In Mews Operations, bills need resolution when they require an action from you. This includes bills where you received a prepayment but did not declare tax, in Legal Environments that require tax on payment, guests with an unpaid balance after checkout, balances that need an invoice or a refund, and balanced bills that you still need to close and fiscalize. You can identify bills that need resolution in the Deposit ledger and the Guest ledger. Resolving these bills promptly keeps your cash flow on track and your accounts accurate.
Note
- You need the View individual reports permission, with View access to the Deposit ledger, the Guest ledger, and the City ledger.
- You do not need the Export permission to filter a ledger. You need it only to export ledger data to Excel or other formats.

How to identify bills that need resolution in the Deposit ledger
Some Legal Environments require you to declare tax when you receive a payment. If this applies to your property, enable the Tax declaration on deposits setting and use the Deposit ledger to find the bills where you did not declare the tax correctly. If your property does not need to declare tax on payment, keep the setting disabled. You then do not need to filter the Deposit ledger by tax declaration.
To enable the setting, in Mews Operations, go to the main menu > Settings > Property > Finance > Accounting configuration > Bill management > Deposit management, then click the Tax declaration on deposits slider switch to enable it.
Once you enable the setting, you can find the bills where you did not declare tax correctly. To do this:
-
In Mews Operations, go to the main menu
> Finance > Ledgers > Deposit Ledger.
-
Click Filter.
-
In the new side-window, under Tax declaration, click to select Tax not correctly declared.
-
Click Apply Filters.
This shows all deposit bills where you still need to declare tax. To resolve this, declare the tax for that prepayment using the deposit setting in Mews. Find the reservation the prepayment is for, create deposit items, and close the positive deposit against the payment on the separate bill.
You can also review payments where the reservation status is empty. This happens when the payment sits on a bill with no reservation charges, so Mews cannot link it to a reservation, or when the bill holds charges from multiple reservations in different statuses. To review these payments:
-
In the Deposit Ledger, click Filter.
-
In the side-window, under Reservation status, click to select Null.
-
Click Apply Filters.
This shows all payments that Mews cannot link to a single reservation status. Move each payment to the bill that holds the related charges.
How to identify bills that need resolution in the Guest ledger
You can use the Guest Ledger to identify whether any bill balances need action. To do this:
-
In Mews Operations, go to the main menu
> Finance > Ledgers > Guest Ledger.
-
Click Filter.
-
In the side-window, under Reservation status, click to select Past.
-
Click Apply Filters.
-
Review the Outstanding balance column for each bill and take the appropriate action based on the following:
-
If the outstanding balance is 0: Close the bill to produce a receipt and tidy the ledger.
-
If the outstanding balance is more than 0: Issue an invoice or follow up for payment.
-
If the outstanding balance is less than 0: Check whether the guest needs a refund or a credit for a future stay. Either refund the guest or move the outstanding balance to the bill of an existing reservation.
-
This shows all bills for checked out guests that need resolution in the Guest Ledger.
