Create a customer profile


A customer can be a booker, i.e. a person who makes a reservation for someone else, or a guest, i.e. a person who is staying at your property.

Note: If your property is part of a chain, Mews shares customer profiles that are created for your property account with all the other properties in the chain, and vice versa. Mews shares only the details saved in the Profile and Internal tabs. Payment information isn't shared with other properties at this moment.

Create a customer profile

 

Mews automatically creates most customer profiles in Mews Operations when your channel manager pushes a reservation to the system. Mews creates new profiles, and synchronizes updated customer details from channel manager bookings based on the customer's email address.

When the channel manager pushes a new email address, Mews:

  • Creates a new profile and assigns it to the reservation.
  • Removes the old profile from the reservation.

Note: 

  • Mews adds and/ or updates customer details based on the information that it receives from the channel manager.
  • If there's no change in the customer details Mews retains the existing information and there are no empty customer details fields.   
  • If the email is the same but the name of the customer is different, for example in case of reservations from travel agencies,
    • Mews creates a new profile with different guest details and does not add an email.

    • The system uses the existing profile as the booker for the reservation.

  
It is also possible to manually create a customer profile. There are multiple ways to create a customer profile:

  • in Mews Operations, go to the main menu Menu arrow right  > Profiles > Customer profiles > + Customer,
  • add them to a reservation while you create it,
  • add them to a pre-existing reservation,
  • search for their last name, and then click New customer.

Start by creating a new profile with one of the methods above, and then:

  1. Complete all relevant fields. You can refer below for detailed explanation of the fields. Mews mostly requires only the customer’s last name, but still recommends you complete their profile as much as possible. Note: You need to fill in at least that information which you need to submit to your local authorities, such as for the police report or the tourist report.
  2. On filling in the required details, click Create. Once you create the customer’s profile, you can add even more information to their profile.
 

Explanation of fields

EmailEnter the customer's email address. Mews sends all communication to this email address. 
TitleEnter the customer's preferred title.
First nameEnter the customer's first name, and middle name if applicable.
Last nameEnter the customer's last name.
Second last nameEnter the customer's second last name, if applicable.
NationalitySelect the customer's nationality.
LanguageSelect a language for customer communication. Note: You can also learn more about how customer language selection works in Mews here
SexEnter the customer's sex as in their passport, for legal reporting purposes.
TelephoneEnter the customer's telephone number, including the country code for international numbers.
BirthdateEnter the customer's date of birth.
BirthplaceEnter the customer's place of birth.
Car registration numberEnter the customer's car registration number, if applicable.
Tax identifierThis information may not be necessary. Please consult your accounting team for confirmation.
CompanyIf the customer is associated with a company, type in the first few letters in the box and select from the choices.
OccupationThis information may not be necessary. Please check your local laws for more information.

Tip: You can scan a customer's identity documents when you create their profile by clicking the image.png Mews identity scanner icon. You can use this built-in device to scan any travel document that has a machine readable zone, using your camera.  

Mews now shows you merge suggestions for a customer profile which has a second profile in the system, so you can merge and maintain a single profile instead of having to manage multiple profiles for the same customer.
