Mews recommends scheduling the following report exports so you have available all the information you need in case of an emergency or system outage (a period when Mews is inaccessible, for instance in case of the hosting server outage) to ensure smooth operations in your property:

Note: The examples of export schedules in this article show the combination of the export interval the same day and frequency daily. This means that the report is generated daily with the data for the upcoming day. Depending on the hotel size, Mews recommends considering other frequencies.
Guests in-house report
The Guests in-house report displays all guests arriving on the selected day and guests staying at the property for at least one night during the selected interval.
This report allows you to see in which spaces your guests are staying, the number of guests, products consumed in the interval, car registration numbers, customer and reservation notes, and their balance.
You can set up the filters as follows:
Status: Confirmed, Checked out, Checked-in, Optional
Display options: Balance, Car registration number, Customer notes, Products consumed in interval, Reservation notes
Products: All
Space status report
Housekeepers and managers can use the Space status report to easily track the housekeeping status of all the spaces at your property.
Scheduling the export of the Space status report allows your Housekeeping and Front Office Teams to continue operations in case of an outage, monitor space changes, and check in clients. On the export you can see the space assignees, products, and any customer or reservation notes:
You can set up the filters as follows:
Interval: Same day
Service: Your bookable service
Group by: Floor
Options: Display assignees, Display customer notes, Display products, Display reservation notes
The other filters can be left empty or set up depending on your needs.
Reservation report
The Reservation report contains detailed information about the active reservations (confirmed, staying, checking out) in the property, and optional and inquired reservations.
By enabling the options mentioned below you can see all the notes, products, additional expenses, balances, and any other information that might be useful.
You can set up the filters as follows:
Service: Your bookable service
Mode: Detailed
Filter: Overlapping
Interval: Same day
Status: Confirmed, Checked out, Checked-in, Optional, Inquired
Options: Display general notes, Include additional expenses, Include products, Include space charges, Display channel notes, Load balances
Accounting ledger
The Accounting ledger is an overview of all guest profiles with unpaid/unsettled balances on their accounts.
The exported report allows you to see if there are any pending payments or refunds grouped by customer.
You can set up the filters as follows:
Mode: Detailed - to see the entire breakdown of the posted items/payments
Type: Guest ledger
Interval: Same day
Group by: Customer
Options: Highlight open payments
Frequency: Daily or Hourly - depending on the size of your property and the number of clients with unbalanced bills prior to arrival
Availability & Occupancy report
The Availability & Occupancy report gives you the occupancy percentage for each space category for each day with an overview of the availability for that day, along with the corresponding average nightly rate.
This report is useful as an overview of available spaces and sales rates for any direct reservation inquiries that might come in during the outage. To be sure you don't miss any booking, set up the interval for at least one ongoing year.
Note: The availability might also change if some reservations come through the Channel Manager at the time of the outage. Therefore it is highly recommended to cross-check the availability in your Channel Manager extranet before you confirm the reservation.

Status: Confirmed, Optional
Values: Gross value
Status: All space types used in your property
Rate mode: Sales
Rate: Select a rate depending on your needs
