Using Mews Events features for event management

Mews Events offers a comprehensive set of features designed to simplify event management. From creating quotes to managing space availability, Mews Events provides you with tools for handling services, tracking analytics, managing billing, and customizing settings and helps you efficiently coordinate every aspect of your event operations.

 

In this article you can learn about the following Mews Events features: 

 

Services 

The Services section hosts all your commercial service offerings that you can showcase on the booking engine. You can set up this space to expedite the quotation process and save time. You can learn more about Services here.

Here you can add various offerings: 

  • Accommodation: Manage space types in your property. 
  • Catering: Include food, drinks, and packages. 
  • Seminar: Describe your seminar rooms and your offers for seminars. 
  • Public spaces: List event spaces, for example, restaurants, gardens, or rooftops. 
  • Activities: Offer various activity options, for example, bike rentals. 
  • Supplementary service: Indicate the services that you offer. 
  • Special offers: Set up special offers, for example, discounted rates for specific types of events, room types, or number of guests. 

 

Quotes 

The Quotes feature allows you to manage booking requests and create quotes. Here’s what you can do: 

  • View, search, and manage requests: Requests show in tabs based on the quote status, for example, To be processed, Accepted, or Rejected. 
  • Create quotes: Manually create quotes or generate them through the booking engine and send them to customers to sign. 
  • Export data: Save contact data for your quotes in a CSV file.  
  • Share a link: Send the booking engine link to a prospect.

Function sheets 

The Function sheets feature is an automatically generated summary of group details, which you can share with different departments to prepare for a group’s arrival. This feature helps with internal coordination of your staff tasks. You can:

  • View event breakdowns by day.
  • View itemized pricing for each product.
  • View different versions of a function sheets according to needs, for example, display only food or beverage items for catering. 
  • Click edit-24  Edit to manually edit or click print-24  Print to print out the function sheet. 

 

 

Billing 

In the centralized Billing feature, the system lists pending and paid invoices. You can: 

  • view invoices 
  • view quotes linked to an invoice. 

 

Analytics 

The Analytics feature provides key metrics to help you manage your bookings. You can track and compare the following items, per reference periods: 

  • quotes 
  • room rentals 
  • accommodation. 

For example, you can analyze details about rejected quotes from both property and customers, or view information about the revenue per segments. You can learn more about leveraging Analytics in Mews Events to optimize quotes and event bookings here.

 

The Event timeline 

The Event timeline gives you an overview of space availability. You can view bookings by: 

  • day 
  • week 
  • month 

The graphical display helps you visualize and manage room availability, group allocations, and room configurations to ensure efficient space management and prevent overbookings. For example, items in show that quotes are in the pending signature state. After signing, it moves from  to . This color change links the seminar room to an event or quote.

Note: You can only book a seminar room directly from the Event timeline. Accommodation services are not available for booking from the Event timeline.

Settings 

In Settings, you can customize various aspects of your event booking: 

  • Branding: Customize how the quote engine displays to users. 
  • Legal information: Add general sales terms and conditions and manage your cancellation policies. 
  • Quote template: Customize quotes and invoices with your branding, content, and default settings. 
  • Reminders: Schedule reminders that Mews Events sends to customers.
  • Users: Manage users who can access your Mews Events instance and their permissions level. 
  • Event plans: Create event plans in detail, using your services and products so you can later display them in the booking engine. Add terms and conditions and define Mews Operations (PMS) service rate mappings.
