Synchronizing reservations in SynXis CRS

How can I synchronize reservations in SynXis CRS?

"Synchronize reservations" is an optional feature in SynXis CRS, which makes the Mews-SynXis integration two-way enhanced. When you enable this feature:

  • It allows you to synchronize any reservation changes, including reservation modifications/cancellations from Mews, i.e., Operations, Online Guest Services, Mews Open API, Import, etc., into SynXis CRS. For example, if a receptionist modifies a SynXis reservation in Mews, Mews sends this change to SynXis.
  • Mews also synchronizes reservations that you create outside of SynXis CRS, to SynXis CRS. This allows you to access all reservation data in SynXis.
  • In addition, you can modify guest profiles in either SynXis or Mews. Modification can travel both ways. Note: Guest profile modification does not trigger synchronization. Mews synchronizes profiles along with reservation changes.  

Important to note: You need to contact your SynXis account manager to sign an additional agreement. SynXis charges an extra fee to enable this feature. There is no additional charge from Mews.

Must do check-list before you enable the "Synchronize reservations" feature

You must check the following before you enable "Synchronize reservations" for the first time:

  • All rates and space categories are mapped. You must map even those that are not available for sale via SynXis. 
    • Keep non-SynXis rates/space categories unsynchronized. This allows Mews to synchronize reservations, but it does not send ARI updates.
    • If the rates/rooms were not mapped during the initial reservation synchronization, reservations are not synchronized.
      • If you map them after the initial reservation synchronization, these reservations won't be synchronized because Mews needs a trigger to synchronize a reservation, i.e. a reservation update. Note: Mapping a rate/room is not a trigger for a reservation synchronization.
      • You cannot trigger a manual synchronization.

   

What does a synchronization send to SynXis from Mews?

Reservation:

  • Created, checked-in, checked-out and cancelled status
  • Mews confirmation number
  • Dates
  • Rate plan, night prices, and total amount
  • Guest count, incl. adult and children
  • Guest profiles
  • Travel agency profile
  • Company profile, for example, corporate travelers
  • Notes

Guest profile:

  • First and last name
  • Email address
  • Telephone number
  • Address
  • Loyalty Code

Company and Travel agency profiles:

  • Name
  • Telephone number
  • Address

What does a synchronization not send to SynXis from Mews?

  • Same day reservations
  • Outstanding amount to be paid
  • Payment card details
  • Guest nationality
  • Products
  • Additional Expenses
  • Cancellation Policy, fees applicable as per rate group policy

Note:
  • Changes in Mews can take more than 5-10 minutes to appear in SynXis. 
  • Adding companions to a reservation, or adding a company profile does not trigger synchronization.
  • You can synchronize events that do not trigger synchronization with any other event. A background check on events is always active, so this could take 5-10 minutes. 
 

How to enable "Synchronize reservations" in Mews?

To enable "Synchronize reservations" in Mews:

  1. Open Mews Operations.
  2. Go to the main menu Screenshot_2.png > Marketplace.
  3. Go to the My subscriptions tab.
  4. Locate the SynXis integration, and click on Edit to go to the settings page. 
  5. In the Enabled Operations field, select Synchronize reservations
  6. Click Save.
 

Note: When you enable Synchronize reservations for the first time, it synchronizes all future reservations. If you disable and enable it back in some amount of time, it synchronizes changes to existing and new reservations after this period. 
 

Initial reservation synchronization

  • Once you enable a "Synchronize reservations" operation, it synchronizes all reservations for mapped rates/space categories. 
  • The initial reservation synchronization might take some time. You can monitor it in,  main menu Screenshot_2.png > Queue > Channel manager.

 

How does synchronization of group reservations work?

For reservations that are for more than one room, reservation synchronization follows the below criteria.
 

  • SynXis can work for group reservations only if: 
    • They are for the same date, and
    • They have the same rate plan, price and space category.

In this case, Mews synchronizes the group reservation together which then appears as a group reservation in SynXis.
 

  • Alternatively, if any of the above-mentioned criteria differ, then Mews synchronizes individual reservations, and they do not display as a group in SynXis.  

 

Quick Tips

If a performed modification does not trigger a reservation synchronization, you can trigger a reservation synchronization by clicking on any OK button within the reservation module,
