Import historical data with Mews Analytics

You can import your historical data to Mews Analytics using the historical import feature. You can do so if you want the numbers in Manager analytics to reflect data from previous years. With Mews Analytics, you can upload daily revenue and occupancy information, sorted by space type, and by business segment. This is useful to compare and analyze your business performance for up to 2 years in the past with that of the present, and to help forecast the future. 

 

Note: You can't import detailed customer and reservation information, only property revenue and occupancy data.

 

To access Mews Analytics, you need:   

  • an Enterprise subscription to Mews OR    
  • to purchase Mews Analytics as an add-on OR  
  • a Mews Multi-Property subscription AND  
  • to be either an Admin in your Mews account or have the Access sensitive reports permission 

  

Note: Enterprise clients need to enable Mews Analytics integration for each property in their chain before they can use it.

You can import your historical data using Mews Analytics, by following the 3-step process below: 

 

You need to get the data that you want to add to the import file. You can import data from the current year and up to two years prior, for example, if the current year is 2023, you can upload data from earliest 2021. 

 

To do so: 

  • Run a report in your old PMS to find daily occupancy and revenue info for each space type, within the date range you want to import. 
  • If you want specific information on business segments, run the report for each business segment within each space category. For example, if you have 2 segments and 3 space categories, you'll need to run the report 6 times. 

 

Note: Make sure the report includes a daily breakdown of occupancy and revenue information; if you can’t see the data for each day, you can’t import it. 

  

  1. Ensure you're logged into the property in Mews into which you want to import historical data. Note: Ensure you are not in another property in your chain. 

  1. Go to Main menu > Analytics > Manager analytics.

  1. Click Analytics import in the top-right. 

  1. On the Statistics tab, click Download empty template, as below:

  1. Once the download is complete, open the Excel file Analytics import.xlsx.

  1. Each row in the spreadsheet contains the statistics for one date/ business segment/ space type combination. This means that: 

    • If you want to import one year of historical information for 3 space types, you'll need (365*3) rows. You'll have a row for each day of the year, for each space type. 
    • If you want to import one year of historical information for 3 space types and 2 business segments, you'll need (2*3*365) rows. You'll have a row for each day of the year, for each space type/segment combination. 

 

In the first four columns, specify which date, segment, and space type the statistics are for. Those fields marked with an asterisk * are mandatory: 

    • Date*: Enter the date that you're providing statistics for, for example, in one of the following formats: "dd/mm/yyyy", "d/m/yyyy" or "yyyy/mm/dd". 
    • Service: This field is not required. Leave it blank. 
    • Business segment: Specify the business segment you're providing statistics for. For example, enter its Name or Short name. 
    • Space type*: Specify which space type you're providing statistics for. 

 

In the following columns, add the data you want to import for the selected date, segment, and space type. 

    • Available spaces: Enter the number of spaces available. 
    • Occupied spaces: Enter the number of spaces occupied. 
    • Space revenue: Enter the revenue, in your default currency, generated by night stays. 
    • Product revenue: Enter the revenue, in your default currency, generated by products. 
    • Additional revenue: Enter the revenue, in your default currency, generated from sources other than stays or products. 
  1. Ensure you're logged into the property in Mews into which you want to import your historical data.  
  2. Go to Main menu > Analytics > Manager analytics.
  3. Click the Analytics import in the top-right, as in Step 2.
  4. On the Statistics tab, click or drag your completed template Excel file to the designated area, as below:

  1. Click Import. When your import is complete, you can see a confirmation message appear.  

  

You have now imported your historical data and completed the process.
