To meet electronic invoicing requirements in Denmark, you fiscalize company bills and invoices using the Peppol fiscal registry integration in Mews Operations. You do this when you issue an invoice or close a bill that belongs to a Danish company and relates to a business-to-business or business-to-government transaction. This ensures Mews sends the invoice through the NemHandel network, which connects to Peppol, to meet local compliance requirements. You complete this task in Mews Operations as part of your regular billing workflow.
Note: Electronic invoicing in Denmark applies to business-to-business and business-to-government transactions only. It does not apply to business-to-consumer transactions.
In this article you can learn about the following steps to fiscalize bills and invoices for Denmark using the Peppol fiscal registry:
- Prerequisites
- Step 1: Identify if the bill or invoice needs fiscalization
- Step 2: Enter the required buyer details
- Step 3: Close the bill or issue the invoice
- Step 4: Check the fiscal record report regularly to confirm fiscalization
- Step 5: Handle recipients who are not registered to receive electronic invoices
- Step 6: Respond when a customer does not receive the invoice
Prerequisites
To use Denmark E-invoice with Mews, contact your Customer Success Manager to enable this feature for you.
- Set up the Peppol fiscal registry integration.
- If you want to send both a PDF and XML file, you can do so:
- In Mews Operations, go to the main menu
> Marketplace > Peppol fiscal registry integration > Settings.
- Under Invoice PDF, check the “Attach PDF file to Peppol e-invoice” box to include a PDF version of the file.
- Click Save.
- In Mews Operations, go to the main menu
- If you want to include IBAN, BIC, or the bank name on fiscalized invoices, you can add your bank details. To do so:
-
- In Mews Operations, go to the main menu
> Settings > Property > Finance > Accounting configuration.
- Under General settings, fill in the following fields:
- Bank name
- IBAN
- BIC
- In Mews Operations, go to the main menu
-
- Ensure the company profile includes a valid Danish tax identifier. Enter the tax identifier as:
- An eight-digit CVR number
- An SE number, which is the CVR number with the DK prefix
- If the company uses a Peppol identifier, add the identifier in the company profile. The Peppol identifier can be:
- P number
- GLN or EAN number
- Ensure the company profile includes a valid Danish tax identifier. Enter the tax identifier as:
Note:
- If you do not know the Peppol identifier, you can look it up in the Peppol Directory search, where you can find any company’s Peppol ID.
- Add the P number, GLN, or EAN number only if the company uses this identifier in the Peppol network.
- To automatically populate the Peppol ID when you close a bill or issue an invoice, save the identifier as an Additional tax identifier in the company profile. Mews then pre-populates the Peppol ID field in the close bill or invoice view.
Step 1: Identify if the bill or invoice needs fiscalization
- Check if the Owner of the bill or invoice is a Danish company, or
- Associate the bill or invoice with a Danish company profile in Mews
Note: Mews fiscalizes all bills and invoices owned by or associated with a Danish company when the transaction relates to business-to-business or business-to-government.
Step 2: Enter the required buyer details
Before you close the bill or issue the invoice, ensure you enter:
- Company name
- Danish business identifier such as CVR number, SE number, P number, GLN, or EAN number
- Company tax identifier, if applicable
- Full company address, including Denmark
- Email address
Note:
- If you do not include Denmark in the address, Mews does not treat the company as Danish and does not fiscalize the invoice.
- If the transaction is VAT exempt, clearly state that it is VAT exempt on the invoice.
- If reverse charge applies, clearly state that reverse charge applies on the invoice.
- The VAT amount charged in Denmark must be shown in Danish kroner or euros. Other invoice amounts may be shown in any currency.
Step 3: Close the bill or issue the invoice
- Close the bill or issue the invoice in Mews Operations. Note: The system also fiscalizes credit notes.
- Mews fiscalizes the record and sends it to the NemHandel network through Peppol. Mews includes the following in the electronic invoice:
- Issue and due dates
- Buyer and seller details
- Line items and tax breakdown
- Totals and currency
- Purchase order numbers. Note: This must be less than 64 characters.
- Bill or invoice notes, that you enter when closing the bill or issuing the invoice
- Payment details and instructions, if you enter at least the IBAN in the Accounting configuration
Note: If you do not enable the “Attach PDF file to Peppol e-invoice” box, Mews does not send a PDF invoice by email for manually closed bills.
Step 4: Check the fiscal record report regularly to confirm fiscalization
- In Mews Operations, go to main menu
> Finance > Fiscal record report. Check this report regularly to track delivery status and ensure each fiscalized invoice is successfully processed and sent.
- In the Status column:
- If the status is Success, you do not require any further action to fiscalize the invoice.
- If the status shows Error, hover over the error badge or read the Notes column to find the issue.
What to do if the status is Error:
- Review the Notes or tooltip to identify the issue.
- Choose one of the following options:
- Correct the invoice and resend it from the fiscal record report. Note: You see the resend icon next to the status only when the fiscal record is in an error state.
- Create and issue a new correction invoice with the updated information.
Step 5: Handle recipients who are not registered to receive electronic invoices
If the status is Success, but Notes say the recipient is not registered:
- Click
in Mews Operations in the Result column to download the invoice XML file and PDF format from the Fiscal record report.
- Send the invoice manually to the customer, usually by email.
Note: Even when the fiscal record shows a successful status, the invoice does not reach the customer if they are not registered to receive invoices through NemHandel or Peppol. You still need to send the invoice in Peppol format using another delivery method.
Step 6: Respond when a customer does not receive the invoice
If a customer is registered to receive Peppol invoices but they do not receive the invoice in their accounting software:
- Ask the customer to check with their accounting software provider.
- Click
in Mews Operations in the Result column to download the file in XML and PDF format from the Fiscal record report. Note: You must enable the Invoice PDF feature to receive PDFs as well.
- Send the file directly to the customer, usually by email.
Note: The Peppol format XML file acts as a valid version of the invoice.
