Rate management in Mews Multi-Property

You can manage your rates across all the properties in your portfolio using Mews Multi-Property. This means you can save time by creating, editing or deleting any rate directly from your multi-property account, instead of logging into individual property accounts to update per property. You can complete these actions in bulk, instead of making individual changes, saving you time and repetitive updates. 

This centralized form of rate management ensures that your revenue managers can maintain standardized rate plans across all properties in your portfolio, while providing the flexibility to customize your rate strategy per property, and per property group. This can reduce errors by minimizing manual and repetitive tasks. You can also create and manage rate groups, to group your rates together to update them in bulk and standardize your rate strategy across multiple properties. To view and manage rates in your portfolio account: 

  1. Log in to Mews Operations. Click the profile menu on the top-right of the screen. This opens a drop-down containing the portfolios and/ or properties you have access to, as below.

  1. Scroll or use the search bar to locate your portfolio and click on the name to open it. This takes you to your portfolio properties screen, where you can create new rates.

  1. Go to the main menu > Rate management > Rates

 

This opens the Rates screen, where you can import existing rates, and edit or delete them.

Create new rates 

When you create new rates, you can choose to create either base or dependent rates. You can learn more about the difference between base and dependent rates, here. You can create rates and vouchers from the Properties screen, and the Property groups screen. You can also create vouchers from the Rates screen. You can learn more about this here.

 

Note:

  • If creating rates in bulk for multiple properties, you can see the number of properties in the message that appears.
  • You can create dependent rates in any rate group, even if they are different from the base rate key’s rate group, as long as they are under the same service. 

 

To create new rates:  
You can create rates across all properties in your portfolio, individually property by property, or in bulk.  

To create new rates on the Properties screen: 

  1. In your portfolio account, go to the main menu > Properties

To create an individual rate:

  1. For the property where you want to create a new rate, click on to open the following options:

  1. You can choose to create a base rate, dependent rate or voucher.  

To create rates in bulk: 

  1. You can create the new rate in as many properties as you want. Use the checkboxes next to the name of the property to select individually, or the checkbox next to the number of properties at the top to select all properties. You can see the number of properties you select in the blue notification bar.

Base rates 

  1. Click . This opens the following screen.

  1. Fill in the following fields. Fields marked with * are mandatory.
  • Status: Click the drop-down to select if you want to enable or disable your rates in the properties you select. 

Internal details

  • Internal name*: Enter a name for the rates you are creating to be used internally.  
  • Short name: Enter a short name that Mews uses when there is limited space, such as in reports. 
  • Rate group key*: Choose the rate group from the drop-down. It is a unique identification code to map the rate group across properties. Note: This shows you a list of keys, corresponding to rate groups, created during the onboarding process. 
  • Accounting category key: Choose from the dropdown. This unique identification code maps the same accounting category across your properties. Note: You can see a list of keys, corresponding to accounting categories, created during the onboarding process. You need to first select a Rate group key. If no Accounting category key exists for your selected properties, then Mews disables this field. 
  • Business segment key: Choose from the drop-down. This unique identification code maps the same business segment across properties. Note: You can see a list of keys, corresponding to business segments, created during the onboarding process. You need to first select a Rate group key. If no Business segment key exists for your selected properties, then Mews disables this field. 

Guest-facing details

  • Rate name*: Enter the name of the rate to use in customer emails and the booking engine. 
  • Description: Enter a description to display in the Mews Booking Engine. 

Pricing details

  • Visibility*: Select Private or Public. Public rates are visible, and anyone can book them, while private rates are only accessible through vouchers. You can learn more about private and public rates here.
  • Base price*: Enter the base price of your rate, in numbers. It uses the currency of the properties. 
  • Extra occupancy adjustment: Enter the extra occupancy adjustment for your rate.  
  • Negative occupancy adjustment: Enter the negative occupancy adjustment for your rate. 

Mapping

  • Rate key: Enter a unique identification code to map the rate across multiple properties. 
  1. Click Create

 

Dependent rates 

Dependent rates only work if you provide data and link them to existing Base rates. You need to create a Base rate before you can create a dependent rate.

 

Note: You can create dependent rates in any rate group, even if they are different from the base rate key’s rate group, as long as they are under the same service. 


To create dependent rates: 

  1. Click . This opens the following screen:

  1. Fill in the relevant fields: 

  • Status: Click the dropdown to select if you want to enable or disable your rates in the properties you select. 

Internal details

  • Internal name*: Enter a name for the rates you are creating to be used internally.

  • Rate name*: Enter the name of the rate use in customer emails and the booking engine. 
  • Description: Enter a description to display in the Mews Booking Engine. 
  • Enabled: Check the checkbox to enable the rate. Note: You can create rates and enable them in the future. 

Pricing details

  • Visibility*: Select Private or Public. Public rates are visible, and anyone can book them, while private rates are only accessible through vouchers. You can learn more about private and public rates here. 
  • Base rate key*: Choose a base rate key from the drop-down menu to determine the base rate for this dependent rate. 
  • Absolute adjustment*: Enter a specific amount which determines the price, that the system adjusts from the selected base rate. For example, if your base rate price is 90 and you enter '-10', Mews adjusts the price to 80. Note: The system uses property currency.  
  • Relative adjustment*: Enter a percentage. This determines the price the system adjusts from the selected base rate. For example, if your base rate price is 90 and you enter '-10', Mews adjusts the price to 81. Note: You can add both absolute and relative adjustments to the same rate. 

Mapping

  • Rate key: Enter a unique identification code to map the rate across properties. 
  1. Click Create

 

This creates your dependent rates. 

Import existing rates 

You can upload the rates you are currently using in your properties to your portfolio account, using the Excel rates import template. You can also bulk import rates for specific property groups, to standardize rates across multiple properties and groups of properties.

To import existing rates: 

  1. Log in to Mews Operations. Click the profile menu on the top-right of the screen. This opens a drop-down containing the portfolios and/ or properties you have access to, as below.

Step 1: Download the rates template 

To download the Excel rate import template

  1. In the Rates screen, click on . This opens the following screen in a new tab:

Step 2: Fill in the rates template 

Fill in the rates template with information about the rate you want to create. Note: You can also use this template to create vouchers for your rates. Click here to learn more about vouchers in Mews Multi-Property.  

COMPANY DETAILS 

This section is mandatory. You need to fill in the following fields for the import to work.

A unique identification code mapping a company across multiple properties. If you want to create rates in bulk for a certain company,

  • link it via a unified company key that,  
  • you need to add to the Company/ Detail page, in every chain where the company exists.

VOUCHER NAME 

Add a voucher name to generate a voucher for your rate and map it across your properties.  

Note:  

  • If vouchers with the same name already exist in some properties, the system skips these properties. 
  • This also does not create any vouchers in those properties.  
  • You can see the message “Voucher with key ‘VoucherName’ already exists on enterprise ‘Hotel 1 (Chain 1)’ for service ‘Stay’”.

RESERVATION FROM / RESERVATION TO 

These dates represent the interval when one can book a reservation with the rate assigned to the voucher. Important: Use the DD/MM/YYYY format. 

Note: If you create a pricing adjustment in the Base rates section for some space categories, these adjustments apply to the selected date interval and the vouchers as well.

CHARGE TO GUEST 

Determines if the charge for the reservation booked with the relevant rate goes to the guest, or to a company.  

Choose YES or NO.  

  • When you choose YES, the system does not create a routing rule, and a company key is not mandatory. 
  • When you choose NO, the company key becomes mandatory, so that the system knows which company to charge instead of the guest. 
    • Doing so also enables Hide price from guest on Rate/ Details, as the routing rule takes effect. This rule automatically transfers bills to the company.

CHANNEL MANAGER INTEGRATION KEY 

An alphanumerical code to map the created/ existing rates to the channel manager integration.

Note: To create vouchers in bulk, you need to fill in the RATES MAPPING or the BASE RATES section. It works by mapping vouchers to existing rates or newly created rates.

  • This section is mandatory if you do not fill in RATES MAPPING. However, you can map rates via RATES MAPPING and add new rates via the BASE RATES section when importing the same excel file.
  • You cannot import Base rates at the same time as importing Dependent rates. You need to import each rate type individually, using the Excel rate template.

Step 3: Upload the Rates template  

After you fill out the rates template, you need to import it into Mews Multi-Property to finish creating your rates. 

 

To upload the rates template: 

  1. Click on . This opens the Upload screen.  

 

  1. Click on the grey area and choose the completed Portfolio Rate Import Template. You can also drag the file into this area to upload it. 
  2. Click to import the file into the system. To view the progress of your import, go to the main menu > Queues Files processing

 

Edit rates 

To edit a single rate: 

  1. In your portfolio account, go to the main menu > Rate managementRates.
  2. To select a rate you want to edit, check the box for that rate. 
  3. Click Edit. On the Edit a rate screen that opens, edit the rate information, then click Save

To bulk edit rates:  

To bulk edit rates, they need to meet the following criteria:

    • All selected rates are either base or dependent rates. 
    • All selected rates share the same Rate key.
  1. Use the checkboxes next to the names of the rates to select individually, or to select them all, check the box next to Name at the top to select all rates. You can see the number of rates you select in the blue notification bar.

  1. Click Edit. This opens the Edit a rate screen as before. Note: You can access the Edit button only if you select rates with the same rate key. 
  2. Input any new information in the relevant field. The rates you select to bulk edit may have different values per field, for example, Type, Name.  
    • If all the rates you select share the same attributes, you can freely edit all fields.
    • If the rates you select have different values per field, every field that has different values is locked. To edit a locked field, click .  

Note: The system applies edits and changes to all rates you select.  

  1. Click Save

 

Delete rates 

To delete a single rate: 

  1. In your portfolio account, go to the main menu > Rate management > Rates
  2. Click to select the checkbox alongside the name of the rate you want to delete. In the blue bar that appears, click
  3. In the confirmation box that appears, click Delete to confirm.  

 

Notes:  

  • You cannot delete a default rate. To set a rate as default, go to your property account. You can learn more about default rates here. 
  • To change which is your default rate, select the Default checkbox for another rate. 

 

To bulk delete rates: 

  1. Select the rates you want to delete using the checkboxes. To delete: 
  • All rates: Check the box next to the Name field at the top.  
  • Specific rates: Click the checkboxes next to the name(s) of the specific rate(s). 

Note: If your rates are spread across multiple pages, use the page navigation at the bottom right to view and select the rates you want.
