Set up your editable history windows

The editable history window in Mews decides how far in the past you can modify reservations. For example, if you forgot to modify a reservation 2 days ago, and your editable history window is 7 days, you can still go back and make the necessary changes.

The editable history window

Other property management systems have the “Night audit”, a process which ends the day, posts charges, and closes transactions, and takes place around 4:00 or 5:00am to avoid missing any arriving guests who may check in late, there’s no need for a night audit in Mews. You don't need to do this in Mews as the system processes everything instantly. The editable history window is a setting in Mews that allows you to check guests in even with a date in the past.

Note:

  • The check-in time that Mews takes into account for the editable history window is always the time that shows in each booking and not the check-in time in your property's General settings.
  • Setting a very short editable history window can impact operations in several ways:

    • Same-day reservations are not possible if the editable history window passes the configured reservation start time.
    • Corrections require rebates. An open, consumed item generates a rebate if the editable history window passes its consumption date when making the correction.
    • If you do not enable automatic no-show cancellations, the system triggers no-shows earlier than expected.

     

The Operational v/s The Accounting editable history window

There are two types of editable history window in Mews; one for accounting, and one for operations. This allows you to have a stricter window for accounting items, which means you cannot change bill items from more than 1 day ago, and a more relaxed window for operations, which means you can cancel a house use from 5 days ago.

 

The Accounting editable history window

The Accounting editable history window applies to all operations that affect accounting items such as cancelling, repricing, adding, or modifying them. To set up or extend your Accounting editable history window:

  1. Go to the main menu Screenshot_2.png > Settings > Property > Finance.
  2. From the drop-down, click on Accounting configuration.
  3. Under Accounting editable history window, enter the number of days and hours you want the window to be, but it can be a maximum of 7 days. Note: The time extends backwards. For example, if the Accounting editable history window is set to 12 hours, then you can modify accounting items that are up to 12 hours in the past.
  4. Click Save.

The Operational editable history window

The Operational editable history window is for operational front-desk actions, like check-outs or no-show cancellations. To set up or extend your Operational editable history window:

  1. Go to the main menu Screenshot_2.png > Settings > Property.
  2. In the General settings section, under Operational editable history window, enter the number of days and hours you want the window to be, but it can be a maximum of 7 days. Note: You should consider your check-in time. If your editable history window is 4 hours and your check-in time is 3pm, you won't be able to create a new booking for the same day after 7pm.
  3. Click Save.

Note:

  • If you receive a notification about a reservation failure because "some reservation contains nights or orders in the past,"
    • check the Operational and Accounting editable history windows. The failure may be due to the reservation being created on the same day as check-in.
  • If the Operational and Accounting editable history windows are set for fewer than 24 hours,
    • review your check-in time. If your check-in time is 3pm and the Editable history windows are set for 5 hours, then Mews can process reservations created on the day of arrival until 8pm. Reservations after that time end in failure.
  • If the Accounting and Operational editable history windows are set to different times, Mews refers to the lower time. For example, if the Accounting editable history window is 10 hours and the Operational editable history window is 15 hours, Mews uses 10 hours.
