How to schedule exports for the Guest ledger in Mews Operations

Property managers, finance teams, and operational staff schedule exports for the Guest ledger in Mews Operations to send outstanding balance data automatically at set intervals, instead of repeating the same export manually every day. The Guest ledger tracks outstanding balances of guests who have checked in or consumed services. You can access it from the main menu > Finance > Ledgers > Guest ledger.

 

What scheduling an export does:

 

A scheduled export sends your Guest ledger data automatically at the frequency you choose. This means you can upload data into your accounting system or other external systems if you do not use a direct integration, or consolidate outstanding guest balances across multiple properties. For example, you can schedule a daily export at close of business to keep your accounting system in sync with live outstanding balances, or a monthly export to support your end-of-month invoicing workflow.

 


Note
  • You must have the View and Export permissions for the Guest ledger to access the report and schedule exports.
  • Scheduled exports show ledger balances as of the end of the last closed business day.

 

 

How to schedule exports for the Guest ledger in Mews Operations

  1. In Mews Operations, go to the main menu > Finance > Ledgers > Guest ledger.

  2. Click Export > Schedule recurring export.

  3. In the side-window, on the Export configuration step, fill in the details below. This step determines what data to include in each scheduled export.

    Note: Fields marked with an * are mandatory. Filter fields are optional; if you leave them blank, no filter is applied and all matching data is included.

    • Export name*: Enter a name for the export.

    • Owner type: Select one or more owner types to filter by, such as Customer, Company, or Travel agency.

    • Associated profile type: Select one or more associated profile types to filter by, such as Customer, Company, or Travel agency.

    • Reservation status: Select one or more reservation statuses to include, such as Canceled, Checked in, To check out, Check-out missed, Online check-out, Past, or Null.

    • Balance minimum: Set the lower range for the lowest outstanding balance to include.

    • Balance maximum: Set the upper range for the highest outstanding balance to include.

    • Format*: Click to select which format you want to export the report in, such as Excel, CSV, or JSON.

    • Target*: Click to select the export destination. You need to set up an export target before you schedule your report export.

  1. Click Next.

  2. On the Schedule step, fill in the details below.

    • Frequency*: Click to select how frequently you want to export the report, such as Daily, Weekly, Monthly, Quarterly, or Yearly.

    • Start date*: Click to select the first date you want to receive the export. The export contains data as of the end of the previous business day.

    For example, to receive a monthly export containing data as of the end of the month, set the Frequency to Monthly and the Start date to the 1st of the month.

  3. Check the Activate schedule upon creating box to automatically begin your export schedule once you click Create.

  4. Check the Notify creator about export box to receive a notification once the export is ready.

  5. Click Create.

 

 

 

This schedules the report export with your selected configuration. To view your scheduled report exports in Mews Operations, go to the main menu > Exports > All exports, then click the Scheduled tab. This means your Guest ledger data reaches your accounting or external systems automatically, without anyone repeating the export by hand.
