You can set up the following types of users in your Mews Multi-Property account:
- Central users: Employees who have access to and can manage your entire portfolio of properties in Mews Multi-Property. These are users who can perform actions within your portfolio. Note: Currently, all central users you add have Admin access across all your properties.
- Property users: Employees who have access to only the property(s) in your portfolio that you add them to. They can’t access your Multi-Property account and only have access permissions in Mews Operations, that are relevant to their role. You can manage property users across all your properties from your Multi-Property account.

Access your users in Mews Multi-Property

Log in to Mews Operations. Click the profile menu at the top-right of the screen. This opens a drop-down containing the portfolios and/ or properties you have access to, as below:

Scroll or use the search bar to locate your portfolio and click on the name to open it. This opens the Properties screen:

In your portfolio account, click the main menu
> User management > Users. Here you can view the users in your portfolio and properties, organised into two tabs: Property users, and Central users.
Central users
Add users
To add a central user:
- In your portfolio account, click the main menu
> User management > Users. Here you can view the users in your portfolio and properties.
- Click the Central users tab. This opens the following screen:

Click the
button to add a central user to your multi-property account. This opens the following:

The fields marked with * are mandatory. You can add the non-mandatory fields later.
- Email*: Enter the user email address.
- Learning path*: Click the dropdown to select the correct Mews University learning path for the user role.
- Supervisor: Click the field to select from the dropdown.
- Roles and permissions*: Select the appropriate permissions for the user. Note: Currently, all Central users have Admin permissions across all properties in your portfolio.
- Advanced settings: Check the checkbox if you want your user to have permission to Receive guest messages.

Click Send invite.
This creates the Central user and adds them to your multi-property account. You can view them on the Central users tab on the Users screen:
Edit a user
To edit a central user:

On the Central users screen, click the
Edit icon. This opens the following window:

Complete your edits and click
to update the Central user. Note: Currently you cannot edit the First name or Last name of a Central user. Only the Central user themselves can edit these.
Remove a user
Removing a user is an irreversible action.
To remove a central user:
- On the Central users tab, click the
Bin icon alongside the Central user you want to remove. This opens the following window:
- Click Remove. This removes the central user from the list. Note: This action is irreversible.
Property users
Add users
To add a property user:

In your portfolio, click the main menu
> User management > Users. This opens the screen below:

On the Property users tab, click
to add users to your properties.

Fill in the mandatory fields marked with *, as below:
- Email addresses*: Type to add one or more user emails, separated by a comma or space.
- Learning path*: Select the Mews University learning path relevant to the employee role. Note: If your user requires different learning paths per property, you need to access each specific property account and customize accordingly.
- Properties*: Select from the dropdown the properties these users can access.
- Roles and permissions: Click on the roles and permissions option for your user, you can select:
- Admin: Add users with full access.
- Roles: Choose from a pre-defined list of user roles and permissions. Click to select the appropriate role(s) in the Select roles* dropdown menu that appears below.
- Individual permissions: Set up specific permissions for your users. Click to select the appropriate permissions in the Select permissions* dropdown menu that appears below.
- No permissions: Create users with no permissions but with access to enterprises. You can change this later.
- Advanced settings: Check this box for the user to Receive guest messages.

Click Send invites.
This creates the Property user account and adds the Property user to the properties you select in your multi-property account. You can learn more about creating user accounts for your employees here, and about different user permissions and access types here.
Edit a user
You can edit Property users, individually and in bulk.

To edit a single property user:

In your portfolio account, click the main menu
> User management > Users.

Click the
Edit icon beside each user to make changes to the individual user. This opens the screen below:

You can edit the user information on the General tab, for example, name, roles, permissions. To edit the properties that the user is assigned to click the Properties tab:
Note: When you edit a property user with different roles, learning paths, or permissions per property, these fields appear as locked in the screen, as below. You can learn more below.

- You can remove the user from one or multiple properties:

- To remove a user from a single property, click the
icon per property.
- To remove a user from multiple properties, use the checkboxes to multi-select. You can see the number of properties in the blue section. Click
. Note: You need to assign the user to minimum one enterprise. You cannot remove them from all properties. To do so, you can Remove the user.
You see the following confirmation message:

- You can assign the user to additional properties:

To assign a user to additional properties, click , to open the Assign properties popup, as below. Type, or select from the dropdown the properties you want to assign your user to. You can search by property name and select multiple properties. Click
.
Note: When you assign a user with different roles, learning paths or permissions in different properties, to a new property, you can copy existing user settings to the new property. You can learn more below.
You see the following confirmation message:

Click Save changes. This updates your property user. You can see the following confirmation message:
If you assigned some property users to different Roles per property, you can see the list of Roles displayed in the Property users tab, per user:

To edit a property user having different roles, learning paths or permissions:
- Click the
icon on the user you want to edit. This opens the user details.
- Fields where the property user has different values per property appear as locked, with an
icon:
- Click the
icon to unlock the field. This also clears all previous settings in all the properties they are assigned to. Note: You can see the current settings listed within the locked field. Clicking to unlock the field clears them. If you don’t save changes, the previous settings remain unchanged.
- Select or enter your new Role, Learning path and/ or permissions. These edits override all previous settings.
- Click Save changes. This updates the Property user details and unifies the user details across all properties you assigned them to.
Note: To assign different roles, learning paths, or permissions to your Property user in different properties, you need to make these changes on a local level. You can do so by accessing the individual Property accounts and editing the user details. You can learn more about users on a property-level here.

To assign a new property to a user having different roles in different properties:
When you assign a user to a new property, who has different roles, learning paths, or permissions per property, these fields appear as locked in the user details screen. To edit these fields, click the lock icon. This unlocks the field and clears the previous settings in all properties the user is assigned too. This overrides all property-level settings. Note: You can see the current settings listed within the locked field. Clicking to unlock the field clears them. If you don’t save changes, the previous settings remain unchanged. You can assign properties to your users, even with locked fields. To do so:

Click the Properties tab, and then click
. This opens the Assign properties popup. You can select the new property(s) to assign to the user in the Select properties dropdown.
- You can choose to copy the user details from one of the properties the user is assigned to, into the user’s profile in the new property. To do so, click the Copy the user details from dropdown to select which property to copy the user details from, then click Assign.
- Click
.
The system now applies the new role, learning path, or set of permissions that you select for the user to all properties assigned to the user, and overrides all previous settings.
Remove a user
Removing a user is an irreversible action.
To remove a single property user:
- In your portfolio, click the main menu
> User management > Users.
- Click the
icon next to the Property user you want to remove.
- In the confirmation window that appears, click Remove. Note: This permanently removes the user from the system, from all properties in which they are active. This action is irreversible.
To bulk remove property users:

On the Users screen, Property users tab, use the checkboxes to select the users you want to remove from your properties. You can see the number of users on display at the top:

Click
. In the confirmation message that appears, click Remove.
Export to Excel
You can export your Property user information from across all your properties to Excel, as an .xls file. This file contains a list of all your Property user information, with a summary of the roles and permissions they have, per property.
To export your Property user information:
- Click the
Export to Excel icon. This exports the data to your device.
