How to create, modify or cancel a ResDiary table booking

ResDiary is a restaurant table booking system. If you want to use ResDiary in conjunction with Mews, you need a ResDiary account. You can learn more about this on the ResDiary website. You also need a POS (Point of Sale system) to manage customer billing. You can manage table bookings with ResDiary, but without a POS you cannot post any bills to customer profiles. How to create a ResDiary table booking  

  1. In Mews Operations, go to a customer profile.

  1. If you have a ResDiary integration, you can see the Table bookings tab as below.

 


 

  1. Click on the Table bookings tab. Here you can see any bookings made for this customer. 

  1. Create a booking by clicking on the + Create booking button on the right-hand side of the screen.

 

 

  1. This opens the Create table booking form at Step 1 of a three-step process. 

 

Step 1: Booking details 

In this step, enter the details for the customer and the restaurant.

 

  • The system automatically populates the customer name from the customer profile.
  • If the display does not contain the Phone number, enter a contact phone number for the customer*. This is a mandatory field.
  • From the Venue drop-down, select the restaurant venue. If there is only one venue available, this will be pre-selected.
  • In the Area field, you can select an area within the restaurant, or leave it at the default ‘All areas’.
  • You can view the customer’s stay reservation in the Stay field. If a customer has more than one reservation, select the correct reservation for this table booking.
  • Select the Number of people you want to make the table booking for. The value will be pre-selected based on the number of people in the stay reservation.
  • Check all details are correct, then click Check availability to progress to Step 2.

 

*Phone number:

  • The form displays the phone number from the customer profile, if it exists.
  • If not, the form pulls the phone number from ResDiary, if it was previously entered by the user.
  • If neither of these are true, enter a new phone number. Note: Mews does not use the phone number you enter to update the customer profile.

 


 

Step 2: Availability

In this step, you confirm the specific dates and times for the table booking. The system automatically checks availability and only permits you to book times that are available, for the specified number of people. You can also see any available promotions.

 

Note: By default, the form enables bookings for every day of the customer’s stay. Deselect dates that you do not require. 

    • If making a breakfast booking, deselect the arrival day.  
    • If making an evening booking, deselect the departure day. 

 

  • You can select the required time for the booking individually against each day. Alternatively select a Preferred time at the top of the form. The system applies this time to every day. 
  • Check all details are correct, then click Add to booking to progress to Step 3.

 


 

Step 3: Review

In this final step, you review a summary of the booking, add any booking notes, and click Create booking to make the table booking with ResDiary.

 

  • The form displays a summary of the booking, so you can go back and change it if anything is not correct. Click < Back to revert to the previous step. 
  • If you want to copy the booking summary into any customer communication, such as a guest email, click on the  Copy icon to copy the summary into the clipboard. 
  • You can put any special instructions into Booking notes, the system shares these with ResDiary along with the rest of the booking details. 
  • Click Create booking to make the table booking through the ResDiary integration. 

 


Check the booking by logging on to your ResDiary account and confirm the booking is as expected.

 

Note: You can also create table bookings from within ResDiary. If it is for a customer with a profile in Mews, then the integration syncs the data automatically and you can view the booking listed under the Table bookings tab as described above.

 

How to modify a ResDiary table booking 

Note: When you modify a stay reservation that includes a table booking, Mews creates a task to update the table booking manually. Mews does not cancel the existing table booking automatically. You must review and adjust the table booking in ResDiary yourself.

 

 To modify or update a booking,

  1. Access the Table bookings screen, as described in How to create a ResDiary table booking above. 

  1. Click on the   icon in the Actions column against the individual booking you wish to modify.  

  1. Select the Edit action as you can see below. Note: Be aware that if you change even one value, the system clears the other fields.

 


 

  1. You can edit the following details of the booking:

 

  • Number of people 
  • Visit Date
  • Area
  • Promotion code
  • Visit Time
  • Special requests
  • Room number

 

 Some of these details require a new availability check and so your preferred options may not be available.

 


5. When you have made your changes, click Update to save the changes and update the booking.

 

Note: You can also update bookings from within ResDiary, and the system syncs any changes back to Mews.

 

How to cancel a ResDiary table booking 

To cancel a booking,

 

  1. Access the Table bookings screen, as described in How to create a ResDiary table booking above.  

  1. Click on the icon in the Actions column against the individual booking you wish to cancel.  

  1. Select the action. This opens the Cancel table booking window. Here, the Cancellation reason field is optional.  

  1. To confirm the cancellation, click Cancel booking.

 

 

Note: You can also cancel bookings from within ResDiary, and the system syncs any changes back to Mews.

 

Frequently Asked Questions

Are table bookings canceled automatically when a stay reservation is canceled in Mews? 

Yes. When you cancel a stay reservation in Mews, the system automatically cancels any linked table bookings. 

Note: If you cancel a stay reservation and then reinstate it, you need to manually remake the table bookings. Mews automatically creates a reminder task to notify the responsible department to make the required change.

 

Are table reservations updated when a stay reservation is updated in Mews? 

No. Consider if there is an impact on table reservations when you update a stay reservation. Mews automatically creates a reminder task to notify the responsible department to make the required change.

 

How do I book both breakfast and dinner for a guest? 

If a guest wishes to book both breakfast and dinner using the ResDiary integration, then make two separate table bookings for the guest. Book tables for breakfast, and then separately book tables for dinner.

 

Cancellation reasons are not being pulled across from ResDiary to Mews 

If you want the system to pull cancellation reasons across from ResDiary to Mews, make sure that you configure them to show online in ResDiary, under Settings > Cancellation Reasons.

 

How far into the future are table reservations shown for? 

Mews pulls data from ResDiary for the next 120 days.

 

Can I manage table bookings from within Mews? 

From within Mews, you can create new table bookings, update them and cancel them. For other operations, use the ResDiary system. For example, for managing table inventory and promotions.
