The Guests in house report shows all guests arriving on the selected day and staying at your property for at least one night during the selected interval. The report is divided into two tabs, Reservations, where you can find information on your in-house guests, and Space blocks, which show all spaces in your property blocked for various reasons. You can filter the report by date, service, guest status, name, and more. You can use this report in urgency, so when you first open this report, the default settings give you a list of all guests currently at your property.  

 

You can export and share the report easily, which is useful to gain an overview of the guests currently staying at your property.  

 

The exported Guests in house report also shows the age categories of the guests within a reservation, such as, Adult, Child (0-6), Child (7-13). This gives you information on the age brackets of all guests visiting your property, which can help you plan for housekeeping. You can also know the type of guests staying at your property during a specific period.  
 
Notes: 

  • For guests using the Loyalty function in Mews, you can see a new field showing customer loyalty status in the report. This is useful for viewing what loyalty tiers your guests have, for example, VIP guests.
  • The age category columns the report displays depends on the specific age category setup of your property and the age categories used in the reported reservations.
  • The Guests in house report is newly re-designed. To access the old version of the report, click View old Guests in house report in the top right of the screen.
  • Currently, the printing functionality on the new Guests in house report is not available. Alternatively, to access a printout, you can also export the report to Excel, then print the exported file.

  • on the Dashboard, in the Customers section, click on image.png, or

Setting the filters in the report

You can filter the report using the Filters side panel, which you can access by clicking the in the top right corner of the Guests in house report. Once selecting the filters, click View report to apply them. You can see the time period you select displaying at the top of the report.  

You can also reorder some columns in the report by clicking , or filter them by clicking alongside the column header, as below:

Note: Filter options are different per the Reservations and Space blocks tabs. You can apply the filters below to the Reservations tab only. On the Space blocks tab, you can filter by time period using the Start and End filters. 

Filters

  • Start*: Click to select a start date to restrict results to a specific time period.
  • End*: Click to select an end date to restrict results to a specific time period.  
  • Service*: Click to select which service you would like to see the report for.
  • Status: Results show only bookings in the selected status.
    • Select all: View all guest statuses.
    • Checked-in: Reservation is checked in and guest is currently staying at the property.
    • Checked out: Reservation is checked out and guest has left the property.
    • Confirmed: Guest has confirmed their optional reservation.
    • Optional: Reservation is still optional, and guest has not yet been confirmed.
  • Displayed columns: Click to select which details you would like to display in data results.
    • Select all: View all possible column options in the report.
    • Loyalty programs: View loyalty program information.
    • Companion loyalty programs: View loyalty program information for companions.
    • Classifications: View guest classifications.
    • Products: View any products that the guest can purchase with their stay.
    • Notes: View any additional notes added to a guest’s booking, about the customer profile or their reservation.  
    • Companion classifications: View classifications for any companions of the guest booking.
    • Car registration number: View car registration number in the report.
  • Products: This drop-down menu includes all products available according to your property settings. You can select the products that you would like to see in the report data. Click the slider switch Only reservations with consumed products to display only those reservations which have consumed the indicated products. 
  • Customer: Type in the search bar to search for specific guest names to filter the report by. 

 

After selecting your desired filters, click View report to apply the filters. 

 

Understanding the fields in the report

Reservations

Within the Reservations tab, the report displays the following data in columns, with each line representing one booking. You can use the reservations tab to view basic information on in house guests, for example, products consumption, reservation dates, etc. You can filter this tab using the Filters side panel or per column.

    • Space: Assigned space number. You can click on this number to view the space's properties. Note: Room numbers for Companions can be found in the exported excel report in the Customers tab and under the Space number column. 
    • CustomerThe guest who created the reservation. You can click on this name to view that guest's profile.
    • Loyalty programs: Guest loyalty program information. Note: This section appears only for businesses using the Loyalty module in Mews. You can learn more here.  
    • ClassificationsGuest classifications, for example, person with disability, staff, etc.
    • Arrival: Date of arrival. Click on these dates to view this booking in the reservation module.
    • Departure: Date of departure. Click on these dates to view this booking in the reservation module.
    • ProductsView any products that the guest may want to purchase with their stay.
    • Notes: View any additional notes added to a guest’s booking, about the customer profile or their reservation.
    • Preauthorizations: View the preauthorized balance for the guest.
    • Balance including preauthorizations: View the total balance for the guest, including the preauthorized amount. 
    • Companions: The report displays the number of companions in this booking as number x companion classification. The report lists the name of each companion next to the quantity. You can click on these names to view that guest's profile. 

     

    The following columns appear in addition to the ones listed above, based on your filter selections. Report displays individual data for each companion: 

    • Companion loyalty programs: View loyalty program information for companions.  
    • Companion classifications: View classifications for any companions of the guest booking.  
    • Car registration number: View car registration number in the report. If a guest enters a car registration number, the system displays it here. 

     

    Space blocks

    In addition to reservation data, you can also view information regarding all space blocks within the selected interval by clicking on the Space blocks tab. Space blocks are any house use reservation or any Out of Order block placed on a room. Space blocks behave like a reservation, so the system removes spaces from inventory for the block's duration. You can filter this tab by the Start and End dates of a block using the Filters side panel.

    The report displays space blocks with the following items: 

     

    • Name: Name of the block.
    • Type: Either House use or Out of Order.
    • House use: Occupied by internal use.
    • Out of order: Spaces in need of repair.
    • Space: Space number.
    • Start: Date and time that block begins.
    • End: Date and time that block ends.
    • Notes: Any additional notes the staff provides. 

     

    Using the report

    You can use the report for multiple functions, such as: 

     

    • In urgency: View and export list of all guests currently at the property.
    • Breakfast report: Export a breakfast list, to check which guests have breakfast included in their reservations.
    • Valet parking report: Show registration, guest names and room numbers for all cars.
    • Checking customer classificationsFilter to view and group guests by their classifications, for example, VIP, person with disability, etc.
    • Checking loyalty data: Quickly filter and show guests that are part of your loyalty programs. 

     

    You can filter the report using the Filters side panel, or the per column filters, to view the report as you require. 

     

    You can export data from the report into Excel files, per each tab, Reservations and Space Blocks. This is useful to export and print the report information, to share with your hotel staff or other parties. You can also set up an export schedule to export the report at regular intervals.

     To do so, click Export in the filters panel, then click to select either:  

    • Export to Excel, or
    • Create report schedule. 

    You can see a notification when the action is successful.  

     

    Note: Currently, the printing functionality on the new Guests in house report is not available. To access the old version of the report, click View old Guests in house report. Alternatively, to access a printout, you can also export the report to Excel, then print the exported file
