How to assign reservation owners from the rooming list in Mews Operations

In Mews Operations, you can assign reservation owners directly from the rooming list. Hospitality staff use this feature to identify which guest is responsible for each reservation in a group booking. You perform this task after exporting the rooming list from Mews Operations, modifying it offline, and uploading it again to update guest data in bulk.

 

Assigning reservation owners improves billing accuracy, clarifies guest responsibilities, and makes it easier to view guest names in the Mews Operations timeline.

 

Prerequisites

Before you assign reservation owners, make sure:

  • You create a group reservation in Mews Operations
  • All reservations in the group have the same customer assigned
  • You download the rooming list from the group reservation module

 

Note: The downloaded file is an editable spreadsheet that contains guest and room data for the entire group.

 

Step1: Assign reservation owners in the rooming list

  1. Open the downloaded rooming list file.
  2. Locate the column titled Role.
  3. For each guest in the list, click to select their role from the dropdown:
    • Click to select Owner for the guest responsible for the reservation
    • Click to select Guest for all other companions
  4. To save time:
    • Click to select Owner for the first guest in each room
    • Drag the selection down to apply the same role to similar rows
  5. Save the spreadsheet.

 

Note: Only one guest per room can be the reservation owner. If you click to select more than one guest as owner, Mews assigns ownership to the first listed guest in the room. For example, if Gabriel and Elias share a twin room and both are marked as owner, Mews assigns Gabriel as the owner because he appears first.

 

Step 2: Upload the updated rooming list to Mews

  1. Go to the group reservation in Mews Operations.
  2. Click Upload rooming list.
  3. Click to select the updated spreadsheet file.
  4. After upload, verify in the Reservation module or Timeline that:
    • The correct guest is assigned as the reservation owner
    • Companions appear correctly in each room

 

Note: If a guest's name is not updated in the rooming list, Mews retains the original name as the reservation owner.
