The Deposit ledger in Mews Operations

The Deposit ledger in Mews Operations helps your property manage and track payments for future stays. It includes bill details, arrival and departure dates, and deposit amounts. Use it to monitor live deposit values and reconcile your accounts daily or as needed. For full reconciliation, the Trial Balance report includes a detailed snapshot of deposits for the selected day. 

 


Note


A deposit in Mews is a payment for a bill which contains: 

  • No order items or reservations,
  • Order items with a future consumption date, or 
  • Reservations that are not yet checked in. 

 

To view the Deposit ledger in Mews Operations: 

  • Go to the Main menu main menu > Finance > Ledgers > Deposit ledger.

Navigating the Deposit ledger 

Date picker 

  • Use the date picker to change the reporting date of the ledger.
  • Set the reporting date to a past date and the Deposit ledger automatically refreshes to display deposit data as on that date. Note: You cannot set the reporting date to a future date, or to a date prior to the release of the new Deposit ledger. 

Total deposits 

  • Total deposits displays the total deposit balance on the selected reporting date. 
  • The reporting date appears above the deposit total. 
     

Note:

  • When your property uses the deposit feature, this value is minus declared taxes. Mews still displays the Gross value for your reference and calculates it from the day the feature is switched on for your region, not retroactively. This is only relevant for properties in countries where you require a tax declaration upon receipt of the deposit and where the deposit feature is used in Mews.
  • If your property does not need to declare tax on receipt of payment, disable the Separate deposits on bill option in Accounting configuration to avoid incorrect use that affects deposit ledger balances.
      

Deposit ledger table 

  • The Deposit ledger table contains all the deposits in the ledger on the given reporting date. 
  • The reporting date appears to the right of the Deposit ledger table header. 
  • Each row represents a bill which contains one or more deposits. 

 

Setting the filters in the report 

You can refine the Deposit ledger data with the search bar and the Filter button. 

 

To filter the ledger with the search bar: 

  1. Click inside the search bar and enter the owner, profile, or bill you want to filter for. 
  2. The Deposit ledger automatically filters deposits in the table according to your search terms. 
  3. Click the x in the search bar to remove your search filter. 

 

To filter the deposit ledger with the Filter button: 

  1. Click filter icon  
  2. Set the filter options: 
    • Owner type 
    • Associated profile type 
    • Reservation status 
    • Arrival date start: Sets the lower range for the earliest arrival date to display. 
    • Arrival date end: Sets the upper range for the latest arrival date to display. 
    • Balance minimum: Sets the lower range for the lowest balance to display. 
    • Balance maximum: Sets the upper range for the highest balance to display.
    • Tax declaration: To validate you created deposits and declared tax for all your prepayments. Note: The system displays this filter only for properties using the deposit feature.
  3. Click Apply filters to confirm or Reset filters to clear. 

Note:  

  • A blue dot on the Filter button Filter applied blue dot on icon indicates that one or more filters are currently active on the ledger. 
  • The Total deposits amount updates according to the filters you apply. 

 

Understanding the fields in the report 

The Deposit ledger displays the following columns: 

  • Owner: The profile of the bill owner. 
  • Associated profile: The profile associated with the bill. Note: If there is no associated profile, this field is blank. 
  • Bill: The bill containing the deposit payments. Note: If this field is blank, it means that the payments are in Unpaid Items and Deposits, rather than a dedicated bill. 
  • Arrival date: The reservation date of arrival. Note: If the bill has multiple reservations, this field displays the earliest reservation arrival date. If there are no reservations on the bill, this field displays the earliest consumption date of any order item on the bill. 
  • Departure date: The reservation date of departure. Note: If the bill has multiple reservations, this field displays the latest reservation departure date. If there are no reservations on the bill, this field displays the latest consumption date of any order item on the bill. 
  • Reservation Status: The status of the reservation. Note: This field is blank if the bill has no reservations or has multiple reservations with different states. 
  • Last Paid: The most recent payment date. 
  • Deposit Balance: The current balance of deposits in the bill. Note: When using the deposit feature, this value is minus taxes.

If your property is using the deposit feature, the system displays the following extra columns:

  • Gross amount: To reconcile the deposit ledger with actual payments. Note: Mews displays a warning icon if the system detects that tax has not been declared correctly. For example,
    • if the full payment amount does not have tax declared
    • if you have not closed the deposit bill to create a tax receipt

 

 

You can now filter for and view deposits with the Deposit ledger.
