How to create and manage company bills

Note: You can read some frequently asked questions about the company billing feature here.

 

You can issue bills to business travelers and corporate customers in Mews Operations. You can, 

  • assign company profiles to be the owner or the associated owner of open bills.
  • move bills from a customer to a company profile.
  • track all bills assigned to a company in one place. This removes the need for using a paymaster profile. 


To create a company bill, you need to create a company profile first. You can learn more about how to create, modify or delete company profiles here.  

 
In this article, you can learn how to: 

 

Create a company bill

To create a bill in a company profile:

  1. Locate the company you want to create a bill for in Mews Operations:
  • type in the name of the company in the Mews search bar, or 
  • go to the main menu Screenshot_2.png > Profiles > Companies. Use the filters to find the name of the company. Then click on the company profile. 
  1. Click on the Billing tab.
  2. Click + Add bill to create a new bill assigned to this company.

Add products

To add products to this newly created bill: 

  1. Click on the bill. 
  2. Click + Add product and select the service containing the products you want to add.

  1. Select the product Amount by using the + and - options.
  2. If required, update the Segment, Currency and Notes fields with any additional information. 
  3. Click Create.  


If you have specific products and services that you want to automatically assign to a company’s bill on reservation creation, use billing automations. You can read more about routing products to company bills with billing automation here.

Note:

  • When you create a billing automation to assign products to a company, it applies to all future reservations for that company’s employees.
  • The employees’ bills then appear on the company’s profile.

 

Manage company bills

You can manage a company's all open bills in the Billing tab of their profile.

Assign multiple profiles to open bills

You can assign multiple profiles to open bills in Mews Operations. You can view the bill owners and their associated profiles in the Billing tab of the company profile. Mews displays the same information on both the owner and associated profiles.

 

To view owners and associated profiles of open bills:  

  1. In Mews Operations, locate the customer or company profile with the open bill. Note: You can type the name of the customer or company in the Mews search bar.
  2. Click on the Billing tab, then click on the bill you want to view.
  3. Mews displays the Owned by and Associated with fields under the bill name.

Move a bill to a company profile

You can move an entire bill to another profile for example, from a customer profile or a Paymaster profile, to a company profile.

To move a bill from a customer to a company profile:

  1. Locate the customer profile with the bill you want to move. To do so, in Mews Operations:
  • type in the name of the customer in the Mews search bar or
  • go to the main menu Screenshot_2.png > Profiles > Customer profiles. Use the filters to find the name of the customer. Then click on the customer profile.
  1. Click on the Billing tab.
  2. Expand the bill that has the items you want to move to a company.
  3. If you want to move all the items from that bill, click the Select all checkbox, then click Move. If you want to move specific items from the bill, select them individually and then click Move.

 

 

 

  1. Under Where would you like to move these items?, click Company.
  2. Search for the company you want to move the bill to.
  3. Click
    • Move items here to attach the items to an existing bill on the company profile.
    • Create a new bill to move the items and attach them to a new bill on the company profile.
  1. To associate the previous owner's profile with the bill, select the Associated profile checkbox.

  1. Once you move or merge the bill, you can view it in both the company and customer profile under the Billing tab.

 
Note:  You can always move a bill back to the customer profile or move it to another company or customer. 
 

Track company bills 

  • You can view every open bill by clicking on the Billing tab in the company’s profile.
  • You can track all closed bills and existing orders by clicking on the Dashboard tab in the company’s profile.

Bills created from events

When you export products from Mews Events, the system creates a bill in Mews Operations.

  • Each export creates a new bill
  • The system names the bill after the event
  • One event can have multiple bills

 

Note: Multiple bills for the same event represent separate exports and do not indicate duplicate charges.
