The Reservation overview report gives a quick snapshot of all bookings on a particular day or within a time period. Front office staff can use this report daily to view the most up-to-date status of the remaining arrivals and departures and check which guests and reservations require action before the end of the day. You can filter it to quickly identify important reservations, for example, customers in a Loyalty program. 

 

Note: For more detailed information about reservations, including arrival and departure times, use the Reservations report.

To view the Reservation overview report in Mews Operations,

  • on your Mews Dashboard, in the Reservations section, click   Reservation overview, or
  • go to the main menu  > Reservations > Reservation overview, or
  • on your keyboard, press alt with the letter "o".

Setting the filters in the report 

You can refine the data in this report with the following filters:

  • Service: Click to select your service.
  • Date: Click to select the date for which you want to view the report. The report displays the results by date, representing data starting at 00:00 until 00:00 the next day. Note: For the Stayovers and Staying and Statistics tabs, you can select Start and End dates, to restrict results to a specific time period. 
  • Status: Click to select the status of the reservation.
    • Definite: Reservations confirmed by guests and non-refundable.
    • Optional: Reservations not yet confirmed by guests.
  • Ordering: Click to select how you would like the report to display reservations. Note: You cannot use this filter in the Statistics tab.
    • Arrival: Display in order from the first arrival time to last.
    • Customer: Display in alphabetical order of the customer's last name.
    • Departure: Display in order from first departure time to last.
    • Space: Lowest space number to highest.
    • State: Group according to reservation status.
  • Type: In the Statistics tab only, click to select the mode in which you would like to view the data.
    • Customers: View according to the total number of customers, including all companions.
    • Reservations: View according to the total number of reservations.
  • Customer classifications: View according to customer classification, for example, Loyalty program. 

Click View report.  

 

Understanding the fields in the report

The report contains five tabs: Arrivals, Departures, Stay overs, Staying and Statistics. For the Arrivals, Departures, Stay overs, and Staying tabs, the reservation cards provide a summary of all booking details for easy reference.

Arrivals

The Arrivals overview is a quick and easy way to view all remaining arrivals for the selected day. You can also check-in customers directly from this overview.

You see the following summary data above all the reservation cards:

  • Reservations: Number of arriving reservations or that have already arrived.
  • Customers: Number of guests arriving today or that have already arrived, including all companions.
  • : Print all registration cards for all reservations in that section, for the selected date.
Note: For a reservation with more than one person and no companion assigned to the booking, the registration card for that companion prints empty. Ensure to assign a guest to the booking in order to avoid the additional transfer of data from the card back into the system.

You can view two sections of reservation cards to represent all arriving reservations.
  • The upper section of reservation cards represents the reservations that are still due to arrive:
    • Cards with the "To check in" label represent reservations with incomplete check in.
    • Cards with the "Checked in online" label represent reservations for which the guest completed the online check-in.
  • The lower section of reservation cards represents all checked in reservations that have already arrived that day. Mews marks them with a "Checked in” label. You can click Manage to manage any of those reservations.

 

Departures

The Departures overview is a quick and easy way to view all reservations departing for the selected day. You can check out customers directly from this overview.

You see the following summary data above all the reservation cards:

  • Reservations: Number of departing reservations or that have already departed.
  • Customers: Number of guests departing today or that have already departed, including all companions.
  • : Print all registration cards for all reservations in that section, for the selected date. 
 

You see two sections of reservation cards to represent all departing reservations.

  • The upper section of Reservation cards represents reservations that are departing today but have not checked out yet:
    • Cards with a “Check-out missed” label represent reservations that have missed their check-out and require urgent action.
  • The lower section of Reservation cards represents all checked out reservations that require no further action. Mews marks them with a "Past" label.

 

Stayovers

The Stayovers overview is a quick and easy way to view all stayover reservations. These are reservations for which guests stay in the hotel and do not check in or check out within the selected time period.

Note: This section displays reservations of a minimum of two nights, with at least one of those nights falling within the selected interval.

You see the following summary data above all the reservation cards:

  • Reservations: Number of reservations staying over.
  • Customers: Number of guests staying over.
  • : Print all registration cards for all reservations in that section, for the selected date range.

The upper section of cards represents reservations in the middle of their stay, staying overnight. You can click Manage to manage any reservation.

 

Staying

The Staying overview allows you to view all reservations staying over, arriving, and departing within the selected time period. You can also check out guests directly from this overview. 

You see the following summary data above all the reservation cards:

  • Reservations: Number of arriving reservations or that have already arrived.
  • Customers: Number of guests arriving today or that have already arrived, including all companions.
  • : Print all registration cards for all reservations in that section, for the selected date range.

The cards represent all reservations currently in house. This includes reservations that arrived and checked in that day, as well as stay over reservations, in the middle of their stay and staying overnight. 

 

Statistics

The statistics overview allows you to see a complete overview of your numbers, without any specific reservation data. Use this overview to record or compare reservation numbers according to date. Note: All totals in the Statistics results should match the numbers visible in each tab.
 

The report displays the following information:

  • Date: The date for which you can view the results. If you select different Start and End dates, the report displays the results for each date on a separate row. 
  • Arrivals (Online): Number of arrivals that day (number of completed online check-ins).
  • Departures (Online): Number of departures (number of completed online check-outs).
  • Stayovers: Number of stayover reservations. 
  • Staying: Number of staying reservations.

 

Exporting the Reservation overview report

You can export only the totals from the Reservation overview report. To access detailed reservation data, use the Reservation report
 

To export the Reservation overview report: 

  1. Navigate to the Statistics tab. 
  2. Click Export
  3. Select one of the following options: 
    • icon  Export to Excel: To export the report in Excel format.
    • icon  Create export schedule: To create an export schedule for this report.
  4. Follow the onscreen instructions to complete the export.
