Automate reports for the German fiscal registry

The KassenSichV ordinance requires all bills and invoices to be recorded by an external TSE, i.e. Technischen Sicherheitseinrichtung. With this integration, every bill or invoice that you close is automatically recorded, cryptographically signed by the TSE (Fiskaly). They send back your fiscal record identifiers which Mews then records on the bill or invoice, and you can find the encrypted export later on your Fiskaly dashboard.

Note: You don't need any extra hardware for this solution, as it's all handled online.

How the integration works

  1. You close a bill or invoice in Mews
  2. The system automatically sends a secure fiscal record to Fiskaly, an external TSE.
  3. Fiskaly records the data and cryptographically signs it.
  4. Fiskaly sends that signature data back to Mews, and Mews adds it to the bottom of the bill or invoice.

How to set up the integration?

Step 1: Set up your Fiskaly account

You need to request an invite to your Fiskaly dashboard:

When you request an invite, send us your address and its associated VAT identifier, formatted: DE999999999, and the 13 digit tax number. You can’t use the usual 10/11 digit tax number, it needs to be the 13 digit one used for electronic identifiers. Learn more about where you can find your 13 digit tax number.

Note: If you've already have a Wirtschaftsidentifikationsnummer, you can provide that instead of your 13 digit tax number.

We send an invite to your email address, from where, you should accept the invite and create your account.

 

Step 2: Find your API Key

  1. Go to https://dashboard.fiskaly.com/.

Note: Please slide the switch to choose "live" , before you create the credentials, as seen in the screenshot below:

  1. From the menu, go to Settings > API keys.
  2. Click Create API key.
  3. Click Create.
  4. Under API Key, copy the ID and save it for step 3.
  5. Under API Secret, copy the ID and save it for step 3.

Step 3: Create the integration

  1. Open Mews Operations.
  2. Go to the main menu Screenshot_6.png > Marketplace > Legal environment category.
  3. Locate the German fiscal registry integration, and click Explore.
  4. Click Connect integration
  5. Fill in the following fields:
  • Under API Key, enter the API key found in Step 2.
  • Under Secret Key, enter the API secret found in Step 2.
  1. Click Create.
  2. In your list of active integrations, locate the German fiscal registry integration and go to the settings. 
  3. Select the Enabled checkbox and click Save

 

Viewing fiscal records

There are two ways to see fiscal records once they’ve been attached to a bill or invoice:

  • Open the bill/invoice. Mews includes the fiscal record whenever you print it, or
  • Go to the main menu Screenshot_6.png > Finance > Fiscal record report, where you can find a list of your fiscal records

 

How to get exports for audit requests

  1. Go to https://dashboard.fiskaly.com/.
  2. From the menu, select KassenSichV V2 (Germany), then go to Technical security systems.
  3. In the list, scroll all the way to the right and click Trigger Export.
  4. Select either:
  • Perform full report – This exports all TSS records, or
  • Filtered report – This lets you export specific TSS records, for example, all of Q4 2020.
  1. From the menu, go to Exports.
  2. Once the system generates the complete export, it appears in this list.
  3. To download the export, scroll all the way to the right and click Download.
  4. Mews downloads the export as an encrypted TAR file.

 

Adding additional users to Fiskaly

To add additional users to Fiskaly, contact your customer success representative.
 

Fixing a suspended integration

If your German fiscal registry integration is suspended, its because you updated the credentials in Fiskaly but not in Mews.

To fix this, you have to

  • either update the API key and API secret from the integration settings. or
  • delete the integration and then create a new one by following the steps in this guide.
