the system 
  • Voucher: Identifies each voucher, unique per property Note: Vouchers must already exist in the property for the system to map them across your portfolio. 
  • Product: Identifies each product, unique per property.  



To configure your entity mapping keys: 

  1. In your portfolio, click on the main menu main menu  > Settings > Entity mapping. This opens the following screen: 

 

  1. Select from the Entity mapping type dropdown to select the type of entity key, for example, Rate, you want to configure. 
  2. Click Download template. This downloads an Excel file to your device, according to the type you select above. 

 

  1. The Excel template contains information according to each entity, as in the screenshot below. Columns vary between template and entity types. Note: You need to enter ID and key data to correctly identify and map entities externally and internally.   

 

  1. Input your keys, for example, Rate key, in the relevant column. 
  2. Ensure that you enter the correct data and save the file. To re-upload the file, drag and drop the completed template into the File area in the Entity mapping screen above.  
  3. Click Import.  

A green confirmation message appears if the import is successful. 

 

How to resolve import errors


If the import is unsuccessful:

The following red error messages can appear:

Invalid  file 

Invalid file. 

All entities mapping 

None 

  • The header names in the Excel file don't match the selected entity type  
  • The uploaded file is not an Excel. 

Note: The system cannot read an Excel file. 

Import failed 

Entity identifiers in the file are missing in the system. 

All entities mapping 

“{entityName} with ID {entityId} is missing.  

  • Either the system cannot locate it, or the user doesn't have sufficient permissions to manage it, or 
  • it doesn't belong to the managed enterprises.” 
  • The entity identifier in the file is missing. 
  • You do not have permission to load this entity. 
  • Entity identifier doesn't belong to your multi-property enterprise. 

 

Duplicate entity identifier in the file. 

All entities mapping 

 

“{entityName} with ID {entityId} is duplicate.” 

 

Entity identifiers repeated multiple times in the upload file. 

 

Invalid entity data in the file. 

All entities mapping 

 

“Invalid entity mapping value. Header: {headerName}, Value: {value}, Row number: {rowNumber}.” 

Data in the uploaded file is not in the expected format or pattern. 

 

Multiple external keys per service. 

Rates mapping 

 

“You cannot use the same rate keys more than once for the same service. Please use a different rate key for each rate within the same service. Duplicated rate keys: '{rateKeys}'.” 

You may be using the same external key multiple times for the same services in the upload file.  

 

Entity limit exceedance. 

Companies mapping 

“The {entityName} count exceeds the limit {entityCountLimit}.” 

Your number of uploaded or downloaded companies, belonging to all active chains, for your multi-property enterprise exceeds the limit.  

Note: The limit is set to 10 000 companies. 


After resolving any errors, repeat steps 6 - 8 to complete the import. You have now set up your portfolio in Mews Multi-Property.
