In Mews Multi-Property, you can set up and customize user roles across your multiple properties, on both portfolio and property level. This lets you securely provide all your employees with the minimum access that they require to do their job effectively using their permissions. You need not document permissions or remember the exact permissions that you need to enable for every new user, based on their roles. This makes multi-property management easier, with better control over user permissions, and less users with unnecessary permissions.
This means you can:
- Control user access across the properties.
- Streamline employee onboarding/ offboarding, as you can assign or revoke user access to multiple properties at once.
- Create roles and configure them with specific permissions throughout your whole portfolio.
- Assign roles to users, automatically assigning the corresponding permissions.
Note: There are no limits on the number of roles that you can create and configure in Mews.
In Mews, you can create the following types of roles:
- Central roles: Roles that you create from your multi-property account. You can assign these to users in any of your multiple properties. These save you time by not having to set up roles in each property.
- Local roles: Roles you create and set up on a property level. You can use them only in the specific property where you create them. These are useful for property-specific roles.

Setting up and customizing roles in Mews Multi-Property
You can set up and customize roles on a portfolio-level in your multi-property account. You can add and customize role permissions, for example, Admin, to grant your users access to complete their tasks.
In Mews Multi-Property you can:
- Create, customize, edit, and delete central roles, that are available in all your properties.
- Assign default roles to users, to grant specific permissions according to their role.
- Manage roles across all properties in your portfolio. You can learn more about roles in your portfolio account here.
Note: You can edit central roles from your multi-property account only. You can view your central roles in each Enterprise and can assign them to users on a property level, but not edit them.
Central roles
Add central roles
You can create a new central role. To do so:
- Click
.This opens the following screen:
- Enter a Role name for your new central role.
- Select the Permissions relevant to the role. Type in the search bar to find specific permissions.
- Click Create. This adds your new role to the Roles screen.
Edit a central role
You can edit and update existing roles. To edit a role:
- Click the
edit icon per role, to open the role details screen.
- You can edit the role Settings, for example, the Role name. You can also select or de-select assigned Permissions, using the checkboxes in the Permissions section. You can type to search for specific permission in the search bar.
- Click Save changes to update the central role settings, across all properties in your portfolio.
Assign users to a role
You can also assign the role to users on the Users tab, as below:
To assign users:
- Click
.
- In the Assign this role to user screen that appears click the Select user dropdown to choose the user you want to assign the role to. You can also type to search for specific users in the search bar:
- Click Assign. Note: This immediately assigns the user and saves the user assignment. You do not need to click Save changes.
Remove users from a role
You can unassign or remove users from a role individually, or in bulk.
To unassign users:
- Click
edit icon on the role you want to unassign users from. This opens the following screen.
- Click on the Users tab.
- To remove a single user, or to remove users in bulk, use the checkboxes to select the users you want to remove, and click
.
Delete a central role
You can delete roles from your portfolio. If there are assigned users to the role you want to delete, you need to first remove users from the role. To do so:
- Click on the
edit icon and remove the users from the role.
- Click Save changes. You can now delete the role as below.
To delete a single role:
- In the Central roles screen, click the
icon on the role you want to delete.
- Click Delete to confirm.
To bulk delete roles:

Use the checkboxes on the left for the roles you want to delete, as below:

Click
. In the confirmation message that appears, click Delete to confirm deletion.
Local roles
Local roles refer to roles you set up on a property level. These are not visible in Mews Multi-Property but appear in the Excel file when you export roles. These roles apply within a specific property only, and you cannot view or assign them in other properties. This lets you customize local roles to a specific property’s needs.
