Generate police reports for Andorra

The Andorra police export integration automatically generates reports containing the guest details required by the Andorra police. Mews sends these reports to a designated property email address and formats them according to the police's requirements. You need to send the report after it's generated.

Note: This is not a direct integration. You must manually upload the generated report to the Andorra police platform.

In this article, you can learn about:

Step 1: Setting up the integration

The integration creates reports for each property account in Mews Operations. If you manage spaces with different addresses, such as apartments, within a single property account, set up the reports for each specific space type by creating a new Andorra police export integration for each category.

To set up the integration:

  1. In Mews Operations, go to the main menu Screenshot 2024-01-15 at 12.16.40.png  > Marketplace.

  2. In the Legal environment section, click See more under Andorra police export integration.

  1. Select Connect.
  2. Provide your property's information.
    • To generate reports for a specific space type only, choose it in the Space type field.
    • In the Recipient emails field, enter the email address where you wish to receive the export. This should be someone at your property responsible for sending the export to the Andorra police.
  1. Click Create.

Note: Mews recommends generating the report in the morning to allow plenty of time to correct errors.

Step 2: Verifying your customer profiles

The report extracts information from your customer profiles, so ensure you fill in all required details for every guest. Mews sends a daily email reminder to check the completeness of your customer profiles for the previous day, giving you a whole day to update the information before uploading the report.

Note:

  • You must set all customer profile report integrations to the correct mode for consistent data export.
  • Incorrect mode selection results in an export failure with an error message.
  • Mews exports all police reports in the legally accepted mode. This report is created in Mews with the In house mode by default.

  1. In Mews Operations, go to the main menu Screenshot 2024-01-15 at 12.16.40.pngProfiles > Customer profiles report.
  2. In the Start and End fields, enter the dates for yesterday.
    • For example, if yesterday was the 25th of January, select 25/1/2019 at 12:00 AM for Start and 26/1/2019 at 12:00 AM for End.
  1. Click OK, then View report.
  2. Fill in all required fields for any incomplete profiles.
    • Every person in a reservation, including the reservation owner, must be added as a companion for accurate reporting.
    • After completing all fields required by the Andorra police, Mews marks the report as 100% complete.
  1. The report is automatically generated and sent to the previously chosen email address.

Step 3: Sending the report

  1. Download the report from the email sent to the address you provided during the setup. Note: If you do not receive the email and it is not in your junk folder, contact support.
  2. Forward the report to the Andorra police.

Using the integration

The report provides information necessary for the Andorra police. Incomplete customer profiles can lead to report rejection. To prevent this and avoid the hassle of gathering guest details retrospectively, ensure receptionists know the required information to collect at check-in. The necessary fields include:

  • First name
  • Last name
  • Nationality
  • Birth date
  • Birth place (city)
  • Address
  • ID document

By following this guide, you have learned to set up the integration, verify and correct report errors, and ensure all guest details meet the Andorra police requirements for your property's compliance with the law.
