How to sync products from Mews Operations into Mews Events

Important: This article is only for existing Mews Events users. Properties need to configure products from Mews Operations into Mews Events to ensure consistency and operational efficiency after May 2025.

 

You can synchronize products from Mews Operations (PMS) and use them as services in your quotes when planning events with Mews Events. The direct product synchronization from the PMS into Mews Events helps you map rates, and post final invoices faster, with fewer errors. This is especially useful for the front office, sales, and event staff who manage group bookings and events.

 

Note:

  • The product configuration process usually takes one to three hours, depending on your current level of Mews Events customization. During this time, make sure you do not create any new quotes. 

  • If you add or remove products in Mews Operations (PMS) later, you need to perform the synchronization again to reflect those changes in Mews Events (EMS). Check the Delete tab in the Sync with PMS modal to verify product that are no longer present in Mews Operations. To keep consistency, delete them from your services in Mews Events. 

 

In this article, you learn about how to configure your products in Mews Operations for synchronization with Mews Events: 

 

Step 1: Configure products in Mews Operations 

To configure products in Mews Operations for synchronization with Mews Events for synchronization:  

  1. In Mews Events, go to main menu icon  > Services

  1. Go to the respective service section, for example, Food.  
    Note: You can sync products with the following services in Mews Events: 

    • Catering, including Food and Drinks

    • Seminars, including Coffee breaks

    • Supplementary services

    • Activities 

  1. Rename all items that do not appear in your Mews Operations system, or you no longer use by adding “To be deleted” to the service name. For example, “Menu A_To be deleted”. This helps you identify services that do not sync with the PMS. 

  1. Make sure that every product in Mews Operations you want to synchronize with Mews Events links to an accounting category. To do so: 

    1. In Mews Operations, go to the main menu icon  > Settings > Services.
    2. Click on the service with the attached product. Note: Add all products you offer in the events system to a single “Mews Events” additional service in Mews Operations. This ensures your setup keeps your billing consistent and simplifies reporting.
    3. Click Products.
    4. Click on the product you want to update. This opens the Details tab of the product.
    5. Check if the relevant products link to an accounting category.  
      Note: In addition, your product must have the following details:
      • Description
      • Image
      • Price
      • Tax rate 
      If you identify any misconfigured items, follow the steps here to modify the product.  
  1. Sync products from Mews Operations into your services in Mews Events as described here. Note: Always match products with the correct VAT rates

 

Your products from Mews Operations now appear as services in Mews Events. 

 

Step 2: Update the PMS mappings 

Now that your products you synchronized from Mews Operations (PMS) display in Mews Events, update the mappings to replace old products with their synched versions: 

  1. In Mews Events, go to the main menu  icon   > Settings > Event plans

  2. For each plan, go to the plan details and click PMS mapping

  3. Click on the dropdown menus. For each product, find a matching PMS product and map the service with the relevant price. 
    Note: If a match does not exist, add the missing product in Mews Operations with an accounting category, then sync the services again. 

 

This updates the PMS mappings. You can now delete the old items marked “To be deleted” in Services

 

Step 3: Update packages and event plans to use synchronized services in quotes 

Make sure all packages and event plans use synced products only: 

  • Update packages, for example, meals or seminar bundles to include only PMS-linked services. 

  • Revise event plans to reflect updated products. 

  • Create new quotes with updated products. Optionally, review existing quotes and replace any outdated items.

 

Note: Quotes must use PMS-synced services for automated invoice posting to work in Mews Operations.
