Understanding the report sections
The Business on-the-books report has two sections:
- Overview: A summary of total revenue for the selected period, grouped by quote status. You can add a comparison period to view this year's revenue against the reference period you select. You can also view Revenue by event type, number of Events, Average event value.
- Revenue breakdown: A detailed table of individual events and their revenue, split by category.
-
- Clicking on the event name in the table opens the corresponding quote.
- You can filter and sort columns by clicking on the options on the column headers.
- You can reorder columns as needed by clicking
at the top of the table.
Selecting a period
By default, the report shows the current month. To view a different time frame, use the date range picker to select a start and end date. The report updates to show data for your selected period.
You can select a Custom period to, for example, identify a specific calendar event or recurring event.
Comparing periods
You can compare different periods in the Overview section. When you turn on the comparison, the overview updates to show the values of the periods you are comparing, side by side.
You can select from:
- Previous period: Compare current values to the previous period.
- Same period last year: Compare current values to the same period last year.
- Custom period: Compare current values to a custom period you select.
Note: Comparison is only available in the Overview section. The Revenue breakdown section is not affected.
To add a comparison period:
- In the Business on the Books report, click the Compare periods dropdown, and select a period using the date range picker.
- Choose a preset comparison period or set a custom date range.
The Overview section updates to show your comparison.
Quote statuses in the report
The report groups events by quote status. Quote statuses from Mews Events map to three status labels in the report:
|
Report status |
Quote statuses included |
|---|---|
|
Confirmed |
The booking is approved and going ahead. Maps to Approved quotes. |
|
Optional |
The booking is likely but not yet firm. Maps to Accepted and Currently being modified quotes. |
|
Inquired |
The booking is in the early stages. Maps to To be processed and Pending signature quotes. |
|
Rejected (customer) |
The customer declined. Maps to Rejected by the customer quotes. |
|
Rejected (property) |
The property declined. Maps to Rejected by the property quotes. |
Note: Events with a status of Rejected by customer or Rejected by property are not included in the report totals.
How revenue is calculated
Revenue in the report is calculated by consumption date, not by event date. If an event spans multiple months, the revenue for each item appears in the month it is consumed.
Note: All revenue showing on the report excludes VAT.
For example, a three-day event running from 30 June to 2 July shows June revenue in the June period and July revenue in the July period. Therefore, the same event may appear twice in the table, with the revenue split across both periods.
Within each Revenue category, you can access the following details:
- Accommodation: Accommodation service. Note: If you configure city tax for accommodation in Mews, this is included in Accommodation revenue.
- Food: All food products under the ‘Catering’ service, including those bundled into packages
- Beverage: All drink products under the ‘Catering’ service, including those bundled into packages
- Spaces: ‘Seminar’ and ‘Public spaces’ services, including all space rentals. Note: Daily delegate package and residential seminar are broken down across relevant categories, for example, space, food, and beverage.
- Coffee breaks: maps to the ‘Coffee breaks’ products under the ‘Seminar’ service
- Activities: ‘Activities’ service
- Supplementary: ‘Supplementary services’ service
- Other: Includes all ‘Other’ items added manually to a quote
Grouping events in the report
In the Revenue breakdown section, you can change how events are grouped. The available options are:
- No grouping: All events listed individually with no grouping applied.
- Group by quote status (default): Events grouped under Inquired, Optional, or Definite.
- Group by month and status: Events grouped first by month, then by quote status within each month.
To change the grouping:
- In the Revenue breakdown section, click the Group by: dropdown.
- Select a grouping option.
The table updates to reflect your selection.
