You can create vouchers via the Vouchers screen in Mews Operations to provide customized corporate rates for different companies or make deals with travel agencies, so that either their reservations team or customers can directly apply them in the Mews booking engine. You can use vouchers to give special rates to certain customers, companies, and travel agencies. Customers can use a voucher in the Mews Booking Engine only if they have access to the voucher or promotional code. Before you can create a voucher, you need to create the private rate you want to attach it to. You can only attach vouchers to private rates, you cannot attach them to public rates. 

 

Note: Properties using the Starter subscription cannot create vouchers in Mews Operations and the Mews Booking Engine does not display the voucher field as well.

Step 1: Create the voucher 

To create a voucher: 

  1. In Mews Operations, go to the main menu Screenshot_2.png  > Settings > Services
  2. Select your bookable service, for example, Stay
  3. Click Vouchers and then click plus icon

  1. Enter information in the following fields, those marked with * are mandatory:

  • Name*: Enter a name suitable for the promotion or purpose of the voucher. For example, Christmas offer, Valentine’s bonanza, or 20% off. 
  • Company: Type in the name of the company you want to assign the voucher to.  
  • Travel agency: Type in the name of the travel agency you want to assign the voucher to. Note: You cannot link a voucher to both a company and a travel agency. 
  • Assigned rates: Click the drop-down menu to select the rate you want to assign to your voucher. Note: The voucher works only if you select a rate. Private rates are only visible with promotions. 
  • Reservation from: The actual date from which the user can book a stay at your property using the voucher. Note: You can click on the calendar symbol to select the date or type the date manually. 
  • Reservation to: The actual date until which the user can book a stay using the voucher. 
  • Voucher key: This is a unique identification code that maps the voucher setting across multiple properties. You can input a unique alpha-numeric code to help you identify a company voucher or corporate deal, that is valid over multiple properties.  

For example, COMPX23 can represent a corporate rate for employees of Company X in 2023. This helps you identify a specific voucher when you want to make a bulk update of the voucher details across multiple properties, which is useful for multi-property enterprises.  

Note: Remember to make a note and securely store the Voucher key code that you create for future reference.  
 

  1. Click Create.  

 

This creates the voucher. You can see the voucher settings and vouchers codes when you click on the name of the voucher, as below:

Step 2: Managing the voucher code 

When you create a voucher, the system automatically generates a voucher code. A voucher code is a unique identifier the system assigns to a voucher. The code is a combination of numbers and letters. You can also choose to modify the original code and enter it manually.  

  • You can use the voucher code to track the voucher’s usage and expiry date.  
  • Voucher codes help you identify and track individual redeemed vouchers.  
  • When a guest redeems a voucher by entering the voucher code at the time of booking or check-in, you can verify the validity of the voucher and track its usage in the system.  
     

Note: You cannot modify a voucher code. If you want to update the name or dates of validity, you need to create a new voucher code. 
 
To create a new voucher code: 

  1. In Mews Operations, go to the main menu Screenshot_2.png > Settings > Services
  2. Select your bookable service, for example, Stay. 
  3. Click Vouchers

  1. On the Vouchers screen, click on the name of the voucher you want to create a voucher code for. 
  2. Click plus icon Voucher code, as below:

  1.  Enter the necessary information in the following fields, those marked with * are mandatory:

  • Value*: This is the unique value that Mews Operations automatically generates. You can keep the original that the system generates or manually enter another. 
  • Valid from: Enter the actual date from which the user can use the voucher to make a booking at your property. 
  • Valid until: The actual date until which the user can use the voucher to make a booking at your property. 

Notes:  

  • You can click on the calendar symbol to select the date or enter the dates manually.  
  • If you don’t select dates for Valid from and Valid until, the voucher rate is always available until you delete it.
  • These fields set restrictions determining the length of the promotion. 
  1. Click Create

To check the functionality of your voucher code, you can click on the corresponding Booking engine URL to go directly to your property’s booking engine. To learn more, see below:

In this scenario: 

 

The customer can use this voucher code with the above Valid from - Valid until dates:  

  • To make a booking between 7th September to 14th September 2023,  
  • For actual stay dates between 22-23rd September.  
  • If they make a booking with this voucher code outside of these dates, the booking engine does not apply the promotion. 
 

How to use the voucher to create a new reservation  

To create a new reservation using the voucher:  

  1. In Mews Operations, go to the main menu Screenshot_2.png > Settings > Services > Bookable services
  2. Click on your stay service. Then click Vouchers
  3. Click on the name of the voucher you want to use to create the new reservation. 
  4. In the Voucher codes section, click on the Booking engine URL of your selected promotion. This takes you directly to the Mews Booking Engine, where you can check the functionality of the voucher.

  1. Complete the remaining steps of the booking process.  
 
Your voucher code populates automatically in the booking screen Promotion code field. Mews displays the voucher in the booking engine, only:  
 
  • if the reservation complies with existing restrictions, for example, minimum length of stay, and 
  • if it falls within the reservation dates specified in the voucher. 
     

Note:  

  • The promotional rate is only available to guests if they add the voucher code to the Promotion code field in the Mews Booking engine.  
  • If the guest adds a voucher code or stay dates where the Assigned rate is restricted or not available, the booking engine does not display the voucher code rate but shows other public rates. 
 

Promotion code in the booking engine:   
 

 

The booking engine defaults to the date of booking automatically. As a best practice, Mews recommends you include the actual stay dates in the voucher code Name field, as above. 
 

Note: It can be useful to also set the Assigned rate linked to the voucher with the actual stay dates when you want to offer the special rate.  
 

For example, if you want the voucher to be available over 12 months for a contracted corporate rate, or for only a specific number of days such as for special event periods and weekends.
