How to set up and customize user roles in Mews Operations

In Mews you set up and customize user roles to securely provide all your employees, via their user accounts, with the minimum access that they require to do their job effectively using their permissions. Permissions are managed through roles. You assign roles to users, and each role contains a set of permissions that define what actions the user can perform.

This means you can:

  • Create roles and configure them with specific permissions.
  • Assign every employee including new employees to a specific role, which automatically assigns them the corresponding permissions to their user account.
  • If you have Mews Multi-Property, you manage the permissions of your users across all your multiple properties, by creating central roles from your portfolio account. This means you assign a user with the exact same permissions, corresponding to their role throughout all your properties, via your multi-property account.   • Using roles to manage user permissions allows you to assign multiple permissions at once. This means you do not need to document, or remember the exact permissions to enable for every new user, based on their roles. This reduces the time and effort necessary for multi-property management with better control over user permissions and fewer users with more permissions than necessary. There are no limits on the number of roles that you can create and configure in Mews.

With the granular permissions system, permissions are organized by business domain and you configure them for specific actions such as view, create, edit, delete, and export.

Setting up new user roles

In Mews Operations you can:

  • Create and customize new user roles at your property.
  • Use or delete the default user roles or extend permissions in Mews Operations.

Mews provides predefined roles based on common hospitality functions. You can use these roles as they are, or edit and duplicate them to match your operational needs.

Note: If you are a Mews Multi-Property user, and have central roles set up, you can view central roles in your property account, but you cannot edit or delete them. To do so, go to your portfolio. You can learn more about this here.

If you are an onboarding Mews property

  1. In Mews Operations, go to the main menu > User management > Roles. Roles are managed in the Roles page, which acts as the central place for access control. A list of predefined roles appears.

To modify a predefined role

  1. Scroll down to the role you wish to modify and click on it.
    1. You can modify the Role name, and
    2. Click on the Edit role dropdown menu to choose the permissions that you want to allow for this role.   
    3. Click Save.

To create a new role

  1. Click Add role.
  2. Enter the details such as the Role name, and Role Category.
  3. Click on the Assigned permissions* drop-down menu to choose the permissions that you want to allow for that role within your property. 
  4. Click Create.

This creates your new role and adds it to the list. 

 

If you are an existing Mews property

  1. In Mews Operations, go to the main menu > User management > Roles.
  2. To create a new role, click Add role.
  3. Enter the details such as the Role name.
  4. Click on the Assigned permissions* dropdown menu and choose the permissions that you want to allow for the role within your property. ​​​​​​
  5. Click Create.

 

There are no limits to the number of roles that you can create in Mews. You can modify the role, including the assigned permissions, that you create at any time and as often as necessary. Users immediately receive their updated permissions.

 

Deleting a user role

You can also delete a user role at your property.

Note:

  • You cannot restore deleted roles; you need to create a new role.
  • If you are a Mews Multi-Property user, with Central roles set up, you cannot edit or delete Central roles from an individual property account. To do so, go to your portfolio account. You can learn more about Central roles here.

To delete a user role:

  1. In Mews Operations, go to the main menu > User management > Roles.
  2. Then click on the role that you wish to delete.
  3. Then click on the in the top right corner.
  4. Click Delete to confirm deletion.

 

Assigning roles to new employees

When you set up and configure user roles in Mews, it is much simpler, error-free and secure,

  • to assign roles to the user accounts of your new employees within your property, and
  • when assigning roles to user accounts, while adding new properties to your chain enterprise.

To assign roles to new employees

  1. In Mews Operations, go to the main menu > User management > Users.
  2. Click Add a new user to the property to add a new user account.
  3. In the Roles and permissions section, click one of the following options:
    • Admin: To enable all permissions. Admin users can also make changes to the Editable history window, so Mews recommends you use this option only for user accounts of employees at a higher level.
    • Roles: To directly assign a role from the Select roles drop-down, that you already set up and configured with predefined permissions.
    • No permissions: To refuse all permissions.
  4. If you select Roles, choose one or more roles.

You can assign one or more roles to a user. The permissions from multiple roles combine.

  1. Enter the remaining fields as explained here and click Create.

This creates the user account for your new employee and assigns them the permissions you choose for them.

 

Setting up user roles when adding a new property

When onboarding a new property:

  1. Mews imports the enterprise user roles along with the enterprise in a single file.
  2. If there are no configured user roles to import, Mews automatically sets up and configures predefined roles for a new property.

These predefined roles are based on common hospitality use cases and you can edit them after setup.
