Setting up your guest-facing documents in Mews Operations

In Mews, you need to set up your guest-facing documents before you start using the Mews Booking Engine or the Guest Portal. Setting up these documents is necessary to be compliant with requirements from payment gateway providers like Adyen or Stripe. You can customize these documents at any time.  

Your guest-facing documents include: 

  • Your property’s Terms & Conditions 
  • Your property’s Privacy Policy 
  • Instructions to check in 
  • Instructions to check out 
  • Message for ID scan
  • Message for Verification photo

Some legal environments require that you display legal disclaimers to your customers when they make reservations through your booking engine. You can enter these in the check-out statement

 

Note:  

  • You can edit all your guest-facing documents in "Markdown text editor" only.  Markdown text editor allows you to view the document format as you create it, making it easier for staff to edit documents compared to editing in html.
  • You can access the "Documents" section of your bookable service directly from the Mews global search.
  • It is essential that your Terms & Conditions clearly state:
    • Your Rates and Cancellation policies.
    • Any additional charges such as for indoor smoking, property damage, late Minibar charges, or deposit fees.
    • Official check in and check out times for your property and your policies for early check in or late check outs.

Setting up guest-facing documents:

In Mews Operations, you can:

  • set up internal guest-facing documents within the system, and/ or
  • link to external guest-facing documents, such as Terms and Conditions or Privacy policies, that you host on a specific webpage.   


How to set up internal guest-facing documents 

  1. In Mews Operations, go to the main menu  > Settings > Services.
  2. Click your Bookable service.
  3. Click Documents, then click +.
  4. Under Type, click to select the guest document you want to set up. 
  5. Click Create.

  1. Enter your document and click Save
  2. Repeat steps 3-6 for all documents you want to add.  

This sets up your internal guest-facing documents in Mews. 

 

How to link to external guest-facing documents

If you already have a page where you host your Terms and Conditions or Privacy Policy: 

  1. In Mews Operations, go to the main menu > Settings > Services.
  2. Click your Bookable service.
  3. In the Options field:
    • T&C URL: Enter the URL to your Terms and Conditions webpage.
    • Privacy policy URL: Enter the URL to your Privacy Policy webpage.

  1. Click Save.  

 

Note: The Mews Kiosk does not support external guest-facing documents, your guests can only see the Terms & Conditions that you enter in Documents.  

This sets up your external guest-facing documents in Mews.
