You export event services when you need to transfer services from an event quote to billing. You do this as an event manager or front-office staff member to keep billing aligned with the latest event changes. You complete this action in Mews Events, where you can make changes to products in the Services section of the event quote, before exporting them.
In this article, you can learn about:
How to export event services to Mews Operations from an event quote in Mews Events
You can export services only for an approved quote, starting seven days before the event and up until the end of the first event day.
You can export services more than once to reflect updates during the event lifecycle. Before exporting services, you must ensure the quote is approved.
Each time you export services:
- The system creates a new bill in Mews Operations
- The system names the bill after the event
- The system includes only services marked as pending
- In Mews Events, click to open the event quote.
- Click Export services
- Confirm the export
You can now see the exported services as a new bill in Mews Operations.
How to make changes to your services on a quote
You can update the event quote after you have exported services. There are two types of changes you can make.
Adding new services
To add new services to a quote you have already exported:
- At the top of the quote, click Edit.
- In the Services section, add the new services.
- Save the quote.
- Approve the quote again, either by selecting Request signature or Approve without signature.
- In the pop-up that appears, select Approve only or Approve and send. Once approved, the system marks the new services as Pending in the Services section. A banner at the top of the quote shows that services have changed since the last export.
- You can then export the pending services to create a new bill in Mews Operations by selecting Export services.
Editing exported services
You can change the quantity or price of a service that has already been exported.
Note: If you change the quantity or price of an already-exported service, you must go to the bill in Mews Operations and update it manually. The system flags the product as no longer in sync with the bill. These changes are not applied automatically when you export again.
How to track export status
Each product in the Services section shows an export status. This helps you understand what you already send to billing and what still requires action.
Export status types
- Not exportable means you cannot export the service.
- Pending means the service is ready to export
- Exported means the service has already been sent to Mews Operations
View exported and pending services
You can review services status directly in the quote:
-
Check the last export date at the top of the quote to see when you last sent services
- Expand the Services section to view all services
- Review the services; each has the corresponding export status showing
This helps you clearly identify:
- Services you already send to Mews Operations
- Services you still need to export
