How to fiscalize bills and invoices for Belgium using the Peppol fiscal registry integration in Mews Operations

To meet tax reporting requirements in Belgium, you fiscalize company bills and invoices using the Peppol fiscal registry integration in Mews Operations. You do this when you issue an invoice or close a bill that belongs to a Belgian company. This ensures Mews sends the invoice through the Peppol network to meet local compliance requirements. You complete this task in Mews Operations as part of your regular billing workflow.

In this article you can learn about:

Prerequisites

Before you fiscalize any invoice:

  1. Set up the Peppol fiscal registry integration.
  2. If you want to send both a PDF and XML file, you can do so:
    1. In Mews Operations, go to the main menu Menu arrow right  > Marketplace > Peppol fiscal registry integration > Settings.
    2. Under Invoice PDF, check the “Attach PDF file to Peppol e-invoice” box to include a PDF version of the file.
    3. Click Save.
  3. If you want to include IBAN, BIC, or the bank name on fiscalized invoices, you can add your bank details. To do so:
    1. In Mews Operations, go to the main menu Main menu in Mews Operations  > Settings > Property > Finance > Accounting configuration
    2. Under General settings, fill out the following fields:
    • Bank name
    • IBAN
    • BIC

Step 1: Identify if the bill or invoice needs fiscalization

  • Check if the Owner of the bill or invoice is a Belgian company
  • Or associate the bill or invoice with a Belgian company profile in Mews

Note: Mews fiscalizes all bills and invoices owned by or associated with a Belgian company.

Step 2: Enter required buyer details

Before you close the bill or issue the invoice, ensure you enter:

    • Company name
    • Company tax identifier
    • Full company address, including the country
    • Email address (optional, but recommended)

Note: If you do not include the country in the address, Mews does not treat the company as Belgian and does not fiscalize the invoice.

Step 3: Close the bill or issue the invoice

    1. Close the bill or issue the invoice in Mews Operations. Note: The system also fiscalizes credit notes.
    2. Mews fiscalizes the record and sends it to the Peppol network

Mews includes the following in the Peppol invoice:

    • Issue and due dates
    • Buyer and seller details
    • Line items and tax breakdown
    • Totals and currency
    • Purchase order numbers, if entered
    • Bill or invoice notes entered when closing the bill or issuing the invoice
    • Service order notes, if provided
    • Payment details and instructions, if you enter at least the IBAN in the Accounting configuration

Note: If you do not enable the “Attach PDF file to Peppol e-invoice” box,  Mews does not send a PDF invoice by email for manually closed bills.

Step 4: Check the fiscal record report regularly to confirm fiscalization

In Mews Operartions, go to main menu Main menu in Mews Operations  > Finance > Fiscal record report. Check this report regularly to track delivery status and ensure each fiscalized invoice is successfully processed and sent.

      In the Status column:

      • If the status is Success, you do not require any further action to fiscalize the invoice.
      • If the status shows Error, hover over the error badge or read the Notes column to find the issue

What to do if the status is Error:

      • Review the Notes or tooltip to identify the issue
      • Choose one of the following options:
        • Correct the invoice and resend it from the fiscal record report. Note: You see the resend icon next to the status only when the fiscal record is in an error state.
        • Create and issue a new correction invoice with the updated information.

Step 5: Handle recipients who are not Peppol-registered

If the status is Success, but Notes say the recipient is not Peppol-registered:

      • Click Download icon in Mews Operations  in the Result column to download the invoice XML file and PDF format from the Fiscal record report.
      • Send the invoice manually to the customer, usually by email

Note: Even when the fiscal record shows a successful status, the invoice does not reach the customer if they are not registered to receive invoices through Peppol. You still need to send the invoice in Peppol format using another delivery method.

Step 6: Respond when a customer does not receive the invoice

If a customer is registered to receive Peppol invoices but they do not receive the invoice in their accounting software:

      • Ask the customer to check with their accounting software provider
      • Click Download icon in Mews Operations  in Mews Operations in the Result column to download the file in XML and PDF format from the Fiscal record report. Note: You must enable the Invoice PDF feature to receive PDFs as well.
      • Send the file directly to the customer, usually by email

Note: The Peppol-format XML file acts as a valid version of the invoice.
