Generate police reports for Spain in Mews Operations

Spanish accommodation providers are legally required to submit their guest data to the police. You can connect to the Spanish police integration in the Mews Marketplace to generate formatted and ready to send police reports.

Note: 

  • This is not a direct integration. You need to manually upload the generated report on the Spanish platform.
  • The new “Hospedajes” Spanish police reports require different integrations and processes in Mews. You can learn more about the customer profiles “Hospedajes” police integration here, and the accommodation “Hospedajes” integration here.
  • For businesses in Catalonia, this information needs to be sent to Mossos d'Escuadra, not to the Spanish police. In the Basque Country, the information needs to be shared with Ertzaintza

Setting up the integration

The integration creates reports per property account in Mews Operations. If the local authorities require you to create reports per address, rather than one report for your entire enterprise, you should:

  • create a Spanish police integration for each address, and
  • select all the space categories located at that address when you set up the integration.
To set up the integration:
  1. Go to the main menu Screenshot_2.png > Marketplace.
  2. Search for the Spanish police integration in the search bar or In the Legal environment category.
  3. Under the Spanish police integration, click Explore. Then click Connect integration.  
  4. Fill in your property’s information.
  • Use the Space category field to choose the space categories to include in the report. This is useful if need to create reports per address. Just select all the space categories located at one address. Note: If you don't specify space categories, the report includes all your space categories.
  • In the Property code field, enter your hotel license number and not the 10 digit code the police assigned to your property. Once you register, the police send you an email with a code in the IDXXXXXXXX format.
  • In the Recipient emails field, enter the email address you want to send the export to. This should be someone at your property who sends the export to the Spanish police.
  • If you want to send the police report at a specific time each day, enter the amount of time past midnight to send the report in the Daily report execution time field. For example, setting Daily report execution time to 10 minutes sends the report, each day, at 00:10.
  1. Click Create

The integration automatically exports the report as a TXT file, as required by the Spanish police.
 

Using the integration

The integration collects the details that the Spanish police require, so make sure to complete the following required fields in your guests' customer profiles:

  • First name
  • Last name
  • Sex
  • Nationality
  • Birth date
  • Identity document information

The report includes only guests with identity document information in the export.

Note:

  • It is extremely important that you set all customer profile report integrations to the correct mode to ensure the consistency of exported data. If you don't use the correct mode, the export fails with an error message.
  • Mews has set up all police reports so as to allow reports to be exported only in the mode that is legally accepted. This report is created in Mews with the Arrival mode by default.

 

Registration types

Mews integrates the following registration types into the generated report:

  • Type 0: Hotel group information only
  • Type 1: Hotel information
  • Type 2: Guest information

 

Report information

The generated report contains the following information:

  • D: DNI Spanish ID card
  • P: Passport
  • C: Driving license
  • I: Identity card
  • N: Spanish residence permit
  • X: Residence permit for other EU country

 

Mews displays the information in the following order:

  • Type 1: Type of register, the value is always 1 / Hotel code / Hotel name / File creation date (YYYYMMDD) / File creation / File preparation time / Number of type 2 records contained in the report.
  • Type 2: Type of register, the value is always 2 / Spanish ID card for foreigners / Type of ID document / Identity document issue date (YYYYMMDD) / First last name / Second last name / Name / Sex (F/M) / Birth date / Nationality / Arrival date
