How to generate a group pricing quote in Mews RMS

When a group booking inquiry comes in, you need to quickly assess whether the business is worth taking and at what price. The Mews RMS group pricing feature helps revenue managers generate a recommended price for an entire group stay in one place. Use it whenever you receive a group inquiry and want to evaluate the quote before responding to the organizer. You access this feature inside Mews RMS. With the group pricing quote generated, you have a clear, data-informed recommended price for the entire stay, broken down by date and space category. You can compare the recommended price against the current price and minimum price, factor in any ancillary revenue and commissions, assess the impact of displaced transient revenue, and share the exported quote with your team or the group organizer, all without leaving Mews RMS.

 


Note
  • Make sure you have access to the Revenue screen in Mews RMS.
  • All recommended prices the system generates are based on the optimized rate already set up in your Mews RMS configuration.

In this help article you can learn:

Step 1: Select the date range

  1. In Mews Operations, go to the main menu Main menu icon in Mews Operations  > Revenue > Tools.

  2. Select Group Pricing.

  3. Under Dates, select the start and end dates that the group booking covers.

Note: The system estimates all quotes based on the RMS optimized target base rate.

Step 2: Set availability by space category

  1. Under Availability, enter the number of spaces you need per space category for each day of the group stay.

  2. If the group requires the same number of spaces every night, apply the quantity across all dates at once.

  3. If the group's needs vary by night, set a different quantity for each individual date.

Note: Space categories must reflect the actual space types the group is requesting, not your total property inventory.

Step 3: Add ancillary revenue (optional)

This step is optional. Complete it only if the group is expected to generate revenue beyond room revenue, for example, spa, parking, food and beverage, or conference room hire.

  1. Under Ancillary revenue, add each additional revenue source and its estimated amount.

  2. If a third-party agent commission applies, enter the commission percentage in the field provided.

Step 4: Review and download the quote

  1. Under Quote, review the full recommended price for the entire group. The quote includes the following figures:

    • Recommended price: The charge that brings the maximum average revenue, forecasted on the optimized base rate.

    • Current price: What the group booking costs if booked space by space at the prices shown on the Pricing screen.

    • Minimum price: The lowest charge at which accepting the group is still more profitable than declining it and selling the same capacity through normal channels. If this value is 0, the group is expected to be profitable enough that the spaces could theoretically be given away, though Mews does not recommend this.

    • Ancillary revenue: Additional revenue anticipated from the group booking, for example, spa, parking, food and beverage, and conference rooms.

    • Displaced revenue: The net impact on transient revenue from accepting the group and blocking that capacity. A positive value means expected transient revenue is lost; a negative value means the group is forecast to have an increasing effect on remaining transient demand.

    • Commission: Any commission lost to third parties as a result of the group booking.

  2. To see a more detailed breakdown, view the quote by date and by space category.

  3. To save or share the quote, select Download to export the full quote.

Note: The system bases the recommended price on the optimized rate in Mews RMS at the time you generate the quote. If rates change, regenerate the quote to get an updated figure.
