The Ledger activity report in Mews Operations shows individual ledger entries across all ledgers at your property. It provides a complete view of every transaction posted in the system. Use this report to support reconciliation, financial validation, and invoice tracking externally, or outside of Mews.
Each transaction in Mews creates a double-entry posting, meaning it records both credits and debits. Additionally, Mews API exposes this data for integration with external accounting systems. Users cannot edit past entries in the report - any corrections appear as new entries in the current period.
Note
- Mews is currently releasing this feature region by region.
- If you track invoices outside of Mews and do not enable invoice tracking, Mews automatically offsets each issued invoice with a matching transaction. This means the City ledger balance in the Trial Balance report shows a zero balance; however, you can still see both the invoice and its offset in the Ledger Activity Report.
To view the Ledger activity report:
- In Mews Operations, go to the Main menu
> Finance > Ledger activity report.
At the top of the report, Mews displays the following two summary sections:
- Ledger summary
This section shows the total value of postings for each ledger group:
- Total revenue
- Total non revenue
- Payments
- Outlets
- Balance summary
This section helps you confirm that all ledger postings are accurate and balanced. You see the following highlights:
- Deposit ledger: Shows the total value of all postings to the Deposit ledger for the selected time period.
- Guest ledger: Shows the total value of all postings to the Guest ledger for the selected time period.
- City ledger: Shows the total value of all postings to the City ledger for the selected time period.
- Net balance: Uses the following formula to show whether all postings are balanced:
Revenue + Non-revenue + Payments − Guest ledger − City ledger + Deposit ledger
A value of zero means the ledger postings are correct and balanced.
Note:
- If the net balance is not zero, it usually indicates a posting issue. You may see a positive or negative amount, which means the system has not balanced the ledger activity.
- If you track invoices outside of Mews and do not enable invoice tracking, Mews automatically offsets each issued invoice with a matching transaction. The City ledger balance in the Trial Balance report then shows a zero City Ledger balance, while the Ledger Activity Report shows both the invoice and the offset. Use this report to review and reconcile invoices tracked externally.
For example, if a technical issue causes a posting to skip a ledger, the net balance highlights the discrepancy immediately.

Setting the filters in the report
To filter the report, click the Filter button.
You can filter by:
- Start date: Enter the first day you want to include in the report.
- End date: Enter the last day you want to include in the report.
- Profile: Filter by company or guest profile.
Note:
- By default, the report displays the data for the last closed business day.
- If you want to see data for only one day, set Start date and End date as the same date.
- You cannot view data prior to the release of the ledgers or for future dates
Ledgers available in the report
The Ledger activity report displays individual posting entries for the following ledgers:
- Revenue ledger: Revenue-generating transactions and their amounts.
- Non revenue ledger: Non revenue-generating transactions, such as VAT taxes, city taxes, tax adjustments, taxes on prepayments, or other local taxes.
- Payments ledger: Payments to your property.
- Outlets ledger: Outlets transactions.
- Deposit ledger: Transactions posted to the Deposit ledger. This ledger records received deposits as credits and consumed deposits as debits.
- Guest ledger: Transactions posted to the Guest ledger. This ledger records due guest charges as debits and records balancing transactions such as payments or invoices as credits.
- City ledger: Transactions posted to the City ledger. This ledger records issued invoices as debits and invoice payments as credits.
Understanding the fields in the report
Click > next to a category to view individual transaction details. The detailed view has the following fields:
- Accounting category: Accounting category of the transaction.
- Bill: Bill associated with the transaction.
- Bill owner: The owner of the bill.
- Accounted date: Date of posting into accounting.
- Count: The number of transactions within an accounting category. Individual transactions are always 1.
- Tax rate: Percentage of tax on transactions.
- Net amount: Transaction value without tax.
- Total amount: Transaction total.
Note: Tax rate and Net amount only appear in the Non revenue and Outlets ledgers.
Using the Ledger activity report
- The Ledger activity report provides a comprehensive overview of individual transactions to help you verify your property’s accounting flows across different ledgers and reports.
- Identify externally tracked invoices and their offsets by filtering for City Ledger transactions. For each issued invoice, Mews posts a matching offset transaction to ensure the balance remains accurate in the Trial Balance.
- You can use the filtering tools and specific accounting categories to investigate and validate accounting activity. For example, you can use the Ledger activity report to:
- Compare your ledger totals summary from the Trial balance against the summarized view in the Ledger activity report and then investigate detailed transactions if needed.
- Help your property to reconcile daily ledger movements on the Deposit, Guest or City ledgers.
Exporting the Ledger activity report
To export the Ledger activity report:
- In Mews Operations, go to the main menu
> Finance > Ledger activity report.
- Use the date filter or manually locate the report you want to export and click Download
.
Note:
- You can export the Ledger activity report in Excel or CSV format.
- The system exports further columns of data in the report export that are not visible in the Mews Operations UI.
You can now use the Ledger activity report to track financial transactions across multiple accounting ledgers.
