How to manage guest messaging templates in Mews Operations

Property administrators and other staff with guest messaging permissions manage templates in Mews, in the Guest messenger settings, when the list of templates grows and they need to find one quickly, check its approval status, reuse it as a starting point, or remove one they no longer need. You can access templates on the Templates tab of the Guest messenger settings.

What the Templates tab does:

Once you have created guest messaging templates, the Templates tab is where you keep them organized. This means a tidy template list helps your team pick the right message quickly, and keeps outdated messages out of circulation.

In this article, you can learn about:

How to manage guest messaging templates

Find a template

  1. In Mews Operations, go to the main menu Main menu icon in Mews Operations  > Guest messenger.

  2. Click Settings in the top right of the Chats page.

  3. Open the Templates tab.

  4. Type a keyword in the Search box above the table. The list updates to show matching templates.

  5. To see every language version of a template, click the arrow next to its name. Each version shows its Language, Origin, Status, Category, and when it was Last updated.

To clear your search, click the x in the search box.

Group your templates

By default, templates are grouped by Name, so all language versions of a template appear together. You can change how the list is grouped to answer different questions. For example, group by Status to see which templates are still waiting for approval, or by Category to separate Utility from Marketing templates.

  1. Click Group by: Name above the table.

  2. Under Group by, select how you want to group the list:

    • Language

    • Origin

    • Status

    • Category

    • Last updated

  3. To group by more than one field, select additional options. The fields you have chosen appear at the top of the list under Drag to order. Drag them to change the order of the groups.

  4. To remove a field from the grouping, click the x next to it.

  5. To return to an ungrouped list, click Clear grouping.

Note: You can also group by a single column directly. Click the three-dot menu in the column header and select Group by this column.

Customize the columns

You can show only the information you need, put columns in the order that suits you, and sort the list.

Use the column menu

  1. Click the three-dot menu in the header of the column you want to change.

  2. Select one of the following:

    • Sort ascending or Sort descending: order the list by that column.

    • Pin left or Pin right: keep the column in view on that side of the table while you scroll.

    • Group by this column: group the list by that column.

    • Hide column: remove the column from the table.

Use the Manage columns panel

  1. Click the Manage columns icon to the left of the Search box.

  2. Select or clear the checkbox next to a column to show or hide it. Select Show all to display every column. You can hide Language, Origin, Status, Category, and Last updated. The Name column is always shown.

  3. Drag a column by its handle to change the order.

  4. Click the pin icon next to a column to keep it in view while you scroll across the table.

  5. Click the x at the top of the panel to close it.

Duplicate a template

Duplicate a template when you want a new one that is similar to an existing one: for example, to reuse a message with a different category or slightly different wording. Duplicating is also a good way to keep a copy of the wording before you delete a template.

  1. In the Templates tab, find the template. If it is grouped, expand it to see its language versions.

  2. Click the three-dot menu at the end of the language row you want to copy.

  3. Select Duplicate.

  4. Update the details as needed, then submit the new template for approval.

Note: A duplicate is a new template, so it goes to Meta for approval before you can use it. For a walkthrough of each step, see How to create a guest messaging template in Mews Operations.

Delete a template

Delete a template when you no longer use it, for example, if the offer has ended or the wording is out of date.

ⓘ
Important
  • Deleting a template cannot be undone. It removes the template from Mews and from your WhatsApp Business account. Messages you have already sent are not affected, but you can never use the template to send anything new. The template name cannot be reused for 30 days, which is a Meta rule. If you might need the wording again, duplicate the template first.
  1. In the Templates tab, find the template. If it is grouped, expand it to see its language versions.

  2. Click the three-dot menu at the end of the language row you want to remove.

  3. Select Delete.

  4. In the confirmation window, read the warning, then click Delete to confirm. To keep the template, click Cancel.

You can now find templates quickly, view them the way that suits you, reuse an existing template as a starting point, and remove the ones you no longer need. This means your team sees a short, current list and picks the right message without hunting for it.
