Generate tourist report for HESTA

In Switzerland, HESTA reporting is conducted at a national level to gather statistics about arrivals and beds, organized by guests' country of origin. Swiss properties need to send tourist data to the federal statistical office.

You can use the Swiss tourist accommodation statistics (HESTA) integration, which is an internal tool to generate tourist reports.

Note: This is not a direct integration. The integration does not automatically send the generated reports to HESTA. The property needs to manually upload the exported reports to the HESTA portal.

In this article you can learn about:

How to set up the integration

  1. Go to the main menu Screenshot_2.png > Marketplace. In the Legal environment section, locate the Swiss tourist accommodation statistics (HESTA).
  2. Click Explore and the click Connect integration.
  3. Under Service, select a bookable service, for example, Stay.
  4. In the Space category field choose the space categories you want to include in the report. This is useful if you need to create reports per address.

Note:

  • You can select all the space categories located at one address.
  • If you don't specify space categories, the report includes all your space categories.
  1. Under Property code, add your property's BUR number. This number is provided by HESTA. Note: If you don't have a BUR number, request it by contacting [email protected]
  2. In the Recipient email field, enter the email address you want the integration to send the export to. Note: This should be someone at your property who manually uploads the export to HESTA monthly.
  3. In the Daily report execution time field, enter the time past midnight to send the report. For example, setting Daily report execution time to 10 minutes sends the report at 00:10. Note: Do not leave this field blank. The export is not emailed if you leave this blank.
  4. Under Send monthly export on day, choose the day of the month when the export should be emailed. For example, enter 10 to get the previous month's report on the 10th of each month.

Note:

  • Do not leave this field blank. The export is not emailed if you leave this blank.
  • HESTA requires that you upload the report on first day of every month.
  1. Click Create. On successful creation of the integration, Mews redirects you to the My subscriptions tab.
  2. In your list of active integrations, locate the Swiss tourist accommodation statistics (HESTA) integration and click Edit to go to the settings page.
  3. Select the Enabled checkbox and then click Save

Filling in the customer profiles

Note:

  • For the report export to be successful, you need to fill in the country of origin and nationality for all guests, including companions.
  • Mews no longer requires first and last names. The integration still exports the report and sends it to the Recipient email you entered when setting up the integration.

For group reservations,

  • You need to add all the customer profiles so that they appear in the report. If you fill in only half the number of companions, the report includes only half the nights.

Uploading the report

Every month, the exported report is sent to the email address you listed in the Recipient email field. When you receive it, you just need to upload it to the HESTA portal.

HESTA FAQs

Question: How do I cross-check whether the Total arrivals in the exported report match with the correct information in Mews?
Answer: For group reservations, with an owner and one or multiple companions, the system exports data including companions to show the total number of individuals arriving. To view this information:
  1. In the Mews Dashboard, under the Customers section, click on Customer profiles.
  2. In the filters section of this report, select the Overlapping mode.

Note:

  • It is extremely important that all customer profile report integrations are set to the correct mode to ensure the consistency of exported data. If you don't use the correct mode, the export fails with an error message.
  • Mews has all police reports set up to only allow reports to be exported in the mode that is legally accepted. Mews creates this report with the Overlapping mode by default.
  1. Specify the first day of the previous month and the first day of the current monthFor example: To show data for January 2021, select 01/01/2021 - 01/02/2021.
  2. Click View report

Note: Do not use the Reservation report to compare with the data in the exported report. The Reservation report looks at reservations posted per night and not the total number of guests present.

Question: How do I cross-check whether the Total nights in the exported report match with the correct information in Mews?
Answer: To compare the total number of nights occupied with the exported report, Mews recommends that you use the Customer statistics report and set the filter to Colliding.

Note: The exported report does not report missing companions, but you can view missing companions in the Customer statistics report.

Question: The Exports archive page is displaying the error message "Can only generate report for one calendar month." under Failed in the Status column. What does this mean?
Answer: For the HESTA report to export successfully, you need to set the export filters for a full calendar month. Configure the End filter exactly one month apart from your desired Start date before exporting.
