The Reservation report offers the most data and various filtering options for analyzing the property's reservation data. You can use it for multiple services to give reservation and revenue managers a single, unified view of all reservations across long stay, short stay, parking, meetings, and other services. The Reservation report eliminates the need to run separate reports per service, export them multiple times a day, and manually merge them in Excel or other external tools.

Setting the filters in the Reservation report
- Before you apply your filters, you can click Group by in the top right corner to determine how you want the system to display the report.
- Group by: Click to select how you would like the report to sort and display the results.
- None: The system does not group the report.
- Arrival date: Group by arrival date, in chronological order.
- Automatic settlements: Group by settlement status. View which accounts failed automatic settlement and check for failed settlements.
- Fail: If the system fails or skips the settlement automation.
- None: If the system has not yet processed the settlement automation.
- Success: If the system processes the settlement automation.
- Balance: Group by balance. View the outstanding balance on any bills and quickly assess which accounts you need to settle.
- Cancellation reason: Group by cancellation reason.
- Company: Group by the company profiles within your property.
- Creation date: Group by reservation creation date.
- Customer: Group by the name of the reservation owner.
- Customer classification: Group by your customer classification, for example, Returning.
- Departure date: Group by departure date, in chronological order.
- Group: Group by reservations' group name. Mews display results ordered by group size from smallest to largest for easy classification.
- Origin: Group by the source of the reservation, sorted in alphabetical order.
- Rate: Group by the rates defined at your property.
- Rate group: Group by the rate groups defined at your property.
- Reservation source: Group by the source of a reservation, including Mews Booking Engine, Mews Guest Portal, the Open API or a channel manager.
- Segment: Group by segment.
- Service: Group by services defined at your property.
- Space: Group by space number.
- Space category: Group by the space categories defined at your property.
- Travel agency: Group by travel agency. View reservations connected with the travel agencies defined at your property.
- Voucher: Group by the voucher codes the customer uses.
- Group by: Click to select how you would like the report to sort and display the results.
- You can then click
to sort the Reservation report according to specific fields.
- Start: Select a start date and time to restrict results to a specific time period. Note: You can only view reservation details for up to a year.
- End: Select an end date and time to restrict results to a specific time period.
- Service*: Click to select one or more services you want to filter the report for.
- Rate: Click to select a particular rate to only view reservations using this rate.
- Rate group: Click to select a particular rate group to only view reservations using this rate group.
- Assigned space: Click to select a particular space to view only reservations assigned to this space.
- Reservation type*: Click to select the options below to filter by reservation types:
- Created: View all reservations created within the selected interval, sorted by date and time of creation.
- Updated: View reservations for which some reservation details changed within the selected timeframe, such as arrival and departure times, guest numbers, or assigned spaces. This includes changes made by staff, guests or Online Travel Agencies. The report does not consider updates related to order items, for example, moving an item to a bill.
- Arrival: View reservations arriving within the selected interval, regardless of current status, sorted by date of arrival.
- Departure: View reservations departing within the selected interval, sorted by date of departure.
- Overlapping: View reservations arriving, departing, and staying over within the selected interval, sorted by date of arrival.
- Optional: View optional reservations, sorted by release date.
- Canceled: View reservations canceled within the selected interval, regardless of arrival and departure times, sorted by date of arrival.
- Confirmed: View confirmed reservations created within the selected interval and optional reservations confirmed within the selected interval, sorted by date of confirmation.
- Covering: View all reservations arriving before and departing after the selected interval. Guests stay at your property for the full duration of the selected interval.
- Optional confirmed: View optional reservations, confirmed within the selected interval, sorted by date of arrival.
- Stayover: View reservations not arriving or departing, but staying for at least two nights, with at least one of those nights falling within the selected interval.
- Staying: View reservations arriving and staying over, but not departing, within the selected interval. Note: When applying this filter, the report does not display one-day reservations from daily services and nightly reservations where guests arrive and depart on the same day. To view these reservations, you can use the Overlapping filter.
- Inquired: View reservation inquiries.
- Inquired confirmed: View reservation inquiries, confirmed within the selected interval, sorted by date of arrival.
- Restored: View reservations restored within the selected interval, regardless of arrival and departure times.
- Status: Click to select the options below to filter by reservation status:
- Confirmed: View future reservations your guests confirmed. Confirmed reservations change their status after check-in or in case of cancellation.
- Checked in: View in-house reservations for which your guests checked in.
- Checked out: View reservations for which your guests checked out.
- Canceled: View canceled reservations.
- Optional: View unconfirmed reservations with an assigned space.
- Inquired: View unconfirmed reservations, with no assigned space. Only hotel employees can cancel or confirm inquired reservations.
- Travel agency: Type a specific travel agency to view reservations connected to their profile. When selecting a parent company, the child companies appear in the results.
- Company: Type in one specific company to view reservations connected to their profile. When selecting a parent company, the child companies appear in the results.
- Options: Click to select the options below to filter by specific details.
- Load balances: Include the customer's current open balance, in an additional column.
- Include space charges: Include space charge revenue in report results.
- Include products: Include stay product revenue in report results, this displays in an additional column.
- Include additional expenses: Include any additional charges unrelated to stay or products, for example, cancellation fees.
- Display channel notes: View any notes from the channel used for booking the reservation.
- Display general notes: View any general notes for the reservation.
- Values*: Click to select the options below to filter by values.
- Gross value: View the reservations' cost including tax.
- Net value: View the reservations' cost excluding tax.
- Tax value: View only the tax the system applies to reservations.
- Booker type: Click to select the options below to filter by booker type.
- Customer: View reservations connected only to a customer profile.
- Company: View reservations connected to a company profile, filtered by mother companies and including both child companies and all connected travel agency contracts.
- Travel agency: View reservations connected to a travel agency.
- Requested category: Click to select a particular space category to view only reservations that requested this space category during the booking process. Note: The report does not display reservations assigned to a different space category than the one requested during the booking process.
- Origin: Click to select the options below to filter by the how the reservation’s creation origin:
- Call center: View reservations received from a call center.
- Channel: View reservations manually created in Mews Operations, requested by a travel agency or by a third party channel, such as an Online Travel Agency.
- Channel manager: View reservations received automatically from a channel manager.
- Email: View reservations requested by email and manually created in Mews Operations.
- Import: View reservations imported from past property data.
- In person: View reservations manually created in Mews Operations, requested by guests in person. This includes stay extensions which require new reservations, for example, if a guest must change rooms for the remainder of their stay.
- Message: View reservations manually created in Mews Operations, requested via a message.
- Mews Booking Engine: View reservations created via the Mews Booking Engine.
- Mews Guest Portal: View reservations created via the Mews Guest Portal.
- Mews Open API: VIew reservations received from all third-party integrations other than a channel manager, for example, Pace and Pxier.
- Mews Operations: View reservations manually created in Mews Operations, marked as Channel, Email, In person, Message, Telephone, and Website.
- Phone: View reservations manually created in Mews Operations, requested by phone.
- Website: View reservations manually created in Mews Operations, requested via your property's website.
- Segment: View only reservations attached to the selected segment.
- Pricing classification: Click to select the options below to filter by pricing classification.
- Transient: View reservations with walk-in reservation rates.
- Negotiated: View reservations with travel agencies or company rates.
- Group: View reservations with group reservation rates.
- Booking purpose: Click to select the reservation purpose, for example, Business, Leisure or Student.
- Country: Click to select a country to only view reservations attached to a customer with the selected country in their address.
- Click Apply filters to generate the report.
Understanding the fields in the Reservation report
Fields in the Detailed section
The Detailed section displays an in depth view of your reservation details. The information that the report displays depends on which option you choose to group by, for example, Arrival date, Service or Origin.
When you select the Detailed section filter, the report displays the columns below. You can click in each column header to sort the results in ascending or descending order.
- Number: A unique reservation number the system automatically generates and assigns to the reservation. Mews sends all guest confirmations with this number, which you can use directly in the search field to find a specific reservation.
- Customer: Name of the reservation owner which Mews displays with classification icons.
- Click on the name for a direct link to that customer's profile,
- Hover over the icons to view the written label for each.
- Companions: Number of companions, including the reservation owner, which Mews displays in number x icon format, for example,
.
- Created: Date and time of reservation creation.
- Service: The type of service assigned to the reservation.
- Arrival: Date and time of reservation arrival.
- Departure: Date and time of reservation departure.
- Spaces: The reservation’s assigned space number.
- Requested category: The reservation’s requested space category.
- Rates: The reservation’s selected rate.
- Origin: An icon representing the origin of the reservation data. Hover over the icon to view the source details.
- Products: Any additional products you have added to reservation listed in quantity x short name format.
- Hover over the short name to view the full name of any product;
- In case of stay products, they may be listed in quantity x time unit x short name format.
- Company: Name of company for business travelers or company-related reservations.
- Travel agency: Name of travel agency for reservations associated with any OTA.
- Commission: Amount of money that you owe or need to pay in commission to the travel agency.
- Rate: Average rate.
- Total: Total amount the guest owes for their reservation.
- CC: Credit card icon
appears for customers having card details in their profile.
- Click this icon to go directly to customer billing screen
- Hover over this icon to view the last 4 digits, card type and card expiry details.
- Notes: Any additional notes on reservation.
Fields in the Totals section
The Totals section displays a summary of your reservation details. To display the totals section, click Show totals.
When you select the Totals section filter, the report displays the following information:
- Total reservations: Total number of reservations within the selected time period.
- Total amount: Total amount of money received for all reservations within the selected time period.
- Confirmed: Number of confirmed reservations and total amount of money received for confirmed reservations within the selected time period.
- Canceled: Number of canceled reservations and total amount of money received for canceled reservations within the selected time period.
- Optional: Number of optional reservations and total amount of money received for optional reservations within the selected time period.
- Inquired: Number of inquired reservations and total amount of money received for inquired reservations within the selected time period.
Exporting the Reservation report
To export the Reservation report:
- In the filter side-window, click Export.
- Click to select one of the following options:
Export to Excel: To export the report in Excel format.
Create export schedule: To create an export schedule for this report.
This exports the Reservation report. You can view additional information when you export the report to Excel.
Note: Mews does not fully support the use of emojis in notes. Attempting to export notes that contain emojis may cause the export to fail.
Additional information for Hostels
When you export the report to Excel, you can also view the number of Bed Night columns, where the report also adds all sold beds by nights. This is a critical number to the operations of a hostel, as they have a mix of rooms, dorms, and beds, and they run performance-based on bed occupancy and RevPar numbers.
Additional information about age category classification
The exported Reservation report also shows the age categories of guests within a reservation, such as Adult, Child (0-6), Child (7-13). This gives you information on the age brackets for all guests visiting your property so that you know the type of guests staying at your property during a specific period. Note: The age category columns that the report displays depends on the specific age category setup of your property and the age categories that were used in the reported reservations.
Using the Reservation report
View Travel agency statistics
To view a breakdown of travel agency performance within the selected time period, run the Reservation report and in Group by select Travel agency.
Mews then displays the number of reservations and their total value.
If you have commissions set up for any of your travel agency contracts, you can also view the amount of money you owe or need to pay in commission to each travel agency.
Check for payment rejections
To view the automatic charges linked with recent reservations possibly rejected by the payment gateway, follow these steps:
- In the filter side-window, fill in the following details:
- Start: Select yesterday's date, 12:00 a.m.
- End: Select yesterday's date, 11:59 p.m.
- Reservation type: Click to select Created.
- Above the filter side-window, click Group by, then click Automatic settlements.
- Click Apply filters.
This displays any payment rejections for the selected time frame.
Check customer balances
If you want to ensure that all guests who are currently in house or arriving on a specific date have a zero balance, follow these steps:
- In the filter side-window, fill in the following details:
- Start: Select a start date and time for the period of time you wish to view.
- End: Select an end date and time for the period of time you wish to view.
- Reservation type: Click to select Staying.
- Options: Click to select Load balances to add a Balance column to the report.
- Click Apply filters.
This displays a balance column in the report, where you can view the current bill balance for the customer linked to the reservation.
